Guide to using Refworks

Refworks is a web-based referencing software available free to all Bangor students and staff and accessible from anywhere with internet access. Using Refworks you can:

• Download your online search results.

• Store your references in any way you want using folders.

• Format them in your chosen referencing style, and output them as a bibliography.

• As you type your work, place citations within your paper at appropriate points in the text.

1. Creating your Refworks account

4. Select Bangor University from the drop-down institution list and click on Login

5. Enter your standard Bangor Username and Password, and click on Login

6. Enter your details for Name, E-mail Address, Type of User and Area of Focus

7. Enter the Code as displayed and click on Register

NB. For future Logins only steps 1-5 are required

Once you have created your Refworks account you should see this introductory screen:

Initially of course your account doesn’t have any references in it. You can follow the step by step guides or watch the tutorials to learn about how to populate your Refworks account with references. Or you can continue reading through this guide!

2. Creating Folders

Before starting to collect your references it’s useful to become familiar with the process of creating folders to put them in. Your folder names might reflect a particular area of research activity or you might name them according to the source from which they were obtained, a database name for example. To create a new folder:

• From the top menu click on Folders – Create new folder

• Give your folder a name and click on OK

• Your new folder will appear in red

3. Adding References

a. Manually inputting a reference

For adding references from a printed source (ie. a book or printed journal) you can manually input the details:

• From the top menu click on References – Add New Reference

• Under ‘View fields used by’ you can select a bibliographic or output style. This will indicate (with a green tick) which fields are used by your selected style.

• Under ‘In Folder(s)’ you can specify which folder you would like to add the reference to.

• Under ‘Ref Type’ select the kind of reference you are entering, for example ‘Journal Article’, ‘Book, Whole’ etc.

• Proceed to add your information to all the relevant fields.

• Note that you can also add an attachment to your reference. Attachments can be any type of computer file that you want to associate with the bibliographic information you store in your RefWorks database. The maximum size of any individual attachment is 20 MB.

• Once you have finished entering your information click on the Save Reference button. You will see confirmation in red text that the reference has been saved.

b. Direct import from a database

A number of Bangor’s library databases allow you to directly import your saved references into Refworks. This example uses the Psycinfo (CSA) database but is applicable to a number of other databases including all of those on the CSA platform:

• Go to the main database menu on the library website:



• Select ‘Databases for Health & Behavioural Sciences’.

• Select the PsycINFO (CSA) database.

• Carry out your search, eg. dementia AND reminiscence

• Browse through your results and select those references that you would like to save by using the tick boxes.

• Click on the ‘Save, Print, Email’ link at the top of the results list.

• You can leave the marked records selected (the ones you have just ticked) or choose to export the whole of your search results.

• At the base of the screen click on the [pic] icon.

• Your Refworks account will open in a new browser tab with the message ‘Importing references, please wait…’, followed by ‘Import completed – (12) references imported

• To view your newly imported references click on ‘View Last Imported Folder’

• This is how your references display. You can change the display setting by choosing from the display options under ‘Switch to’.

• Remember that the contents of the Last Imported Folder changes every time you import new references. Therefore it’s sensible to move your references from the Last Imported Folder into a folder that you have created. To do this select ‘All in List’ then select a folder using the drop-down list.

c. Indirect import from a database

For databases where the direct export option is not available the user is required to first save their results as a text (.txt) file, then import the text file into Refworks. This example using the Web of Science database:

• Go to the main database menu on the library website:



• Select ‘Web of Knowledge’ from the General Resources menu

• Click on the ‘Web of Science’ tab

• Carry out your search, eg. industry AND “global warming”

• Browse through your results and select those references that you would like to save by using the tick boxes.

• Click on ‘Add to Marked List’ at the top of the results list.

• You will see that your marked records have a red tick.

• Select any additional fields that you would like to include in your saved references. For example - the abstract and keywords.

• Under Step 2 leave ‘Other Reference Software’ as the selected choice and click on the ‘Save to File’ button.

• Save your text (.txt) file to your chosen location. If you are using the Firefox browser the file will automatically save to your desktop with the default name ‘savedrecs.txt’.

• Back in Refworks from the top menu click on References – Import.

• Select ‘Prifysgol Bangor University’ as your Import Filter/Data Source.

• Select Web of Science as your Database (you will see other popular Bangor University databases in the database list).

• You then have the option to choose which folder to import your references into. If you do not make a choice your references will automatically import to the Last Imported Folder.

• Click on the Browse button to select your saved .txt file.

• Click on the Import button

d. Searching and importing from library catalogues

You can connect, search and save references from a number of library catalogues from within Refworks, including the Bangor University library catalogue and the British Library catalogue. This is particularly useful in retrieving references for printed books.

• From the top menu click on Search – Online Catalog or Database

• From the drop-down menu select a catalogue to search eg. ‘Bangor University’ (Listed under ‘Prifysgol Bangor University specific’).

• You have the option to carry out either a Quick or an Advanced Search.

• Enter your search terms and click on the Search button.

• Your search results will display, you have the option to ‘View’ the full details of any reference, and to add all or a selection of your references to a specific folder (your references will also appear in the ‘Last Imported’ folder).

4. Producing a Bibliography

Once you have your references in your Refworks account you can produce perfectly formatted bibliographies in the bibliographic style of your choice:

• From the top menu click on Bibliography

• Select your Output Style (ie. Bibliographic style) from the drop-down list.

• If the style you require does not appear select ‘Access Output Style Manager…’from the bottom of the list.

• You can search for your style or select a style from the alphabetical list.

• The chosen style will now appear in your Favourites list. Click on ‘Back to Previous Page’ in the top-right of the screen and select your newly added Output Style from the drop-down list.

• Make sure that ‘Format a Bibliography from a List of References’ is selected.

• Select the file type you wish to create. For example, to create a Word document select either ‘Word for Windows (2000 or later)’ or ‘Word for Mac (98 or later)’.

• Select whether to include all of your references or references from a specific folder.

• Click on the ‘Create Bibliography’ button.

• After a few seconds you will be prompted to either Open or Save your newly created Bibliography. If you are not prompted click on the ‘Download it’ link.

• View and check your Bibliography document (it helps to change the View in Word to ‘Print Layout’).

5. Installing ‘Write‘n’Cite’

In order to use the ‘Write’n’Cite’ utility you need to first install the ‘Write’n’Cite’ plug-in on your own PC or Mac:

• Login to your Refworks account.

• From the top menu click on Tools – Write’n’Cite

• There are 2 versions of the Write’n’Cite utility for Windows users and also one specifically for Mac users. Click on the link to view the Installation instructions for the version you intend using. It is useful to print these out.

• Click on the link to download the appropriate Write’n’Cite utility.

• You will be prompted to save the .exe file

• Once downloaded simply double-click on the .exe file to start the installation.

• Note that if you are on-campus you may need to request administrator privileges from IT Services in order to install software. Please contact John Wright, User Support Librarian (john.wright@bangor.ac.uk) if you have any problems.

Students using ‘Write’n’Cite in Bangor University PC Rooms

If you are a student using one of the open-access PC rooms on the Bangor University campus (see for the location of these rooms) you will need to install the ‘Write’n’Cite’ utility for Word in order that it is available to use. You only need to carry out this procedure once. To install the ‘Write’n’Cite’ plug-in:

• Login to any of the open access PCs on campus.

• Click on Start – All Programs – Refworks.

• Click on ‘Installs Refworks CiteNWrite Plugin to Word 2007.js’

• Close all other applications

• The install will complete in a few seconds

6. Using the ‘Write’n’Cite’ utility

The ‘Write’n’Cite’ utility allows you to cite references from your Refworks account directly into the text of your Word document as you write, and then to create a perfectly formatted document, including a bibliography.

To begin using Write’n’Cite first open Microsoft Word.

Open the Write ‘n’ Cite utility by one of the following methods:

-Word 2003: Click on the ‘Write-N-Cite’ shortcut on the toolbar or select Tools – Refworks Write-N-Cite.

-Word 2007: Select Add-Ins – Write-N-Cite

-Word on Macs: Launch Write-N-Cite by clicking the Write-N-Cite icon either from the desktop or from the dock.

• The Write’n’Cite facility will open up in a new window.

• Click on ‘Login through your institution (Shibboleth users)’.

• Select Bangor University from the drop-down menu and click on Login

• Enter your standard Bangor Username and Password, and click on Login

• Minimise Write’n’Cite and start writing your Word document up to the point where you would like to insert a reference.

• Click on the Cite link next to any reference in Write’n’Cite in order to add your reference.

• Save your Word document and continue writing, citing references as you go, until you have a finished draft.

• In order to format your document login to your Refworks account and click on Bibliography.

• Select your Output Style (ie. Bibliographic style) from the drop-down list.

• Select ‘Format Paper and Bibliography’.

• Browse for and select the saved Word document that you wish to format.

• Click on the ‘Create Bibliography’ button.

• After a few seconds you will be prompted to either Open or Save your new formatted document (Refworks uses the original file name with the prefix ‘final-‘). If you are not prompted click on the ‘Download it’ link.

• Save and check your newly formatted document (it helps to change the View in Word to ‘Print Layout’).

• As well as formatting citations within the text, Refworks also places a bibliography at the end of your document.

• You can continue to amend and create as many formatted versions of your document as you like.

7. Other functions

a. RefGrab-It

The RefGrab-it tool allows you to capture bibliographic data from any webpages that you are viewing and to import that data into your Refworks account. It will also provide any supplementary data including other bibliographic references included within a webpage.

To download the RefGrab-It tool go to Tools – RefGrab-It and follow the instructions.

b. RSS Feeds

You can use Refworks as your dedicated RSS feed reader and import references from any of your subscribed feeds.

• Go to Search – RSS Feeds

• Input the URL of your chosen feed

• Refworks will add the feed then ask if you want to retrieve the feed. Click on OK.

• The most recent feed results will display in a new browser tab.

You can navigate around Write’n’Cite using the Menus.

Click on the link at the top of the page to view your Marked List.

Write’n’Cite does not format the document instantly, it simply puts a place holder in the appropriate position in the text, ready for formatting at the end.
