I am Frank Griffiths - Head of the UK region at Simplicity Corporation. As an organisation, Simplicity works in close partnership with universities to enable their students to be their very best selves. We are delighted to partner with NADP and being involved with the NADP Virtual Conference 2020. We see ourselves as a very close, ethical fit. A primary focus of our portfolio is to support disabled students to drive their impact and success at university and beyond. Today, along with colleagues Louise and Alana, we will highlight how together we can transform interaction with disabled students; particularly important at this challenging time.Slide 2: slide showing article headlines about accessibility suffering due to COVID 19Disabled students are undoubtedly suffering as a result of COVID 19. The university's job is difficult enough during normal times but such has been the urgency of transitioning to remote engagement, remote learning and planning the way forward, some students have and are missing out. These are often the students who need the most help. Let's take a look at the problem we are together working to resolve. There's been a 40% increase in disabled students joining universities in just four years.This is really positive as previously the opportunity for these students was not always there but it does add responsibility and opportunity for the university to enable these students to excel.Slide3: NADP Virtual Conference 2020: Symplicity Access – Supporting UniversitiesI would like to take a moment to review the potential impact of the Simplicity Access solution from a student view, from a university view and from a combined interest view.Slide 4: Student impactSo from a student impact view it is about levelling the playing field for students with a disability particularly important during this pandemic. Focus on reduced anxiety, enhanced well-being early through assurances of future support and simple online registration with fast responses, great success throughout the students time at the university and greater success in life.Slide 5: University ImpactFrom a university impact perspective the university will gain 100% visibility of students requiring assistance. This allows the disability team to scale to ensure support for students who need them. Earlier assurance for students potentially before they even arrive at the university means that no student misses out. No student changes their mind about joining the university reducing no shows and no one struggles by. Creating an integrated disability support plan in advance of the student joining, develop and evolve that plan throughout their time at the university will provide greater levels of efficiency and productivity with everything at your fingertips, continually measure and report impact with real-time analytics and data trends and continual service improvement where we identify this where the service has fallen short of excellence and thrive to improve. Slide 6: Student & University ImpactFrom a student and university impact we have optimized two-way communications from student to University and vice versa and across departments and campuses. Continual feedback from the students is enhancing the quality for themselves and for future students. Data security and segregation so that only those who require access to sensitive data have that access and full transparency of the data held in support of service excellence and compliance with GDPR. Slide 7: Slide introducing three personas – Jodie, Gavin and Heather.So for the storyline that we're about to run through with you uh we do have three personas: first of all we have Jodie Lakin. She is 19 years old and has had an offer for Simplicity University. She's delighted but equally anxious about the potential support she may receive. Hi yeah I'm Gavin Davis so I've worked as a Disability Advisor at Simplicity University for six years and I love my job. And I'm professor Heather Adams - an academic lecturer for over 20 years. I'm also the head of the computing department and I'm very passionate about enabling students. Slide 8: Introducing GavinSo I'm Gavin, I've been a Disability Advisor at Simplicity University for six years and I love my job. I've seen first-hand year-on-year increase in students requiring support. This is excellent to see because university is now an option for some where previously it might not have been. As I reflect on life prior to simplicity access, everything was managed via paper spreadsheets and emails, lots of firefighting and last minute panic responses. Sadly some students missed out. Otherschanged their mind about joining our university which was really not good.Now the entire process is streamlined and optimised. My team engages early to 100% of students who need support, we provide assurance to prospective students and this drives confidence in the students and reduces their anxiety. I am able to proactively communicate with all stakeholders that students, academics, professional services, the leadership securely and life is great. Slide 9: Image showing zoom call set upDuring the student application to join the universities UCAS provides the students with an option of choosing a disability category and describing the additional study support that they will need at the university. This is an invaluable data source which can be easily integrated via student records into Simplicity Access. We can then proactively contact all students who need support. This prompts their registrations and this early notification enables our university to provision support in plenty of time and confirm that support with the student. The student themselves will be seeking reassurance and this confirmation will undoubtedly drive their confidence.Slide 10: Image showing man on computerSo I’ve integrated all of that disability information for the up and coming term from student records into Simplicity Access. I've designed the communication which will be sent out. Slide 11: Image showing Symplicity email softwareThis incorporates a link allowing students to register for disability support. Clicking send, 245 emails are initiated including one to Jodie. Jodie will now need to register with the office in order to begin planning. Slide 12: Slide introducing and summarising JodieSo as Jodie, I do have a long term visual impairment therefore I'm not fully independent. I'm really excited to have an offer for a place at Simplicity University but as I said I'm equally anxious as I'm unsure of the support needs that I have will be available. Um I just want some early assurances before committing to Simplicity University that I'll receive the support I need as I prepare for university life. There is another local university who have also offered me a place um although Simplicity is my first choice. Slide 13: Image showing pretend welcome email from Gavin to JodieSo I've received my welcome note from Gavin and the team. I'm delighted to hear from him, I'm feeling a little relieved. I can see the clear instructions in in Gavin's welcome message that I need to register with the disability office in order to begin those discussions. So I'm going to go ahead and just click on the link that was provided in the communication and this will take me into the access online registration form.Slide 14: Image showing Symplicity study support requirement formSo it's very clear and simple for me to use and I can work my way through the form providing information which will be sent to Gavin and the team. Confirming the supports that I need will be a huge relief and ensure my success. I'd simply provide minimal information at this point and successfully register for the support. Slide 15: Image of pretend email from Gavin to Jodie asking her to book an appointment After I submitted my information I receive an automated response from Gavin, I receive details of what the next steps are in the process which in this case is to first of all go ahead and book an appointment to chat with Gavin. Slide 16: Showing Student PortalSo I click on the link to access the student portal and once I've gained access to the portal, I can do a number of things in here. First of all, I can keep track of my application process but I can now also book an appointment to chat with Gavin, so I do so by clicking the appointment request, I enter the criteria for when I'm available and I can match that to Gavin's availability. I select the most suitable date and time and one thing that has changed in this current environment is that all meetings with Gavin are taking place online so therefore the location is is for an online chat and I'll receive details from Gavin as to how to to log on at the time but now I've done that and I've selected my appointments, um I feel much more relaxed knowing that I've made contact with them and I'm going to have a chat. And at any stage I can log back into this portal and view the status of my application without having to call Gavin directly, just meaning I can be a bit more self-sufficient. This is excellent, I can easily see which students register. Furthermore, I can review and report against this information on a wide or individual basis. I can also see that she's booked an appointment requesting a meeting. I will now prepare before we meet. So next up I will meet with Jodie and agree a preliminary plan to support her needs.Slide 18: Showing how the staff would set up a support plan for a studentWith that information I can develop a support plan in advance of Jodie and other students joining the university. I'm working on first draft for Jodie's support plan right now following the meeting with her. This will naturally evolve through her time at the university. This provides greater levels of efficiency and productivity through having everything at my fingertips. Two-way secure communication between our students and the university is really important. All data is located within a secure database. With this sensitive information we wouldn't want anyone having the opportunity to view it that shouldn't. Data security of Simplicity Access ensures only those who require access to the sensitive data canactually access it. Slide 19: Slide introducing and summarising Heather I'm Heather and I work as an academic and Lecturer at Simplicity University. I'm also the head of computing. With my team, I'm supporting students with disabilities and learning difficulties. With Simplicity Access I automatically get informed about any student in my faculty that needs additional support. I can add to the support that has been developed and approve additional activities as opportunities arrive. I can also contact Jodie directly even ahead of her starting at simplicity university to ensure that she has all the support she needs from day one. This proactive support will help Jodie to put her at ease, drive her confidence and reduce any anxiety she might have.Slide 21: image of girl on computerNow I've had that communication from Heather and Gavin I feel really at ease knowing that I'll be taken care of.
