Setting up ClioRequest to search OCLC’s Open Worldcat

With these instructions you will learn how to setup ClioRequest to search OCLC’s Open Worldcat then how to use ClioRequest to perform a search. With this new way of searching you will be able to gather more information about a request then find libraries nearby that you can send the request direct to the lender with the added information that can be added to the request like an OCLC number. You can also let the patrons know of the nearby locations of items so they can get it themselves.

In order to setup ClioRequest to search OCLC’s Worldcat you will need to the following steps. In ClioRequest go to Options > My Bor Partners.

Once you have selected My Bor Partners you can add the new catalog to search by clicking on the add new record icon.

If the first catalog displayed is not a catalog that you presently use to search then you can replace it with the OCLC Worldcat search script. Below is the search script to use.

Once the search script has been entered then you can click the Close button.

How to use the new search script

In order to use the new search script to perform a search you will need to read into your ClioRequest borrowing requests. Once new requests have been read into ClioRequest you will need to go to the View Borrowing Request Summary screen from the ClioRequest Main Menu. Once on the Borrowing Request Summary screen you will need to double-click on the request that you would like to search in WorldCat.

Once you have double-clicked on the borrowing request to search you will see the Review Details window. On the Review Details window there is a Check Local Holding button at the bottom of the window.

Select this button to go to the Check Holdings window. The first search that is performed will be with your own searching script that has been setup in Clio to perform review of Lending Requests, provided that you review your lending requests. In order to perform the OCLC Worldcat search will require the selection of the drop down arrow at the top of the Check Holdings window associated with the URL: textbox.

Once the Worldcat (URL) address has been selected a search for the material will be performed.

From the display you can refine your search on the left by author, etc., or you can scroll within the window or click on the Next link to go to the next page.

For example if number 5 above is the correct Title and author that I am looking for I can click on this item then it will display the details of the material with an option to enter my postal code, state, province or country to find institutions that might have the material.

From the list of lenders I can take note of the lenders and the OCLC number to enter into my request to perform a Direct to Lender request.

Once the highlighted information is copied to the clipboard perform the key combination [Alt] + [Tab] to bring up the inactive ClioRequest Review Details window in the background to paste the information into the appropriate location in the Review Details window with the key combination Ctrl + V.

Once the request has been updated with information you can proceed to send it as described in the Clio manual.

Note: This tool is searching Open WorldCat. Open WorldCat is NOT the entire OCLC WorldCat - just a portion of the records contained in WorldCat. Also, only libraries which subscribe to the WorldCat database in OCLC's FirstSearch service have their holdings displayed in Open WorldCat. There are many more libraries that catalog and report their holdings in OCLC WorldCat that you won't find with this method.
