I. Title: Director of UNDERGRADUATE Admission

Division: COO Department: Undergraduate Admission

Location: The Admissions House, Gorham Campus

Schedule: 8:00am-4:30pm, Monday- Friday, Evening and weekend hours as required. Recruitment travel is also expected as a part of the position.

Organizational Relationships:

Reports to: Chief Student Success Officer

Supervises: Professional Staff: 8-10, Classified Staff: 5-8, Student Workers: 20-30

Coordinates with: Other department heads in the Chief Operating Officer’s Division, including Student Success, Financial Aid, Registrar, Student Accounts; department heads in Student and University Life; departments within University Advancement, including Alumni Affairs and Publications and Marketing. Works closely with Academic Affairs including Deans and academic department chairs. Maintains liaison with all levels of faculty, professional and classified staff at USM. Works closely with local and national guidance counselors, other school officials and other higher education institutions as appropriate for the recruitment of a diverse student population. Maintains liaison with nationally recognized professional organizations in the field of Admission.

II. Statement of the Job

The Director of Admission is primarily responsible for planning, organizing, and implementing a comprehensive undergraduate admission recruitment and selection program at the University of Southern Maine. In his/her role, the director works closely with local and national secondary schools and colleges as well as area businesses and organizations. The director is also responsible for recruiting an international population of students. The recruitment process includes identifying and attracting freshman and transfer students from both traditional and non-traditional markets, supervising all undergraduate admission procedures, and carrying out academic policies in the area of undergraduate admission as created by the instructional sectors of the University. The director is also responsible for overseeing the training and development of professional and support staff and for promoting the role of admission within the University community. In all of his/her roles, the director is responsible for promoting and developing the use of new and emerging technologies in the admission process.

III. Essential Functions

1. Develop long range organizational and promotional/marketing plans (print, electronic, and other mediums) for programs and initiatives which support and promote the academic missions of the institution related to admission;

2. Provide leadership in positioning the University in the student marketplace to expand University visibility so as to attract, select, enroll and retain a diverse student body

3. Develop annual targets and projections for undergraduate recruitment activities for the campus and for use in overall budget projections;

4. Coordinates the design and implementation of consistent communication through the admission and enrollment funnel

5. Enhance the working relationship with internal and external communities

6. Responsible for overseeing the management of the admission database;

7. Responsible for the oversight of the recruitment and selection of all undergraduate degree candidates, first year and transfer, at the University of Southern Maine;

8. Responsible for administering academic policy and university regulations that govern the process of recruitment and enrollment of students;

9. Responsible for analyzing and preparing data for internal use in recruiting and for establishing parameters for the same;

10. Responsible for supplying USM data to national publications used in the admission process;

11. Responsible for overseeing the development of an appropriate recruiting schedule that includes virtual and face-to-face components as well as visits to area high schools, colleges and college fairs, as well as an adult recruiting schedule including seminars, liaison with area business and social/professional organizations, and the like;

12. Responsible for ensuring an effective and collaborative relationship with the Advising and Academic Support area, particularly as regards Orientation programs;

13. Provides supervision, training and professional development opportunities for all staff members in admission;

14. Responsible for the identification and selection of merit scholarship recipients and other admission-related designated scholarships, and, working with financial aid, monitoring all recipients’ academic progress for the duration of their award.

IV. Marginal Functions

1. Serve on campus and University of Maine System committees as appropriate;

2. Serve as USM liaison with civic and other community organizations;

3. Carry out planning and staff development activities and function as a member of the Division of Student Success department heads.

V. Supervisory Responsibilities:

1. Supervise work of Professional staff in the office of Admission.

2. Responsible for hiring and termination decisions for all staff, professional and classified, in the office of Admission

VI. Budget Responsibilities

1. Manage the admission office budget, including the budget for undergraduate domestic and international waivers/merit scholarships;

2. Responsible for providing admission incoming projections annually to be used for USM overall revenue budget projections.

VII. Public/Professional Activities

Serve on task forces and committees at USM and within the University of Maine System as appropriate. Maintain membership and involvement in state, regional and/or national organizations related to admission.

VIII. Internal/External Contacts

Internal (USM) Contacts: Works closely with all academic and administrative departments at USM;

External Contacts: Maintains close working relationships with school systems (secondary and higher education) throughout the state and New England region. Close involvement with other professionals in local, regional, national and international organizations related to admission. Maintains contact, as appropriate, with various state, regional, national and international agencies, such as ECIS, the Department of Education and the Department of Human Services, to assist students and prospective students.

IX. Knowledge, Skills, and Abilities

Demonstrated record of excellence and responsibility in resource management, program development and assessment;

Understanding of statistical modeling and analyses to support enrollment initiatives, planning and decision making;

Demonstrated skill in the effective use of enrollment software to recruit and retain students

Ability to communicate effectively with the widest range of contacts.

Sensitivity to maintaining the proper balance between indicated needs of the applicants and the requirements of the University.

Knowledge of the capabilities of electronic data processing to accomplish the administrative objectives in an effective and efficient manner.

Competence in developing a marketing/promotional plan for undergraduate admission. Demonstrated skills in group dynamics and the ability to work collaboratively with a seasoned admission staff.

Ability to delegate effectively.

Outstanding leadership and organizational skills.

X. Qualifications

Required:

A Master’s degree in an appropriate discipline, eight or more years experience in higher education, six of which are in admission. At least two years experience with staff supervision. Strong management and interpersonal skills, budget preparation and management, data analysis skills, and the ability to work effectively with faculty, professional and classified staff members. Successful experience in working with traditional and nontraditional students, and in recruiting a diverse student body.

Preferred:

Experience in a public higher education setting
