Staff Changes

Sarita Prabhakar is the new BA for Wharton SBDC, and Lauren Nelson is the new BA for WCAI. Marco Alves transitioned to BA for the Huntsman Program. Jenny Reyes has joined Undergrad as a financial coordinator. Olivia Wilson is the new Associate Director of HR. F&A has several new hires. Chao Homann is the new financial accountant for the Penn Wharton China Center. Mary Burns is our new manager for restricted funds. Mary Marino has joined our Audit and Compliance group as a Financial Processes Auditor.

Note New Locations:

Wharton External Affairs moved to the new FMC Building on the Fifth floor as of 8/20/18.

Wharton F&A Audit and Compliance team moved to Vance Hall room 104 as of 9/14/18

Wharton F&A WCIT/WHOP financial team of Pam Carr and Mattie Simbarcelos have moved to SHDH Suite 1100.

Foreign National Payments

Cara Salsberg and Hillary Stein from Penn Tax and International Operations reviewed procedures for paying foreign nationals, including updates to required documentation in Penn Marketplace and PennWorks ERN codes.

Cara emphasized that BAs should always let Tax know when staff or faculty have changes in visa or employment status, as this can affect their tax withholding. Changes also need to be reflected in their ERN codes in PennWorks. Newly hired foreign nationals that are paid on a monthly basis should always visit Tax, once all their paperwork is through HR, to see if they are eligible for a tax treaty. Treaty certification must be renewed annually.

Note that the current Foreign National Information Form is being edited to remove the requirement for listing the Social Security Number. In the interim, white out the SSN or leave that space blank before uploading the form into the Penn Marketplace.

Printing and Reprographics Update

Jim Quinn thanked the Wharton Printing staff for their dedicated service to the Wharton School. Wharton Printing is closing at the end of September.

will transition to Wharton Computing and continue to operate in its current form. The Wharton Store will transition to Executive Education; additional Wharton branded apparel may be purchased from the Penn Bookstore or through Promoversity’s online portal, which offers wholesale prices.

The Print Shop will close as of October 1. Campus Copy and University Copy Services will be able to meet our copying and printing needs. Bulk paper should now be ordered through Telrose/Office Depot. Branded stationery and business cards should be purchased from Maximum Graphics, and adhere to the branding standards on MARCOM’s website.

FY19 HCM Update

Julie Shuttleworth from the Provost’s Office, who is one of the Program Directors for the Workday implementation, provided an update on the status of Workday@Penn, planned to go live in July 2019. BAs are asked to focus on the Legacy Cleanup Initiative in order to resolve data conversion issues when the various Penn systems such as Payroll, Pennworks, and HR Manager are transitioned to Workday; you will receive further information from Wharton on how this will proceed at the department level.

A Penn HCM Town Hall will be held 10/11/18 and is open to all.

Julie reiterated that the Penn Employee Solution Center is available at hcmsolutioncenter@upenn.edu – she welcomes feedback regarding your experience.

New Independent Contractor Process (Wharton HR)

Luke Ling of Wharton Computing introduced BAs to a new online portal to manage the Independent Contractor process, from the initial BA request all the way through to HR’s final decision. Independent Contractors will be able to enter their own information into the system, and the BA will be alerted via email when each stage of the process is complete.
