JOB DESCRIPTION

Position Title: Accounting Assistant/Office Manager

Position Classification: Non-Exempt

Work Schedule: 40 Hours per Week

Supervisor: CEO

BROAD FUNCTION:

The Accounting Assistant/Office Manager is primarily responsible for providing bookkeeping support to Big Brothers Big Sisters of Utah (BBBSU) and the Friends of BBBSU, as well as overseeing the daily functions of the BBBSU administrative offices and its equipment to ensure maximum operational capacity.

Accounting Assistant Responsibilities (75%):

• Accounts Payable Functions (15%):

i. Responsible for maintaining audit trail for all electronic, check, and credit expenditures for BBBSU and Friends of BBBSU

ii. Collect receipts, process invoices, print checks, record ACH/EFT and maintain files

iii. Maintain all vendor relationships as needed to facilitate A/R

• Accounts Receivable Functions (40%):

i. (BBBSU and Friends of BBBSU) Process and sort mail daily and record incoming in-kind items and cash/checks

ii. (BBBSU) Process all government grant billings monthly and quarterly and record receivables in general ledger.

iii. (Friends of BBBSU) Record all electronic payments in general ledger

• Other (20%):

i. Record allocation of payroll from external provider to General Ledger

ii. Using checklist, prepare records before CFO completes monthly reconciliations and issues financial statements

iii. Assist CFO with large projects (e.g. preparation for annual audit)

Office Manager Responsibilities (25%):

• Answer calls not handled by digital system transfers; may include providing information about programs and enrollment to potential volunteers and parents and to potential donors for clothing donations.

• Manage office facility including:

i. supervising cleaning vendor,

ii. facilitating repairs as needed,

iii. maintain professional atmosphere in common areas,

iv. maintain necessary office supplies.

Preferred qualifications:

▪ Associates Degree in Accounting or commensurate bookkeeping experience.

▪ Thorough knowledge of the QuickBooks Accounting Software and Excel and working knowledge of remainder of Microsoft Office 365 Suite

▪ Experience managing records for and completing billing of government grants (or similar complexity)

▪ Excellent communication and organizational skills; strong attention to detail

▪ Able to work flexible hours (evening or weekend) occasionally as needed

▪ A comprehensive understanding of the mission of BBBS and a passion for fulfilling this mission

Compensation, Perks & Benefits

• $18-$20/hour, with opportunity for increase at 6 months based on performance
