DATA MIGRATION During our transition to Office 365, all PCs in the District will be upgraded to Windows 7 and Office 2013. In order to perform the upgrade, each machine’s hard drive will be formatted and wiped clean. As a result, all data stored locally on the PC will be lost. This means that all of your data in My Documents, stored on the Desktop, Downloads, and anywhere else you have stored files on the PC will be erased. This also means that each user’s Favorites and Bookmarks in the web browser (Internet Explorer, Chrome, and Firefox) will also be deleted. Each user will be required to move their data into their U: drive to ensure data is not lost. Please use this opportunity to permanently delete any unused/unwanted files and folder. *You are required to email the Technology Department to confirm completion of the data migration. Include a list of all special purpose software installed on the PC in the email. Common software such as Adobe Reader and Office do not need to be included in this list. Some software works using a database or a specialty file set to save the data it generates. The Technology department will help to determine which applications may be affected and try to help migrate that data. We also need to know if you have archived any email to the PC as a PST file. The following instruction set will provide directions to help you move your folders and files into your U: drive as well as export your Bookmarks/Favorites and import them into your new browser.STEPSLog into the PC as you would every day.Click the Start button and click on My Computer. Locate your U: drive under the Network Drives header.Double click to open your U: drive. Once open, right click inside the drive and create a new folder. Name this folder OFFICE365.Open the newly created OFFICE365 Folder.Next, open your My Documents folder then begin dragging and dropping them into the OFFICE365 folder in your U: drive. To select multiple files press and hold the Shift key when clicking the file or folder. Click the item, press and hold the SHIFT key, scroll down and click on the last item to include. Multiple individual items can be moved using the same process by replacing the SHIFT key for the CTRL key.Please refrain from moving large amounts of data in the morning. It is best to start moving the bulk of the files and folders in the afternoon before you leave for the day. DO NOT shut down your PC when leaving for the day. Arrangements have been made to allow users to leave their PCs on overnight in order to facilitate the move in a more expeditious manner. You can safely lock your machine to prevent unauthorized access and the files will continue to move. Use the Windows Hot Keys - + L at the same time will lock your PC. The Windows key is located between the Ctrl and Alt keys on the lower left side of the keyboard. Repeat Step 7 until all of the data stored locally on your PC is in the folder OFFICE365. Data in your U: drive is backed up along with the S: drive.We cannot be responsible for recovering data lost during the upgrade of the PC to Windows 7. Just as each user is unique, so are their habits for storing data on a PC. It is the end user responsibility to ensure all data stored directly on the PC is moved to their U: drive before the upgrade begins. This includes all folders, subfolders, files, pictures, and video stored anywhere on the machine. Please double check that you have moved all of your data. If you have files stored on the desktop you can use the following instruction set to begin moving that data.Note: Storing files on the desktop is the worst way to save data. Please don’t.MOVING FILES FROM THE DESKTOP INTO THE U: DRIVEMoving files from the desktop in the U: drive is not as straight forward as moving them from your personal folders. Many items on the desktop are shortcuts to files or folder locations stored on the PC. Moving a shortcut does not ensure the actual file or data has been moved. Refer to the following steps in order to move data from the desktop to the shared drive. STEPSIdentify all shortcuts. Shortcuts will always have an arrow in the lower left corner. My shortcuts are also named “Shortcut to” but this is not the case with many users that have renamed them. Move all items that are not shortcuts to your OFFICE365 folder in the U: drive. Use the SHIFT or CTRL key to select multiple items. Moving the shortcut will only move the Icon. It WILL NOT move the original file from its location or update the link to said file. You will need to check the properties of the Shortcut to ensure the actual file being linked to through the shortcut has been moved.Right click the Shortcut and select Properties. Check the “Target:” This contains the location that the Shortcut is pointing to. Check this location to make sure the folder and its content have been moved to the U: drive. This can be done by opening the U: drive and performing a search for the file or folder name. If this item has not been moved, you will need to navigate to the location and move it using the same method as before. EXPORTING FAVORITES/BOOKMARKS FROM BROWSERGoogle ChromeOpen the Chrome BrowserClick on the Tools Menu in the upper right corner. It is represented by 3 lines stacked horizontally. Scroll down the menu and expand the “Bookmarks” menu.Click “Bookmark Manager” A new tab will appear labeled Bookmark Manager.In the Bookmark Manager click on “Organize” and let it expand.Click on Export bookmarks to HTML file. Save this file in your U: drive OFFICE365 folder. FirefoxClick the Bookmarks button??and select?Show All Bookmarks?to open the Library window.From the toolbar on the Library window, click?Import and Backup?and choose?Export Bookmarks to HTML....In the Export Bookmarks File window that opens, choose a location to save the file, which is named?bookmarks.html?by default. Save the file in your U: drive/OFFICE365 folder. Click the?Save?button. The Export Bookmarks File window will close.Close the Library window.Internet ExplorerOpen the Internet Explorer browserClick?Favorites, click the down-arrow next to?Add to Favorites, and then click?Import and Export.Click?Export to a file, and then click?Next.Click to select the?Favorites?check box, and then click?Next.Select the Favorites folder that you want to export. If you want to export all Favorites, select the top level Favorites folder. Otherwise, select the individual folder that you want to export.Click?Next.Note?By default, Internet Explorer creates a Bookmark.htm file in your Documents folder. Change this location to your U: drive/OFFICE365 folder.Click?Next.?Note?If you already have a file that has the same name, Internet Explorer asks you to replace it. Click?Yes?to replace the file. Click?No?to provide a new file name.Click?Export.Click?Finish. ................
