POSITION DESCRIPTION

The Office Technician (Typing) is the advanced journey level and exercises initiative, independence and attention to detail in performing a variety of difficult clerical and administrative support duties. Under the direct supervision of the Warehouse Manager II, CF, the Office Technician (Typing) performs general office work for the Warehouse Manager and staff. The duties and responsibilities include, but not limited to: daily access to and use of a personal computer; type various correspondence (e.g., letters, memos, reports, forms, procedures, purchase requisitions, etc.); process incoming and outgoing mail; Answer, screen, and route incoming telephone calls to appropriate staff and/or departments; filing and records management, order and maintain supplies and equipment; record, revise, store and extract various data related to the Business Information System (BIS). Extract information from various sources/documents for data entry into an Excel database regarding issues from the following departments (institution/camp): food products, clothing, stationery and general office supplies, data processing, forms, photocopy, paper, copy machine, laundry detergents, personal care items, housekeeping, special kitchen items and barber supplies. May be required to sit for long periods of time using a computer, and lift up to 20 pounds. Ability to: type at a speed of not less than 40 words per minute from ordinary manuscript of printed or typewritten material. Perform other clerical duties as assigned.

45% Perform data entry work daily regarding Warehouse stock items. Prepare Storeroom Supplies Order (STD 115), Good Receipts, and Purchase Requisitions, etc. Update the Warehouse Supply Catalog in an Excel database. Prepare budgetary and inventory reports for the Warehouse Manager. Type and/or compose, memos, letters, forms, reports, warehouse operational procedures and other documents as required. Proofread correspondence for accuracy and completeness to ensure conformance with established departmental standards, regulations, and policies and procedures. Prepare correspondence that may be confidential and/or sensitive in nature for the Warehouse Manager. Prepare Travel Advances.

25% Initiate a material document number audit to maintain accurate Warehouse Supply Catalog. Preview, audit, revise, format, edit and print previously saved documents. Establish and maintain confidential and administrative files to ensure that sensitive material/information is kept in accordance with legal and departmental standards. Organize all paper files for proper archive storage as required. Review files and purge documents in accordance with the Records Retention Schedule. When records have reached the end of their retention period, shred documents and/or prepare for confidential destruction. Update Master Supply Catalog, prepare OBS 5001 Master Data Unit Material Number changes for Warehouse Manager to review.

15% Answer, screen and route incoming telephone calls to appropriate staff. Process all incoming and outgoing mail. Sort, review, and distribute mail to appropriate staff and/or departments. Track assignments/correspondence generated from other departments within the institution that require action by the Warehouse Manager and/or subordinate managers. Inventory office supplies and complete office supply requisitions. Prepare purchase orders and submit to supervisor for review and approval. Order supplies as needed or requested by Warehouse staff.

10% Prepare miscellaneous personnel documents for Warehouse Manager, such as Employee Performance Reports/Individual Development Plan, Employee Counseling Records, and Letter of Instruction.

5% Operate various office machines (e.g., copy machine, fax, personnel computer, calculator, scanner, etc.) and other office equipment as needed. Perform other job-related duties as assigned by your supervisor.

I understand that I am required to have 40 hours In-Service (IST)/On-the-Job (OJT) training annually. A minimum of eight (8) hours of which is formal classroom training. The remaining hours of training may be formal IST, Out Service Training, OJT or any combination thereof (see DOM Subsection 32010.13).
