Job DescriptionJob TitleSales Support and Broker ManagerReporting toSales Manager Responsible forN/ADepartment/Location Sales, Lenham Office Version/Date3 July 2015Main Purpose & Function To assist and enhance Countrystyle’s Sales function through administrative support of the sales team and developing the company’s broker service offering.Duties & Responsibilities To assist the entire sales team from an administrative point of view including:Help monitor and assess the implementation of the sales reporting function ensuring all data is captured accurately and appropriately in order for it to be used effectively as a sales reporting pile and verify Pipeline and Forward Signed Contracts reports for each of the Sales Executives.Produce the commission claim summary for the Sales Manager/Director to sign off.To provide secretarial support to the Sales Director, Sales Manager & Business Development Manager.To provide support in managing our Waste Broker customers including:Main day to day, internal contact for broker enquiries and queries.Responsibility for taking new work enquiries, identifying suitable opportunities and then getting prices from the BDM before submitting this to the broker.Sourcing subcontractors and prices for any non-standard work.To collate customer files for each of the brokers ensuring that we capture all relevant information.Raise Purchase Orders where appropriateEnsure that Waste Transfer notes are in place and up to date.Set-up Direct Dial/email facility Letter to brokers advising of broker support function and Countrystyle’s service offerings.Identify new work to harmonize with sales strategy and logistics requirements – infilling, glass waste etc.Identify and deal with Credits raised for brokers in respect of minimising mistakes and data input/system errors.Administer holiday requests and keep an up to date wall planner in this regard.Ensure that Weekly Summaries and copies of diaries are produced by the sales team and filed accordingly.Produce the monthly sales meeting agenda.Attend weekly & monthly sales meetings and take minutes.Keep training records for the sales team.Take telephone sales enquiries and ensure that these are communicated to the correct Sales Executive. Working with the relevant Sales Executive, collate customer responses and where appropriate go back to the customer with the requested information.Create and maintain a sales database by using information collected from quote logs and anise e-shot and mailshot campaigns from our own internal database and those of third parties as instructed.Trade Waste Sales:Work with Sales Executives and operations to gather information on current routing of dustcarts - to identify key areas that need “infilling” with additional customers/lifts.Sales Support for Contracts/sales process:Inputting sales contracts onto Gatehouse – Scanning/filing sales contract. Consider welcome letter for new customers and content i.e service day, contacts.Produce Sales Representative’s monthly commission reportOption for sales support to provide/assist with quoting. Build quote template database and identify requirements needed in the quote i.e terms, caveats etc.Produce/update complaints log for monitoring in respect of improvements/awareness and resulting action for sales and other departments.Populate and maintain database for sub-contractorsComply with all Health, Safety and Environmental policies and procedures.
