Approve the Office of Head Start grant application of; Supplemental Funds to Increase program Hours in Head StartThis is a new federal grant opportunity to increase hours in a Head Start classroom. This is due Dec 1st and would be approved by March and begin at time of approval. This change would be implemented In September.Moved by Mike M, seconded by Gayle. Motion carried.B. Approve the Office of Head Start grant application of Early Head Start ExpansionFederal grant opportunity. This is due Dec 1st as well and is a very involved grant application. We would apply for 60 additional children for our Home Visit program and include 6 additional home visit staff. Financial Reports VISA Card Summaries – October 2018 Head Start, AgencyThe credit card report reflects an increase in staff training, which is to be expected at this time of year. Updates and DiscussionA. Head Start – Laura GilkeyLots of grant writing going on right now. Gayle asked if there are grant writers on staff available to assist. Joe replied that we do not have specific grant writers. The directors and managers are the grant writers for their area as they are the experts on their area’s needs. Assistance is always available from communications and finance. Over the next few years grant-writing is an area we will look to expand.B. Communications Update – Jennifer BakerGWYL Gala - 144 guests attending (up from 123 last year)39 donated bottles of wine (up from 21 last year)50+ raffle items (up from 23 last year)Doors open at 5. Sanmar will be matching fund a need donations up to $15,000. We have $5,500 donated in sponsorships - Shakopee Public Utilities, Kwik Trip, Smoke Signals, Shakopee JCI, and Prior Lake Lions (our budget for the entire event is $7000)Hope for the Holidays?We have 1403 individual clients signed up for Adopt-a-Family and donors adopted 1529 people.? That's 126 extra so far! We double up on some families wish lists to ensure that they receive gifts in case donors forget etc. We have had even more donors sign up today! Wish Lists will be sent out to donors tomorrow, if all goes to plan. Clients are now signing up for toy distribution. Over 250 seniors have been adopted so far as part of our Adopt-a-Senior program.Annual Report for FY17 is done! The Annual Report is in poster form this year. There will be copies available at gala tomorrow and at next board meeting- Please take one! Looks great on an office wall. We will also be mailing one out to select donors and partners. There will also be an online PDF version that will be available to view and download on our websiteThe CAP Holiday Party is December 14th 12:30-3:30ish at Valleywood Golf Course in Apple Valley.Thursday is Give to the Max Day! Please spread the word, encourage friends family and yourself to donate either at (enters us for golden tickets) or at donate. Kick off to Give Where You Live end of year campaign.Nate also commented on editorial written by Jennifer that was published in Chaska Herald about Hope for the Holidays. It is also available on the CAP Website.C. 2018-2020 Second Harvest Heartland Partner Agreement – Jackie LaraWe have signed our agreement renewal with Second Harvest Heartland confirming our continuing partnership. They help with fresh produce distribution and operate a food bank that we utilize, have been a grant funder, and have been a great help overall to our Food Shelf and nutrition programs.Senior Nutrition has been working with Shakopee Hy-vee since January. As word of this partnership has gotten out, our client numbers have risen. A larger partnership with other Hy-Vees is being pursued. This would allow us to serve freshly prepared food to seniors rather than reheated. We are hoping to pilot with the Eagan Hy-Vee in January. D. Board Committee Updates1. Executive Committee – Bev Higdem Minutes are included in the finance committee minutes2. Finance Committee – John Green – 10/9/18 and 10/25/18 minutes attached3. Governance Committee – Nate BostromThe Governance committee will be in December 4. Strategic Implementation Committee – Chris Hansen Will meet before the December meeting.E. CAP Connections UpdatesJoe- Sanmar is a local wholesaler distributor of clothing. We are their exclusive local partner this year and they have been invaluable. It has been a great evolution with Sanmar to get to this point. They are a wonderful community partner and we are very grateful for their support.4D2F. Executive Director Report - Joe Vaughan 1. Calendar Review We will have a new Director of Finance beginning on Nov 26th, Molly Jo Tellijohn. She has twenty years of experience in finance and is excited to join the nonprofit sector. She lives locally and knows of CAP and our work in the community. John and Gino were both involved in the selection process.We have had our first round of interviews for a new Director of HR – thank you to Betty for being part of this. We hope to have someone in place by the end of the year.We are in our Open Enrollment timeline for staff. Our health care costs will only go up 3% this year. Overall the costs for healthcare for the next year are positive in relation to our budget. The finance committee will discuss a staff pay increase at their next meeting.Lawrence inquired about who was filling the gaps for finance and HR in the interim. CAP has contracted with Robert Half staffing to fill temporary positions and have been on board since October for the finance department.4H1G. Board Chair Report –Bev HigdemBev was unable to be present tonight due to illness.H. Other Business Congratulations to Courtney Johnson, Mike Beard, and Mike Mayer for winning their elections on November 6th. We also had a staff member, Angelica Contreras, who won a city council seat this month!Joe commented the all Board members should have signed a CHDO form (Community Housing Development Organization.) Dakota county currently has no partner for CHDO funding. Due to our Board composition and the representation of our clients, we qualify as a CHDO funding partner. This puts in a position to access $150,000-$250,000 each year for housing in Dakota County (which is where most of our housing units are.) This partnership would allow us to make capital improvements to our housing units. These forms are to certify the composition of our Board.Courtney inquired about quorum issues for the Board meetings. We currently have four open board seats.I.
