Telephone DutiesEnsure smooth operation of the telephone system; receiving and diverting calls and taking messages. Explain, advise and respond to patient queries and requests over the phone.Administrative DutiesManagement of medical records; scanning and filing of all patient correspondence into the electronic casenotes via the Docman system. Pulling information from electronic casenotes as required eg blood/test results.Processing lab results to clinicians and patient files, dealing with labs admin tasks.Inputting statistical information and data as required using our Vision Clinical System; including summarising of hospital letters, child health surveillance, immunisations and vaccinations.Processing OOH and NHS24 reports via email; logging housecallsContacting patients for information and recording that into Vision. Contacting patients either by phone, SMS message or letter to ask them to make appointments for review by the doctors and nurses. Processing Actions in Docman and Daybook.Making phone calls to SAS for ambulances and to hospitals and community clinics with and for patient information.Preparing prescriptions for signature and then for forwarding to the patients or pharmacies as municating with practice doctors and staff to ensure the smooth running of the practice.General office duties including faxing, photocopying and emailing.Participate in the training of new employeesThis job description does not attempt to define in detail all duties and responsibilities and you may occasionally be asked to perform other reasonable duties at the request of the practice.SKILLS, KNOWLEDGE AND ATTITUDEUnderstanding of and adherence to strict confidentiality requirementsOutstanding customer care skillsExcellent communication skills both verbal and writtenGood level of knowledge in the working of office environmentsHighly skilled in the use of computer systemsAbility to use Word, view Excel and work with emailExperience of working as part of a tight-knit teamStrong sense of accountability and responsibilityMaintain a positive attitude within the workplace ................
