Job Title: Protected Leave Clerk III Date: 11/13

Job Summary

Provides leadership in the administration of employee protected leave requests under the Family Medical Leave Act (FMLA) and/or state leave laws, including but not limited to providing leadership to the other protected leave clerks in the form of training, resolving problems and ensuring ongoing compliance with state and federal laws.

Typical Duties and Responsibilities

• Provides leadership to Protected Leave Clerks and the department, which includes training, being an available resource, analyzing and resolving issues and conflicts in processing or procedures.

• Assists in the administration and coordination of Federal/State Leave Laws, understanding how each law impacts or supersedes others.

• Reviews FMLA/state leave applications and determines eligibility.

• Tracks FMLA/state leave participants and coordinates return to work or extended leave.

• Provides support to stores in fulfilling the employer’s obligations and the employee’s rights.

• Helps employees resolve protected and unprotected leave issues.

• Prepares and maintains process and procedure documents for protected leave processing.

• Communicates updates to federal and state leave laws and processing changes to employees at store, warehouse and other locations.

• Ensures deadlines are met in processing leave and identifies barriers and recommended solutions if deadlines are not being met.

• Coordinates by telephone and email with employees, store and location management, Benefits, Payroll and outside entities regarding protected leave processing.

• Provides direction and training to other stakeholders (i.e., store management and store personnel clerks) regularly.

• Tests leave software programming changes when needed.

• Performs other duties as assigned or needed.

Requirements

Education:

• High School Diploma or equivalent.

Experience:

• At least three (3) years in a position with primary responsibility for learning, understanding, communicating and accurately applying working knowledge of the insurance industry as well as HIPAA, COBRA and ERISA laws.

• Demonstrating strong analytical and problem-solving skills with close attention to detail in order to effectively monitor progress and complete assignments efficiently and accurately.

• Fielding and prioritizing different tasks, phone calls and projects.

• Communicating utilizing excellent verbal, written and inter-personal communication skills.

• Establishing and maintaining good rapport with co-workers, store personnel, supervisors, third-party administrators and others.

• Professionally addressing difficult, sometimes angry individuals.

• Demonstrating initiative and self-direction to perform a variety of simultaneous skills (multitasking).

• Accepting direction from multiple sources and effectively managing time to ensure deadlines are met.

• Effectively managing time to ensure deadlines are met.

• Maintaining a high degree of confidentiality with sensitive information.

• Demonstrating proficiency in the use of Microsoft Office software (Word, Excel, Outlook, etc.)

Ability to:

Additional Requirements:

• Must be at least 18 years old.

• Occasional travel.
