OnboardingNew HiresAlicia BennettOnboarding_New Hires06/28/2018Purpose:To assist colleagues in completing task in their Workday Inbox as a New Hire to the Organization.First set of Task to Complete in InboxComplete I-9Review and/or Update Contact InformationAdd or Change Emergency ContactVeteran Status IdentificationDisability Self IdentificationE-Sign documents - Conflict of Interest, Code of Conduct Acknowledgement, Confidentiality and Network Access AgreementReview New Hire Documents – Agreement to Notify Employer of Arraignment/Conviction, Healthcare Reform Notice on Health Insurance Marketplace Coverage, Photo Acknowledgement.Once the first task that are showing in the colleague's inbox are completed, they will be presented with the final four task (this includes their benefit enrollment form)Add Payment ElectionsUpdate Tax ElectionsBenefit Change – New HireNote: This is a general document and your organization may have additional items..Guidelines for use:If you are unsure if you should use this event, reach out to your Workday Tier 1 Representative prior to data entry.Colleague will login into Workday using the 4x4 and password.Click on the Inbox Worklet Next task is the Complete I-9 document. Click on the embedded link on the screen, this will take the colleague outside of Workday to the Equifax site. They will complete the information in Equifax. Once completed, they need to go back to their inbox and submit the task.Next Task, Review and/or Update Contact Information.First scroll through the page and review the information.Then if information needs to be updated, click the "Pencil" to the right of the screen.Once complete, click the submit button. Next Task, Change Emergency ContactsClick the Pencil next to the information you want to enter.Note: Required information is: Name, Relationship and at least one of the following: Phone number, Address or Email Address.Once complete, click "Submit"Next Task - Change Veteran Status IdentificationOnce the question has been answered, click the "Submit" button Next Task – Change Self-Identification of DisabilityScroll down the page to the question, once this is answered; click the "Submit" button. Next Task – Agreement to Notify Employer of Arraignment/Conviction – Trinity and Healthcare Reform Notice on Health Insurance Marketplace Coverage – Trinity and Trinity Health Photo AcknowledgementOpen the PDF and read the contents of the document, once complete, click the "I Agree" button on the documents,Click "Submit" to finalize the task.Next Task – Conflict of Interest, Code of Conduct Acknowledgment, Confidentiality and Network Access Documents.Click on the E-sign by Adobe sign, the document will open in Adobe; fill in all required areas of the document, and sign the document at the bottom.Remember to click "Submit in your inbox.After they have completed the first 7 task, it will show in their inbox that they have 3 new task:Payment ElectionsTax ElectionChange Benefit ElectionsNext Task – Add Payment ElectionsClick on the Green box, this directs you to a payment election screen, once you have enter the information, go back to your inbox and "Submit" the task.Next Task – Update Tax Election (With Link)Click the embedded link; this will direct the colleague out to vendor to enter in the tax elections; once they have completed this step. Come back to the inbox and "Submit" the task.Note: If an "error" presents itself when you click the external link, go back to the inbox and submit the task. You will be able to enter the tax elections, by using the "Pay Worklet" on the main screen. (See next screen shot)Click Pay Worklet, then click under "External Link", the "Update Withholding Elections" this directs you out to the vendors site.Final Task – Change Benefit ElectionsThere are 7 steps within this formMedical, Dental, VisionHealth Savings Account – If electing the Health Savings Medical Plan. Note: if electing, they must click "Elect" even if not putting in money from their check, this allows the employer portion and an HSA account to be set up with the vendor.FSA and Dep Care FSA – If not electing the Health Saving Medical PlanLife Insurance ElectionBeneficiary ElectionHyatt Legal Plan ElectionFinalize by Agreeing and clicking Submit. ................
