Important GuidelinesGeneral:Higher Education Statistics (HES) Proforma Part-I (in MS Word) and Part-II (in MS Excel) to be submitted in soft form to the focal person at HEC through official e-mail account. The section-wise information provided in Part-I and Part-II should be tallied.The signed duly stamped certificate (in original) by Authority providing information is mandatory to be provided to HEC.Please do not use email ID of any private email service provider/domain i.e. Gmail, Yahoo, Hotmail, Outlook etc. for official matters. Please make sure that correspondences (if any) may be made through your official domain email address i.e. ………@university.edu.pk. In case of email from private email ID (as specified above), then an official should include Vice Chancellor/Rector/President and Registrar/Controller/Additional Controller/Deputy Controller in the copy of email.Name, Designation, Institution Name and Contact Details of the sender is mandatory to be provided in the email.Please avoid to generate/initiating new email every time. Please respond to last/previous email to keep proper track of emails on the subject matter.Previous year subjects/required fields have already been provided in the proforma. However, the figures for each subject are required to be provided as per factual data for year 2019-20.Proforma has been uploaded on HEC website and is available on the link: information which is not applicable be marked “N.A.” along with top heading of each section/sheet separately.The information will be considered ‘ZERO’, if any field left blank.It is highly recommended that Part-II should be completed/finalized first before fill-in required information in Part-I Proforma.The information provided on different templates (other than HES proforma 2019-20) will not be considered/accepted for further processing.The sheet for provision of details regarding all degree programs offered in the university has been added in the HES Proforma 2019-20, the same is required to be filled-in completely and carefully.The subject-wise active Enrollment, Pass out students’, faculty detailed information regarding all centres/institutes/constituent colleges including i.e. Centre of Excellence, Pakistan Study Centre, Area Study Centre etc. (excluding affiliated colleges/private candidates) working directly under university administration may be provided as per each template separately. Standardization issues may be sorted out by university/institute in entire fields/columns of all sheetsDifferent spellings for similar entries UK, United Kingdom, British, etc. or Spelling mistakes i.e. Pakstan, Chaina etc. orAbbreviations/Short Names i.e. Engg:, AP, FSS, Buss: Adm etc. orDates: 1-2-2020, 5 jun 2019, 9/12/2018, 7\6\1999 etc. orIncorrect/irrelevant information in any column/field i.e. Sector of university as “Education” or “Medical”, BS Architecture in Bachelor 16 years etc.For Active Enrollment and Pass out data:The information regarding active Enrollment and Pass out students’ may be provided subject-wise as per the template. Foreign Enrollment detailed sheet has been added in the HES Proforma 2019-20, the same is required to be filled completely and carefully. Information of Distance education programs (if any) to be provided separately in Part-II Proforma by replacing campus name with Distance Learning. The duration of PGD programs should not be less than one year time period. Moreover, the certificates/short/ languages courses should not be included in the active Enrollment and Pass out sheets.For Faculty and Staff Members Data:All the information required against each field is mandatorily to be provided in the detailed sheets. The information may be reviewed carefully and newly inducted faculty/staff members may be inserted in the end of sheet with required details.Full time faculty members means that the faculty member who bears course load.The faculty/staff members provided as “Full time” once in the sheet may not be repeated again as “Full time or Visiting or Part Time” to avoid duplication of records.In case CNIC#/Passport#/name of any fulltime faculty/staff member is found duplicate(s) in university or anywhere in other university/institute during the same period, then the same would be removed/excluded after necessary verification/validation/cross-checking.Please ensure that the CNIC# provided against each Male/Female faculty/staff member (Pakistani National) is correct/authentic as per your record/documents. It has been observed in some of the cases that CNIC# is not parallel with the gender i.e. Male/Female. The last digit of CNIC# should be ‘0’, ‘2’, ‘4’, ‘6’, ‘8’ for Female and ‘1’, ‘3’, ‘5’, ‘7’, ‘9’ for Male as identified by NADRA.Please check Gender/CNIC# of each faculty/staff member carefully before processing/submitting any information.In case Date of Birth, Date of Joining or Relieving is missing or not provided as per the standard date format DD-MM-YYYY then formatting tool in excel will be applied for its automation and total number of faculty/staff members would be calculated accordingly. Total number may be increased/ reduced after applying necessary formatting tools in MS Excel. The number of faculty/staff members would be finalized as per details provided in Date of Joining and Date of Relieving columns.“Actual Designation” in the faculty detailed sheet identified as the faculty members originally appointed as.“Additional Charge (if any)” in the faculty detailed sheet identified as the faculty members currently working as. The subject/area of specialization of each degree program may be provided separate in the required space.The relieving date of all the faculty/staff members should be provided, who have been relieved/retired/deceased or resigned during the said year.The current status i.e. working/retired/resigned/relieved of each faculty/staff member should clearly be specified in the last column.For Formatting of dates: Rt. Clk on cell having any date “13/01/1951” (in your sheet), Clk on Format Cells, Category: Date, Location: United Kingdom, try to change its format and observe on sample/preview above. If it responds then ok otherwise go back to specified cell and enter date as “13 Jan 1951”. Now check it!! The date will not be displayed as earlier in the filter of MS excel. You can try it on more one cells but ensure that the changes made recently have not affect the actual date like DD/MM/YYYY. Your system date also matters a lot.
