Importing Admin/Exchange mail into myFSU

Note: To request assistance with moving email messages from an FSU Employee (Exchange) email account to an FSU Student/Alumni (myFSU) email account, a Case must first be entered within the FSU Service Center.

After your Case has been referred to our FSU Email Administrators, our administrators will export your Exchange email messages into a .pst file. Your .pst file will be dropped-off in the FSU Dropbox system, and then you will receive an email message notifying you that you have a file waiting to be picked up.

Step 1: Pick-Up your .pst file from the FSU Dropbox

Making a Pick-up

There are two ways to pick-up files that have been dropped-off:

1. All users can use the claim ID and passcode provided in the notification email message to access a specific drop-off.

2. An inside user, once logged-in to the system, can display a list of all drop-offs waiting for him or her in the Dropbox. Once logged-in, an inside user is able to access drop-offs without the need for the passcode.

When viewing a drop-off, the user will see quite a few things:

• The sender and recipient information that the sender entered when the drop-off was created

• The Internet hostname and/or address from which the drop-off was created

• The list of files that were uploaded

• A list of pick-ups that have been made

The recipient has 10 days to pick-up the files. Each night, drop-offs that are older than 10 days are purged from the system.

Step 2: Please follow the remaining steps carefully to successfully import all of your mail into your student-style@my.fsu.edu email account:

In the Control Panel find Mail (32-bit). By using the Windows Explorer search bar the Mail program is easier to find.

Select Show Profiles > “Add” to create a new profile.

Step 3: Create New Profile. Give the new Outlook profile a name > Click OK

Step 4: Auto Account Setup. Select “E-mail Account” and enter Your Name, @my.fsu.edu email address, and password > Select Next

Step 5: Configure Account. You may be prompted to enter your credentials once more. This time, check the “Remember my credentials” box, enter your @my.fsu.edu email, and password > Click OK > Click Finish. (You should see a success message) > Launch Outlook with newly created profile

Step 6: Allow necessary time for your student email account to sync. Your mail should now be populating in Outlook. In the upper left-hand corner > Select FILE > Info > Account Settings

Step 7: Click on the Data Files tab > Click Add…

Step 8: Open Outlook Data File. Locate the .pst that MSTS provided. To help alleviate any confusion, rename the .pst to filename-backup.pst or WorkEmail-backup.pst as shown in the image below > Click OK

Step 9: Expand the Outlook Data File (.pst) in Outlook and you can now proceed “Copy Folder” into the myFSU inbox. This will leave the filename-backup.pst unchanged. Right-click on the folder to copy and Select Copy Folder > Choose the folder you’d like to copy to > Click OK

Step 9: You also have the option to: to click and drag all the email folders, or just the desired email folders into the Inbox folder underneath the @my.fsu.edu account.
