SUMMARY

The Music Secretary/Music Admissions Coordinator position is responsible for providing secretarial support and music admissions coordinating for the Music Department. These include document imaging; data entry; telephone answering; coordinating scheduling; word processing; music events support; scheduling and running audition dates; communicating with prospective students; and working with university admissions staff. Will also provide support for faculty and must be flexible to perform other duties as assigned.

Duties and Responsibilities ? Music Secretary Extensive telephone responsibilities including answering main music switchboard. General secretarial duties including typing, word processing, open and distribute mail, ordering of

supplies and filing.

Assist with sending daily responses to all inquiries and refer non-traditional and traditional inquiries to appropriate personnel.

Maintain daily communication with department chair and faculty, responding in a timely manner to their internal/external departmental needs.

Maintain and organize faculty and student records. Distribute and track student locker/key assignments as well as faculty keys.

Record keeping for finance and budget files. Assist in creating and publicizing performance calendar for each academic year. Assist the chair,

faculty, and marketing department with the creating, monitoring, and publicizing of the ongoing performance calendar for each academic year. This includes the scheduling of student degreerequired recitals. Assist chair in the implementation of the academic course schedules for each academic year. Assist chair with monitoring budget activity. Prepare and process all office forms (Check Requests, Visa Statements, Purchase Orders, Purchases, payrolls for adjunct faculty). Create/update department publications. Coordinator and Supervisor of Work Study students; Coordinate Work Study Tech and Stage Crew for music events. Assist opera and ensemble directors with marketing and publicizing concerts including creating the event programs and posters/flyers through the Marketing Team.

Duties and Responsibilities ? Music Admissions Coordinator Act as representative Music Admissions Coordinator to prospective music students. Recruit and market music department to prospective students, and make music teacher and guidance counselor contacts. Coordinate music recruiting events and participate in admissions/marketing events. Coordinate meetings and lessons for prospective students with faculty. Coordinate five Saturday audition days and two to three Open House days on campus. Assist with Summer Orientation days. Coordinate large mailings to regional high schools at the beginning of each academic year. Contact schools (MPS, Jamestown Community College, Walsh High School, Harborcreek High School, Seneca High School) to schedule school visits. Attend Upstate NY Music College Fair at Eastman School of Music in Rochester, NY each fall Work with assigned work study students on continuously updating Team Alumni project. Assist with the general needs of the department and other duties as directed by the Chair. Additional data entry as assigned.

EDUCATION AND EXPERIENCE

High school diploma or equivalent required; college degree preferred; 5+ years of extensive multi-task administrative office experience; demonstrate creative problem-solving techniques and flexibility in the workplace or equivalent combination of education and experience. Proficiency in Microsoft Outlook, Word and Excel is required.

KNOWLEDGE, SKILLS AND ABILITIES

The Music Secretary/Music Admissions Coordinator is a vital member of the Music Department and must be customer-service oriented as well as a team player within the Music Department.

The Music Secretary/Music Admissions Coordinator must have good organizational skills, have dexterity with numbers; possess the ability to multi-task; and have attention to detail.

Must present themselves in a professional manner, as well as possess good communication and interpersonal skills.

Ability to communicate effectively both orally and in writing. Ability to make administrative/procedural decisions, problem solving ability. Ability to gather data, compile information and prepare reports. Demonstrated proficiency with PC's and associated software (Microsoft Outlook, Word, Excel,

Access or other packages required by the Supervisor).

WORK CONDITIONS

Operates in a climate controlled office with no exposure to environmental or work hazards. Walking, reaching, bending, manual dexterity, good vision and hearing and ability to lift

approximately 10 pounds.
