Supplemental Digital Content Basics

Authors may submit supplemental digital content to enhance their article’s text to be considered for online posting. When digital content (including figures, graphics, illustrations, audio, or video) is submitted to a journal, it must be quality checked quickly using the criteria outlined in this document. If a file does not meet these guidelines, the file should be returned to the author for resubmission. If the author is unable to provide a suitable file, then the editorial office may determine if the file will be presented online. It is the author’s responsibility to provide materials that meet these guidelines. These guidelines ensure that the digital content can be easily downloaded and viewed by the reader.

Unacceptable file types

We do not accept the following file types because of their potential for playback errors:

▪ Audio / Video Interchange (.avi)

▪ DVD / CD disc rips (.vob, .ifo, .bup, .iso, .img)

o This includes any file that is attained by copying files from a DVD movie disc or files obtained through a DVD disc or CD disc image rip. 

▪ Uncompressed audio (.wav)

How to check submitted files

Step 1. Determine total size of all supplemental digital content.

▪ Hover you cursor over the file to view the size.

▪ Or, right click on the file and view the “Properties.”

Step 2. Check file name for acceptable file extension.

Step 3. Check videos for acceptable length/duration

▪ Right click on the file and choose “Properties.”

▪ Click the tab labeled “Summary.”

▪ The length of the video is shown as the “Duration.”

Step 4. Check videos for acceptable image size

▪ Right click on the file and choose “Properties.”

▪ Click the tab labeled “Summary.”

▪ The image size is shown as the “Width” and “Height.”

Step 5. View or listen to the file.

▪ If all of the above criteria are met, view or listen to the file to check for audio and visual quality. Ensure that the human eye and ear finds the content “easy to see” and “easy to hear.”

Step 6. Check for call-outs and legend of supplemental digital content

▪ If all of the above-criteria for supplemental digital content submission have been met, make sure that within the text of the article the author has completed the following:

1) Placed consecutive citations for all supplemental digital content in the text. Citations should include the type of material submitted, should be clearly labeled as “Supplemental Digital Content,” should include the sequential legend number, and should provide a brief description of the supplemental content. Audio and video citations should also include the length and size of the file.

Examples:

▪ (see Table, Supplemental Digital Content 2, which illustrates the rise in cost of knee replacement surgery)

2) Provided a legend of supplemental digital content at the end of the text. Legends should be listed in the order in which the material is cited in the text. The legends must be numbered to match the citations from the text. Authors must include a title and a brief summary of the content. For audio and video files, also include the author name, videographer, participants, length (minutes), and size (MB). It is left to the journal office’s discretion to determine if this information is to be included in the published citation.

▪ Length: 5 minutes

▪ Supplemental Digital Content 2. Table that illustrates the rise in cost of knee replacement surgery.

Step 7. Check Patient anonymity, copyright release form, and permissions.

▪ Author must blind the identities of patients or provide written consent from patients.

▪ All author signatures must be received on copyright release form.

▪ Author must submit written permission from copyright owner of any borrowed materials.
