Communication Expectations

We communicate all day long every day…we all know how to do it. But did you know that your choice of communication methods and timing can say even more than your words? Here are some important guidelines for professional, courteous, and effective communication.

• Return all calls within 24hrs. This is simply courteous and respectful of the other person’s time. (an exception would be vacation, emergency, etc.)

• Follow-up with prospects, new contacts, guests within 24hrs of the initial meeting for best results.

• Return a form of communication with an equal or higher form of communication. (see hierarchy below)

Example: If someone calls you and leaves a message, respond with a phone call or a face to face conversation, not with an email.

• Communicate all important information, conversations, feelings, etc in person or via phone or at the least with a hand-written letter. Imagine how you would feel if your boyfriend broke up with you via email. Yuck! How rude! Even though confrontation and sharing emotions can be difficult, it is more important to be respectful in your communication of them.

• Say what you mean and mean what you say. This is your integrity! If you don’t plan on following through with your words, don’t say them. If your kind words aren’t sincere, don’t say them. Anyone can spot a fake.

• Don’t screen your calls via caller ID or answering machine! Others can sense this and it will make them more hesistant to call. This is the 21st century…people know when they’re being screened! You don’t want your customers and sister consultants to feel they can’t contact you…that could mean lost business and relationships for you! If you seem not to be readily available or unwilling to talk to them, they will find someone else. You may never know how much business you are losing because you screen your calls or your phone is always turned off!

• THE BOTTOM LINE: FOLLOW THE GOLDEN RULE—TREAT OTHERS AS YOU WOULD LIKE TO BE TREATED—IN WORDS AND ACTIONS.
