To search all clients at one place. 48hr clients/Old system clients/ 2005-2008 clients will not displayed in the regular client search.

Clients who are admitted at the agency with out referral from IDRC and need DUII funding.

For a list of all clients click on “Search” without entering any name or Driver License number.

To find a specific client, enter the first few letters of the client’s last name in the search box and hit “search”

By not entering any client name but just entering “search”, you will see a list of all of the clients alphabetically.

Click on the name to go to client detail information.

Hit the Report button on the far left column for the IDRC reports.

Report Page

Once the “Report” button is hit for a client, you will see the following:

➢ Choose which report you would like to view and/or print out.

➢ IDRC Report: Information collected at IDRC

➢ Pre-Placement-Assessment Report Done by Agency: The Agency PreAdmission Report

➢ Admission-Assessment-Discharge Report Done By Agency: IF the agency ADMITTED the client you will see the Admission report first. You can click on the upper radio buttons for the ASI reports, the Narrative Report and the Discharge Report (if the client has been discharged)

➢ LOCI Report: If a Level of Care Index was entered, you will view the report here.

To print reports, hit CTR-P and make sure your printer is set to grayscale.

NEW CLIENT

If you must enter a client manually (i.e., enter a client never uploaded because the original schedule date was prior to 2008), click on the blue New Client key.

This will bring up the blank screens for IDRC module.

Enter the New Jersey Driver License with NO spaces, dashes, etc., only a continuous field. All required fields have a red “*”

The Summons No: the Summons Number for this offense

If the unit number is missing for a 48-hour client, the county of residence IDRC will not have access to the record to monitor the client’s compliance. If this Unit Number is missing, please enter it by hand.

This page is the screening page. The answers to the questions come from the Driver Abstract, the AOC (if the BAC was admitted into evidence & recorded at the court) and the Client Questionnaire.

If the BAC was not received by the court but was given to you by the client, type the BAC level and click on the box “Reported by Client.” You may also state it is unknown, a refusal or was a DWI for drugs.

To record information from IDRC to IDP enter information on MVC Abstract page.

This is the client disposition page. If a client is scheduled for class, after that class is finished ALL clients will have a disposition:

➢ If no further evaluation, Self-help, etc is required, select the “None-Completed Class”

➢ If a client is currently enrolled in treatment, select the “Currently enrolled in Treatment” 2nd option. If the client told the treatment agency about IDRC, the treatment agency itself can enter this information into the Admission Module of NJSAMS and the agency name will appear here automatically.

➢ If the client has already completed treatment, select the “Treatment Completed” option

➢ If attendance at AA/NA or other self-help is going to be monitored by the IDRC, select “Self-Help Referral”

➢ If the client did not show up, select “No Show”

➢ For a client who calls to reschedule, you may select “Reschedule” and you must state the reason for the rescheduling.

➢ If the client is being referred for an assessment, choose that option “referral to aff/Non-aff agency” and then go down the drop down list to select the affiliated provider. If you need to select a non-affiliated provider, you must enter the name of the provider in the box below this section & then enter the reason why the client is not going to an affiliated agency.

➢ Enter the date of the referral.

➢ The CLIENT CONTACT DATE will automatically be entered once the client is seen at the affiliated agency. IDRC staff do NOT enter this date.

Write up the summary for your records as well as to give the affiliated agency information about the client.

To “close” a case:

Choose the reason why the client’s file is finished. If there is no referral or monitoring, the Case Closed, “no referral necessary” selection will be automatic.

If client is in Non-Compliance, click on the radio button next to the non compliance. Select the reason for non compliance and enter the date issued.

Click on Save Data to go back to Client Roster.

To View transferred clients or to transfer a client to another IDRC Provider click on “Client Transfer”

Click on the link for list of Transferred to/Transferred from Clients

Click on search to find the client.

Client Transfer is not allowed to Out of State unless Client is Rescheduled/No Show or has no status.

Click on “IDRC Clients in Agencies” for the list of clients referred to agency by agency name. Select the agency name and click on complete for the case closed clients. Click on Non-Compliance for Non-compliance clients who were referred to that particular agency. Click on active for the clients who were referred to that agency and are not closed in the 12 hr.

Select the agency name from the list and click on active. Client status will be displayed. Click on the report to see the client’s admission/assessment/Loci Report.

To DOWNLOAD client information into excel sheet:

Select the option—download by scheduled date or by follow up date.

Type in the date range and click on Export to Excel.

Specify file name and path to save the file in excel sheet.

Click on Search ALL Clients to find clients by criteria.

Rescheduled : All Rescheduled clients.

48 hr : All 48 hr clients monitored by this IDRC.

Old System : All old system clients.

Referral – Case Closed : Client’s who were referred and the case is closed.

Non Compliance : Clients who are in Non-Compliance

No-Contact Clients : Clients who were referred to agency but did not contact the agency.

2005-2008 Clients: Client list from 2005 – 2008 with out scheduled date. Once scheduled date is added client will be moved to regular client list.

Click on bubble next to Search All:

Click on the radio buttons based on the search criteria to find the client.

To go to Client Roster click on E-Client Roster. All the scheduled dates will be displayed. Click on the date to go to all the clients scheduled for that date.

Click on the schedule date to see the list of clients scheduled for that date.

Click on the license number to go to Client detail forms.

Click on the Court Report for Client’s Court detail information.

Click on Continuing Care Clients button to see the list of clients who are in continuing care at treatment facility and need referral for DUII funding.

If client is eligible for DUII funding click on Approve otherwise click on Decline and specify the reason for declining.

ALL-DUII referred Clients: Click to see the list of clients who were approved/disapproved.

Click on reason under decline to see the denial reason.
