Meeting Minutes

July 9, 2019

Attendance: A total of 10 members attended: Susan Seacord, Tabitha McQuiddy, Kim Elicker, Lisa Dissinger, Laura Holahan, Mary Yohn, Carole Spada, Dwight Steinly, Steven Seacord, and Keith Richardson.

Meeting was called to order at 6:20 PM by President Steven Seacord, following an Executive meeting.

Secretary’s Report: Minutes from the April Booster Meeting and the May Budget Meeting were previously sent to the Executive Committee and posted on the website. Members voted to approve both. There was no June meeting.

Treasurer's Report: Tabitha presented the Treasurer's Report, which was approved and will be posted on the Booster website for review.

Correspondence: Susan read a card from the Hummelstown Memorial Day Committee which thanked the band for participating in the parade and ceremonies. The card included a $100 donation to the Band Boosters. Also presented was an invitation to the Rodemaker's 1st Annual Memorial Pig Roast for Bobbi to be held on August 10.

Old/New Business:

Equipment Report - Dwight said he recently checked the tires on the trailer and that they looked good. It may need to be inspected soon. He will check with Eric Heberlig to see if he prepared a Pre-Trip Check List as previously decided. The list will remind drivers to check tire pressure and perform other safety measures before pulling the trailer. A tire gauge and compressor have been purchased and will be available for use at the High School.

Band Camp Planning -

• Band Manager - Chali Milic was unable to attend the meeting, so Steven presented her report. She noted that we are still short volunteers for Band Camp and asked if Mr. Richardson could send out a "Remind" message. Tabitha is processing the Marching Band Fees and will send a report on the number of vegetarians and food allergy issues as soon as it is ready. Mary said she is bringing cupcakes to the camp meal on August 24. The orange water thermoses, which are currently in the storage tower, will need to be brought to the MS Turf Field by July 22, along with the small wagon, so students can refill water bottles during camp.

• Pool Party - The Hummelstown Pool and a smaller pavilion have been reserved, and Chali is working on getting R&K Subs donated for that lunch on Friday, July 26. Sweet Dawgs will also be there.

• Trailer - Dwight said he would be at the High School at 8:00 AM on Monday, July 22, to pull the loaded equipment trailer to the Middle School.

• Uniform Sizing - Mary and Carole said they will be doing sizing at the High School on Tuesday, July 23, starting at 1:00 PM. They are planning another fitting for Wednesday, July 24, if they do not get everyone done in one day. Mary said they will be setting up stations for uniforms, shakos, polos, dinkles, etc, and they will need a lot of parent volunteers. They will start sizing Percussion students on Tuesday, July 16, at 6:00 PM. Laura, Kim and Susan said they could help, and Mr. Richardson will inform the Percussion Instructors. Mary asked Susan to put a note in the weekly email reminding students to try on their dinkles, jackets and polos in case they need to order new ones. Mr. Richardson reminded the 2nd VP's to order extra polo shirts for the Concert Band only students, but he will not have that list until after school starts.

• Parent Picnic & Preview Show - Mr. Richardson confirmed that the MS Cafeteria has been reserved for the evening of Wednesday, July 31, as well as the entire week of camp.

• Spirit Wear - Mary and Carole are working with Kidz in Mind to prepare a selection of spirit wear items and have been getting ideas from parents and students. Tabitha suggested doing the car magnets again. They will have some samples at the Preview Picnic, along with Jackets for sizing. The link to the online Spirit Wear sale will be shared via email as soon as it is open.

Reimbursement Requests - Mr. Richardson presented 2 requests for reimbursement. Members voted to approve $100 payment to Carole Spada for purchase of a second-hand clarinet to be used by band students. Members voted to approve $100 payment to the guest harpist for her participation in the HS Spring Concert.

Donor T-shirt Fundraiser - Susan reported that she currently has 8 blue level donors and 2 white level. The deadline is July 22. Members reviewed a list of local businesses and discussed possible additional sponsors. Susan also presented artwork for the front of the t-shirt.

R&K Subs Fundraiser - Kim stated that the current cost of subs is $3.75, with a recommended selling price of $5.50-$6.00, and $2.75 for pretzel sandwiches, with a recommended selling price of $4.50-$5.00. Motion was made and passed to sell subs for $6.00 and sandwiches for $5.00, giving $1.50 of the profit to students and allowing the Boosters to keep $0.75 each. Sale starts July 16; orders are due August 6. Kim emphasized the importance of sticking to the deadline and not accepting very late orders. She also requested that parents include a phone number, not use multiple forms unless necessary, and check their orders carefully. Pick up will be on August 20 from 4-6:00 PM at the High School.

Sweet Dawgs - Mary confirmed that Sweet Dawgs will give the boosters 25% of their sales on Tuesday, July 30, between 4:30 and 8:00 PM. Susan will include the flyers with email updates, post them on Facebook and the website, and bring hard copies to band camp for the students.

Car Wash - Steven announced that First National Bank is no longer allowing groups to do car washes on their property. Members discussed other possible locations for an event to preferably be held on September 21. Steven will follow up.

You Got Played - Tabitha discussed ideas for this new fundraiser set to start on August 27. She will need to purchase fake instruments and flags to put on stakes for yard display. Motion was made and approved to allow Tabitha to spend up to $100 on supplies. Prices, profits and additional rules for You Got Played will be discussed at the August meeting.

Pillow Sale - This fundraiser was approved by Mr. Bitting, but approval needs to be obtained from the School Board to use the old uniforms. Kim expressed concern about having enough time to sew the pillows and making sure they are a good quality. Susan suggested a committee be formed to plan this activity once approval to use the uniforms has been received. Mr. Richardson will submit a request to the School Board and try to get on an August meeting agenda.

Indoor Shows - Steven announced that the February Falconland show has been scheduled, but Lower Dauphin did not get chosen to host TIA Chapter Championships this year. The Executive Committee has been discussing possible ways to replace that second show for fundraising purposes. Steven explained that LD may be able to host a show for KIDA, the Keystone Indoor Drill Association, another local indoor circuit. Mr. Richardson will have to check with the school office on availability of the facility, and then an application will be made to KIDA with possible dates. The feasibility of hosting a double TIA/KIDA show in the same day was discussed and is an option, though not preferable as it would be a very long day.

PITT Trip - Steven stated that registration has closed for the PITT Band Day trip on September 7. There are 95 people in total going, with 56 being bused, so the boosters will only be taking one coach bus. There will be some funds left-over due to being able to cancel the second bus, so the members will discuss at a future meeting how best to use this money for the band students. Steven is ordering tickets and will prepare a more detailed itinerary as the event gets closer.

The next Booster meeting will be Tuesday, August 13, starting at 6:15 PM, following a brief Executive Committee meeting.
