Paycheck Corrections & Hardship Advance

From time to time, an associate's paycheck amount may be incorrect. There may also be instances when an associate faces an unforeseen hardship and may request a payroll advance. This policy provides information on how to make corrections to paychecks and, when approved, how to request payroll advances.

For the purposes of this Policy, an "associate" is any employee of Macy's stores, central or support organizations.

1. Paycheck Corrections A pay adjustment voucher or off-cycle paycheck may be provided to an associate if no paycheck is received, or when an associate's paycheck amount is incorrect (i.e., underpayment).

Associate is overpaid. Associate should report the overpayment to an HR Representative immediately.

Associate does not receive a paycheck. If an associate in the stores organization does not receive a payroll check (either through direct deposit or in hard copy), the manager should call HR Services at 1-800-234-MACY to establish whether a payment was processed.

1. If a check was issued. The manager will work with HR Services to reissue the check.

2. If a direct deposit was processed. The manager will work with HR Services to determine why the associate does not have access to their funds. An Expenses Payable check will be processed once Payroll has received notification of a rejected direct deposit transaction.

3. If no check or direct deposit was processed. The manager will process an off-cycle payment.

Associate receives a paycheck, but the amount is less than it should be.

1. No commission or incorrect commission amount is paid. When a manager in the stores organization is notified of a problem with an associate's commission, the manager will complete and submit the Commission Correction Web Form to HR Services.

2. Pay is incorrect because associate did not clock correctly. If, as a result of an associate's clocking error, hours are not correctly reflected in the associate's paycheck, the manager should contact HR Services at 1-800-234-MACY and request the missing compensation be applied to the associate's next paycheck.

3. Pay is incorrect for other reasons. Examples include incorrect holiday pay, training pay, a missing specialist bonus, etc. If a manager is notified of a problem with an associate's pay for miscellaneous reasons

(i.e., not related to a missed clocking and not specifically described above), the manager will work with the associate to determine whether a pay adjustment voucher or an off-cycle paycheck is needed.

a. If the associate indicates that prompt payment is not needed, the manager will submit a request using the PeopleSoft HR Self Service online Data Input Form (DIF) or contact HR Services at 1-800-234-MACY and request that the missing compensation be applied to the associate's next paycheck.

b. If the associate indicates that prompt payment is needed, the manager will request using the PeopleSoft HR Self Service online Data Input Form or contact HR Services at 1-800-234MACY and request a prompt correction through a pay adjustment voucher or an off-cycle paycheck.

Paycheck is lost or stolen. If an associate's paycheck is lost or stolen, the manager will work with HR Services to cancel the first check and re-issue a second check.

2. Payroll Advances From time to time, an associate may request and/or a manager may want to process a payroll advance, such as for an unforeseen hardship. Generally, payroll advances for hardships are not approved. Exceptions are made only when significant, extenuating circumstances exist and must be pre-approved by a Director of Human Resources.
