Position Summary: Responsible for providing financial and administrative assistance to the Accounting Department. Processes and monitors payments and expenditures and prepares weekly payroll. Ensures finances are accurate and current and that staff and vendors are paid timely and accurately.

Essential Functions:

• Receives and verifies invoices and requisitions for goods and services.

• Verifies that transactions comply with financial policies and procedures.

• Prepares batches of invoices for data entry.

• Enter invoices in computerized system for payment.

• Processes backup reports after data entry to ensure accuracy of data.

• Maintains general ledger.

• Prepares vendor checks for mailing.

• Maintains updated vendor files.

• Prints and distributes monthly financial reports.

• Verifies pay amounts, work hours and deductions for employee payroll.

• Processes off-cycle check requests per company policy.

• Maintains financial files.

• Adheres to all company safety rules and regulations.

• Maintains neat, orderly work area.

• Adheres to company attendance/tardy policies. Attendance is an essential function of this position.

Nonessential Functions:

• Assists with training of new staff.

• Assists with annual storeroom inventory.

• Performs other duties as assigned by Finance Director.

• Displays a professional appearance and manner when interacting with management, coworkers, customers, vendors, and the general public.

• Demonstrates excellent communication skills, both verbal and written.

• Demonstrates effective organization skills.

• Must possess mathematical and accounting skills.

• Must demonstrate effective problem-solving skills.

• Ability to handle multiple tasks effectively, prioritizing assignments and tasks properly.

• Must be self-motivated and demonstrate initiative to complete duties & resolve issues with minimal supervision.

• Ability to read, understand and follow oral and written instructions.

• Ability to operate a computer and general office equipment.

• Knowledge of Microsoft Windows/Office and ability to learn and use various software programs.

Education and Training:

• Requires knowledge typically acquired through high school diploma or GED.

• Prefer Associates degree in Accounting.

• Prior accounting experience preferred.

Special Position Requirements:

• Work hours may vary as business needs dictate.

• Occasional work may be required on weekends, evenings, or holidays.

Physical Demands and Working Conditions:

Requires sitting, standing and walking throughout facility. Sitting comprises approximately 75% of the work day. Requires ability to communicate with others in-person and on telephone. Manual dexterity needed for using computer keyboard and calculator. Requires the occasional lifting of objects up to 15 lbs. Must have adequate vision to operate computer and complete paperwork. Must be able and willing to work flexible hours to meet customer and organization needs.
