Frequently Asked Questions

1. What is the VTC?

The VTC is the new training system for the child welfare community. The VTC is available either through the Internet or the DCFS D-net, and houses the most up-to-date class schedules, registration information, transcripts, training announcements, and resources.

Components of the VTC that are currently active include:

• Account- which houses your training information, including transcript

• Events and Registration – where you search for classes and events

• Classroom – where you can locate your training event information

• Live Web Registration – where you can register on line for certain trainings

• Leadership – where Administrators, Managers, Supervisors and Foster Home Licensing Staff will have access to staff/foster parent transcripts for whom they have responsibility

• CWEL – staff who have a CWEL can review the status of their application and access downloadable forms

VTC training system benefits include:

• 24 hour availability– the VTC can be accessed from either a work or home computer using a secure personal logon and password, 24 hours a day, everyday

• User friendly – easily search for training events by date or by course name

• Instant access to records- view and print your own transcript anytime

2. Who can access the VTC?

The VTC is designed to provide detailed training to child welfare professionals, including staff and foster caregivers, who have active VTC accounts.

An Illinois Child Welfare professional is anyone employed to provide child welfare and/or foster care services to Illinois children, either by the Department of Children and Family Services or any licensed private child welfare agency. This includes all direct service, supervisory, administrative and support staff as well as licensed foster/adoptive parents and residential facility employees.

Anyone in any of these categories needs to apply for a VTC account.

3. How do I know if I have an Active VTC Account

• You received an e-mail from DCFS training with training ID and temporary password.

• You followed the directions on the e-mail

• Logged in and reset your password

4. How do I get an Active VTC account?

You may complete your account activation form on-line, by following these steps:

2. Click on the appropriate VTC application. It may give you the operation has failed message at this point. Just click OK.

3. Complete the personal account application form

4. When complete, select and click on the “Submit” button.

It is really as easy as that, and takes just a few minutes.  You will receive an email confirmation from DCFS when your account has been activated and updated. This may take up to three days. This notification will contain your new training id (which is your VTC log-on) and a temporary password, which you will be able to reset to one of your own choosing.

If you do not have access to the Internet, you may also call the DCFS Registration unit at 877-800-3393 and your acct. may be updated by phone.

5. How do I log-in to the VTC?

Log-in instructions are below. Please read completely before starting to log-on.

1. You will receive an e-mail from: DCFStraining@ –

  Subject:  Your VTC training information

Welcome to the Virtual Training Center (VTC).

Your VTC account has been updated.

Your new training id is: jlong19

Your password has been temporarily set to: TW4hGEI

To Log into the VTC:

Please highlight and copy the temporary password displayed above.  Do not highlight extra spaces.

Go to the VTC at: or through the training link on the D-net.  Enter your new Training ID in the LOGIN field.  Paste your copied temporary password into the PASSWORD field then click enter.

You will be prompted to change this temporary password to a permanent one of your own choosing.  Once you have updated your password, please keep this information in a safe place for future reference.

2. Leave the e-mail open. Do not print or close. You will need

to reset this temporary password to one of your own choosing,

by following these steps:

A. Write down your Training id. This is permanent and you will need

to remember it in the future.

B. Copy the New Password (it is difficult to determine the

difference between numbers and letters with certain characters, such as zero and “o” – so copy and paste is the easiest way to ensure you have it correct.)

C. If you do not know how to “copy”, follow these steps:

a. highlight the password by placing your cursor in front of the password, and click and hold down the left button of your mouse

b. move your mouse to the right until the entire password is highlighted, then let go of the mouse

c. While the word is still highlighted, right click on your mouse, and select the word copy. You have now copied the password.

3. Click on the hyperlink in the e-mail to get to the VTC (blue and underlined).

Or, you can type the address of the VTC into your

browser. Either way will take you to the log-in page of the VTC.

4. Type in your User Name (LOGIN) – this is your permanent training id. It will

be the initial of your first name, parts of your last name and end with a

number.

5. Paste the Password. To paste, place your cursor in the password box, right

click on your mouse, and select paste.

6. Click Enter

7. Another screen appears that prompts you to reset your password to one of

your own choosing.

• Current Password – Paste in the password again, using same process as above - right click and paste.

• New Password – Create a password that will be easy for you to remember, and type it in. Passwords have to be at least 4 characters long and are case sensitive. It can be a combination of letters and numbers

• Retype New Password – Type in the new password you created

8. You have now reset your password to one that is permanent, unless you

choose to change it later.

9. Welcome to the VTC. You may enter the VTC as often as you like. The

next time you enter, you will simply type in your training id and your

password, and click enter, and you’re in!

6. I can’t remember my training id. What do I do?

Your training id is also your permanent log-in. You will not be able to access the VTC unless you remember this. Go to the VTC home page and click on “Forgot Password.” Enter your e-mail address, click Submit. You may also contact the DCFS Registration Unit at 877-800-3393.

7. I can’t remember my password. What do I do?

If you can’t remember your password, click on the ‘Can’t access your account?’ link on the Home Page (log-on) of the VTC.

You will receive a screen asking for your e-mail address, type it in and hit the Submit button. You will receive an e-mail with a new temporary password, copy and paste it into the VTC, and then change it to one that you will remember.

If either the username or password are entered incorrectly, the following message will be displayed. Check the login and password and re-enter them.

9. What courses are listed on the VTC?

All staff and foster caregiver training events are listed on the VTC.

10. How do I search for a training event?

After you log into the VTC, simply Click on the Events & Registration Tab located at the top or left side of your Account screen.

Search by Training Calendar Options:

• Select Staff, Caregiver or All (mandatory field)

• Type in Event Name

• Date (auto search –on or after)

• Enter the date by clicking on a specific date on the calendar or type the date in following format (01/10/2012). All trainings on or after that date will be displayed.

• City - If you know the city, type the city name in the appropriate box. It will display only trainings scheduled for that city.

• Region – if you want to see only the trainings in your region, select from the drop-down.

Course Catalog Options:

• Select either Caregiver Catalog or Staff Catalog

• Descriptions of courses are listed

• Select the one you are interested in attending

• Select the date, site and time of the training you prefer

11. How do I print my transcript?

First go to your account, by clicking on the account tab.

• Click on Transcript (gray menu bar)

• Click on Print (gray menu bar) at top of transcript

• A complete version of transcript, including official seal, will print

NOTE: You MUST use the print button in the gray menu bar on the top of the transcript. Using any other print function will only give you a screen shot/partial view of your transcript.

12. Can I print the transcripts of my staff or my foster caregivers?

Yes. Administrators, Managers, Supervisor and Licensing Representatives will have the ability to view staff and foster caregivers transcripts. You must have this ability activated by the Office of Training. Staff and foster caregivers can also print their individual transcripts if they have an active account.

13. Is there support available if I have questions?

There are two support desks for this system.
