Hopefully, it will answer any concerns you may have, but if you have any other questions, please don’t hesitate to ask.Aurora Internal Medicine Clinic has been in the Aurora community for over 30years and in the Parker area beginning in 2002. We are closely affiliated with Parker Adventist Hospital, Centennial Medical Plaza, and the Medical Center of Aurora.WEB SITE: The website has information about all the providers, our office policies, directions, and numerous links to reputable health care websites. OFFICE HOURSOur office hours are 8:15a.m. to 5:00p.m., Monday through Friday. We are closed from 12:30p.m. to 1:30p.m. for lunch. Routine appointments begin at 8:30a.m., and our last scheduled appointment is at 4:30p.m. On-call coverage is available for emergencies 24hrs a day, 7 days a week, 365 days a year. If your concern cannot wait until the next business day, please call 303-805-1800 to be connected to on call provider.APPOINTMENT PROCEDURESFor first visits we ask that you show up 15 minutes early to allow time for completion of the information sheets. We make every effort to stay on schedule, but because of emergencies or other unforeseen circumstances, a wait is occasionally required. If the delay is unusually prolonged, we will keep you informed. Patients who fail to show up for their appointment without 24 hours notice will be charged $45 for a 30 minute appointment and $30 for a 15 minute appointment. This will not be covered by your insurance. If you are going to be late, please notify our office so that we can make the appropriate arrangements. Cancellations of all appointments should be at least 24hrs before the scheduled time.PHYSICAL EXAMINATIONS: Complete physical examinations require a separate appointment from acute or chronic medical problems. Additional time is required for the physician to perform the history and physical exam as well as complete any testing that may be required. In selected cases it may be necessary to schedule an appointment for the history alone with the actual exam performed at a later date. To our Medicare patients: a “Welcome to Medicare exam” is not a complete physical exam or well-woman exam. Please let the receptionist know if you are requesting the “welcome” visit.“WALK IN” PATIENTS: We prefer that you always call ahead so we can try to schedule you an appointment. If you do arrive without a scheduled appointment, we will do our best to accommodate you, but due to scheduling constraints and often completely full schedules, you may be referred to a local urgent care center. We will do our best to evaluate and treat you appropriately. LABORATORY TESTING AND FREE BLOOD PRESSURE READINGS: We offer free blood pressure checks for our regular patients. Follow-up laboratory tests and an office visit may be requested by your physician. Laboratory work, radiology exams, and other specific testing are usually not performed at the office. Occasionally labs may be drawn at your time of your appointment, but this is completely dependent on outside laboratory staffing over which we have no control. You will be given a full listing of laboratory facilities where your labs can be drawn. If you schedule an appointment on line, you will spend very little time waiting at the laboratory. Radiology exams are also performed at specific facilities. Our staff will indicate to you how these tests are scheduledRESIDENCY TRAINING PROGRAM: Drs. Gilmer, Aboaf, and Burroughs are on the clinical teaching faculty at the University of Colorado Medical Center, and our office participates in the University’s residency training program. The residents in our office have completed medical school and internship and are in their second or third year of a three year residency training program to become internal medicine specialists. We welcome any comments or suggestions that you may have regarding your experience with them.TELEPHONE MESSAGES: When calling the office for advice or information, you can help us out by observing the following guidelines:Use the telephone triage menu if possibleLet us know if you feel you are dealing with an emergency. Your call will ALWAYS get immediate and special attention.If you are calling for the results of routine blood tests or other tests such as pap smears, we will take your name and phone number so that someone will be able to get back to you later. Lab results are also available online from your contracted labs and possibly from our patient portalIf you have a special problem that requires a call from the doctor, PA, or nurse practitioner, he will attempt to get back to you that same day either over the lunch hour or after office hours. Please leave both a work and home phone number to facilitate these call-backs.Peak telephone calling periods are usually between 8:30–9:30a.m. and 1:30-2:30 p.m. If it is possible to avoid calling during these times, we would appreciate it.NEW PRESCRIPTIONS AND PRESCRIPTION REFILLS: All prescriptions are filled electronically through our electronic record. Controlled substances can occasionally be called into your pharmacy, but state and federal regulations may require that you pick up the actual prescriptions in person. Many of these prescriptions do not allow any refills. Please call your pharmacies at least 72 hours in advance with your refill requests. Please request that your refill requests be done electronically directly to our office. It is our policy to not prescribe narcotics or antibiotics over the phone unless the doctor is aware of the particular situation. An office appointment may be necessary to determine the need for these medications. No narcotics (pain medicines) or other controlled substances will be refilled after hours or on weekends by the on call provider. PAYMENT PROCEDURESPRIVATE INSURANCE: If you have a health insurance plan with whom we are NOT contracted providers (non-participating by our office), payment is expected at the time of service. We expect patients with non-contracted plans and motor vehicle claims to file their own insurance claims. To facilitate this, we will provide you with a receipt for the services rendered. Should you need a copy of a detailed bill AFTER you have been seen, please contact our billing company 24 hours after the date of service and they can provide you an detailed copy for submission. Their phone number is 303-755-2900.HEATH CARE PLANS: You are responsible to ensure that you are covered by your health care plan before service is rendered. If your eligibility is not known at the time of your visit, you will be responsible for the fee and it will be required at the time of service. Please bring your current health care benefits card with you to every visit. Failure to notify our office in a timely fashion of a change of your insurance coverage may result in your being responsible for the charges incurred from your office visit. Co-payments will not be billed and must be paid at the time of service or a service charge will be accessed. Should you not have your copayment on the date of your appointment, you may be asked to reschedule your appointment.DELINQUENT ACCOUNTS: An account is delinquent if there has been no payment for 30 days. We send out two regular billing statements and another seriously past due. If no response is received, a certified letter with service charge is sent giving you the option to pay the account or to have the account sent to the collection agency. If no reply is received, the account will be referred to our collection agents. All unpaid accounts, no matter the amount, will be accessed a $20.00/month finance charge when over 60 days. This will continue until the account is paid in full. It is important that you keep our billing office (303-755-2900) advised if you are having any difficulties with your balance so that special arrangements can be made for unusual circumstances.MOTOR VEHICLE ACCIDENTS AND WORKMAN’S COMP CLAIMS: Claims are to be filed by the patient. A copy of the services provided and accompanying fees will be provided. Currently we bill State Farm and Farmers Insurance claims. If you have a question regarding claims for workmans compensation and Motor Vehicle Insurance, please contact our billing company at 303-755-2900.BILLING: All billing inquiries are handled by our billing service.
