CASH OFFICE/SALES FLOOR SUPERVISOR- Full Time, #15-127

Bookstore

Summary

Responsible for assisting in daily operations of the Bookstore. Assumes primary responsibility in organizing and supervising the sales floor including point-of-sale operations, customer service, cash control and revenue reporting. Responsible for daily cash control, preparing daily and monthly revenue reports and bank deposits. Monitors and reconciles end of month credit card statement, vouchers and interdepartmental charges. Responsible for training and supervising student staff. Allocates and monitors assigned responsibilities to student staff. Maintains a clean, stocked sales floor.

Essential Functions

CASH OFFICE

1. Primary responsibility for cash control.

2. Prepares daily and monthly revenue report and bank deposits. Utilizes Banner to enter reports.

3. Oversees procedures for department charges and debit accounts.

4. Reconciles end of month credit card statements, vouchers and interdepartmental charges.

5. Supervises data entry clerk (student) in maintenance of spreadsheets and accounting files.

6. Leads and supervises annual inventory. Prepares floor map, maintains count log/sheets. Insures that procedures are followed.

SALES FLOOR SUPERVISOR

1. Maintains and implements bookstore policies and procedures

2. Trains, supervises, schedules and audits student personnel to ensure compliance with point-of-sale (POS) procedures and provision of quality customer service.

3. Maintains a clean, safe and attractive sales floor. Allocates and monitors responsibilities assigned to student staff.

4. Supervises seasonal decoration and display

Buyer-Tradebooks

1. Assembles for sale periodicals and books including Oxy Authors, Best sellers and other selections.

2. Studies publishers’ catalogs, trade and academic journals, book reviews and other sources materials as needed to help make buying decisions to stay informed about developments and news in book selling. Stays informed on upcoming new releases, edition changes, binding changes in Oxy Authors.

3. Plans and places orders with publishers, wholesalers and distributors as necessary.

4. Reduces or expands the department as necessary.

5. Manages with efficiency a computerized inventory system.

6. Provides knowledgeable direction, assistance and support to faculty, students and staff who have book buying needs, inquiries or other requirements.

7. Organizes and closely monitors the book returns process. Assures that unsold books and magazines are returned in a timely manner to vendors so that credit will be received. Makes on going decisions as to whether to keep a book title in stock, how long to keep it if it is unsold, whether to reorder it if it has sold, etc.

8. Authorizes invoices and credits for submission to Business Office.

9. Operates within a budget and with financial goals.

10. Cooperates with groups on campus by ordering books to complement author appearances & campus conferences. Organizes co-sponsorship and sponsorship of author appearances.

Other Duties

1. Attends and participates in meetings, conferences etc., as assigned or appropriate

2. Provides backup support and relief coverage within the bookstore operation as needed.

Knowledge/Experience Requirements

Some college preferred. Familiarity with cash control and bookkeeping procedures; excellent analytical reasoning and problem-solving skills, ability to multitask, organize, delegate and supervise; able to elicit and provide clear specific information; able to plan ahead and follow-up on details. Utilizes with experience and comfort retail computerized systems, including inventory management and POS operations. Exhibits commitment to providing outstanding customer service and possesses strong human relations skills. Manifests ability to work with students, faculty and staff of diverse backgrounds as part of an educational team. Works accurately and effectively with financial data and computerized systems. Moderate physical effort (lift/carry up to 35 lbs.) Occasional reaching, stooping, bending, kneeling, and crouching; moderate standing/walking, carrying. Occasional hours adjustment needed for special events. Must be proficient in using POS system, prefer Nebraska Book-PRISM; inventory control software prefer Nebraska Book WinPRISM. Will be trained to utilize BANNER. Utilize email, and must be proficient in using EXCEL and MS WORD, 10 key, fax, photocopier
