Communication and Marketing Procedures for USTA SC Paid Staff at State Championship Tournaments & Special Events

Purpose: To insure consistent, quality coverage for major South Carolina tennis events, this document describes the marketing and promotion responsibilities for paid USTA Staff covering these events.

Procedure:

1. Write a press release leading into the championship or event weekend. For championship events that have their own web page, such as Jr. Team Tennis and Leagues, coordinate all pre-tournament press and promotion, including behind the scenes stories on topics such as, local preparations for the event, impact of event to host community, human interest stories about participants, and team photos that are submitted etc.

2. Actively solicit human interest stories and photos during the championship or event.

3. Each day a news summary, preferably including a human interest story, will be uploaded with photos to the USTA SC website and championship website, when applicable. Photos shall also be posted to the USTA SC Facebook page daily. News stories uploaded to the USTA SC website should include a link to the USTA SC Facebook page and championship website, when applicable. If the event has its own program/event page on the USTA SC website, news and photos should also be posted to that program/event page of the USTA SC website in addition to the home page news feed.

4. Take photos of all winners, finalists and special award winners. Championship photos should include team name, captain and team members.

5. Prepare and distribute a press release of the event and winners to be sent to all appropriate state and local newspapers at the conclusion of the event, no later than 24 hours after the end of the event.

6. At the completion of the event, confirm that all earlier daily stories, photos and any other tournament or event information is cross-linked on the USTA SC website, championship website, Facebook and if appropriate, Twitter and YouTube.
