Transcript Direct – Receiver AdministratorTranscript Direct: ReportsTranscript Direct reports allow you to manage your out of network requests and track all Transcript Direct requests, including aging data.Note: An administrator must have the Receiver role to access the Transcript Direct Reports.Manage Out of Network RequestsDefinitions:Out of Network requestsRequests for transcripts sent to institutions who are not currently a member of Parchment’s network. These institutions will be provided with an option to become a member at no cost, which will allow them to send transcripts electronically.TRFThe Transcript Request Form authorizes the sending institution to release transcripts and other admissions documents to the receiving institution. It includes information to help identify the student as well as their signature. The TRF may be faxed to the sending institution or delivered by the student.Step 1: Access Out of Network Requests Report To manage and track out of network Transcript Direct requests, select Receiver > Transcript Direct. The ‘Manage Out of Network Transcript Direct Requests’ page displays by default.Step 2: Search for Out of Network Requests Search for out of network requests by a variety of criteria including:Request DateDays Open (number of business days between the Request Date and the date the request reached a completion status)TRF Status Successful – fax was successfully deliveredUnsuccessful – fax was not successfully deliveredDocument StatusInstitution Information (name, type)Student Information (name, applicant ID)Click ‘Search’.Step 3: Manage Out of Network Requests From the list, you can perform the following actions to manage Out of Network requests:View TRFTo view the TRF for a request, click the ‘DID#’ for the request. The TRF will open in a new tab or window.View DocumentIf the sending institution was out of network at the time the request was generated but has since joined the network and provided documents electronically, the Document Type will display as a blue link. To view a document that has been delivered electronically, click the ‘Document Type’ for the selected request. The document will open in a new tab or window.If the document was not delivered electronically, the Document Type will not be displayed as a link.Resend TRFThere are two methods for resending a TRF associated with an open request:Group Resend – select the checkbox(es) the open requests that have a fax number and click ‘Resend’.Docufide will resend the selected TRF’s and update the Transcript Request Form History for these records.Individual Resend – to resend the TRF for an individual request, click ‘resend TRF’. In the Resend Transcript Request Form pop-up window, update the fax number if needed and click ‘Resend TRF’. Docufide will resend the selected TRF using the fax number provided and update the Transcript Request Form History for this record.Send TRFTo send a TRF for an open request that has a current TRF Method = Student, click ‘Send TRF’. On the Send Transcript Request Form pop-up window, enter the Fax Number and click ‘Send TRF’. Docufide will send the selected TRF using the fax number provided and update the Transcript Request Form History for this record.View Transcript Request Form History To view how many attempts Docufide made to deliver the TRF, click the icon next to the TRF Status. The Transcript Request Form History pop-up window opens with a full history of the delivery attempts.View and Add Notes to Request To add a note to a request, click the icon next to the document Status. The Document Notes pop-up window opens with a list of existing notes. The notes are identified by:Initials of the administrator that entered the note.Date the note was entered.Document notes can be used to record any information about the request such as status updates, phone calls or discussions with senders, students etc.To add a new note, type the note in the ‘Add Note’ field and click ‘Update Notes’. Transcript Direct: Request Follow On TranscriptsStudents attending ‘In Network’ schools can authorize the Receiving Institution to request follow on transcripts on their behalf.Note: An administrator must have the Receiver role to place transcript requests on behalf of students.Receiving Institution Request WorkflowStep 1: Access Transcript Request PageTo request follow on transcripts for students, select Receiver > Transcript Direct from the Receiver submenu, and ‘Follow On Requests’ from the Transcript Direct menu.Step 2: Search and Select StudentsSearch for students based on a variety of criteria including name:Student Information (name, applicant ID)Institution Information (name, CEEB code, state/province) From the resulting list select the students for which you wish to request transcripts. You can conduct multiple searches by clicking ‘Save and Search Again’.Note: Only students associated with In Network schools that authorized your institution to place requests on their behalf will be returned in the search.Step 2: Personalize Message to the StudentProvide a short personalized message of 160 characters or less to be included in the notification email sent to the student informing them that the request has been placed on their behalf.Click ‘Submit Request’.Step 3: ConfirmationThe administrator receives confirmation that the request(s) were submitted.Note: If the student must pay any fees before the request can be completed, the student will be informed of the request and have an opportunity to pay the associated fees to complete the request.The notifications that students receive are described on the next page.Student Workflow: Follow Up Transcript Requests Parchment sends an email to the student when a Receiver places a transcript request on their behalf. If the student must pay a fee before the request can be processed, the student is informed that the request is pending and given an opportunity to accept (and complete) the request or decline to send the follow on transcript.Student Workflow: No Transcript Request Fees PendingStudent Workflow: Transcript Request Fees Pending Notification Email – No Fees PendingParchment sends the student an email notification that a transcript request has been placed on their behalf. The student can sign in to their Parchment account to track the status of this request. Notification Email – Fees PendingParchment sends the student an email notification that a transcript request has been placed on their behalf and advises them of the action they need to take.194310080391000Parchment DashboardFor high school transcript requests, when the student signs in to their Parchment account, a message displays informing the student that they have a pending request. The student clicks the ‘View Now’ link to view the pending requests.Student Reviews Pending RequestsThe student must elect to accept the request (and pay the associated fee) or decline the fee. The personalized message entered when placing the transcript request on behalf of the student will be displayed for the student.Note: If the student declines the request, Parchment updates the Transcript Request to ‘Canceled by Student’. Docufide DashboardFor postsecondary transcript requests, when the student signs in to their Docufide account, the message displays informing the student that they have a pending request. The student clicks the ‘Pending Requests’ link to view the pending requests.Student Reviews Pending RequestsThe student must elect to accept the request (and pay the associated fee) or decline the fee. The personalized message entered when placing the transcript request on behalf of the student will be displayed for the student.Note: If the student declines the request, Parchment updates the Transcript Request to ‘Canceled by Student’. ................
