Fairmont General Hospital – Payroll Coordinator Position

Performs all activities necessary to process 1 or more payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management.

Education: A minimum of a two year business degree is highly desirable.

Experience: Minimum of two years payroll experience with Kronos timekeeping system and/or ANSOS scheduling system or other comparable system.

Knowledge of payroll and accounts payable practices and procedures, bookkeeping, and computer systems, spreadsheets, and applications.

Skills in interpreting and analyzing payroll data, examining documents for correctness and interpreting their accuracy, using a calculator and computers/spreadsheets/software, and establishing and maintaining effective working relationships.

Abilities to perform mathematical computations and compute ratios and percentages, prepare comprehensive reports, maintain confidentiality of financial matters, communicate and work effectively with others, adhere to a flexible work schedule to complete job tasks in a timely manner, exercise independent thinking, judgment, and decision making, and accept accountability for decisions.

o Processes employee time sheets and computer payroll time detail records through the Kronos timekeeping system.

o Processes payroll information through Kronos to the Meditech software to ultimately generate employee paychecks.

o Clarifies and resolves payroll time inconsistencies with directors and mangers.

o Monitors overtime, shift differential, and other special adjustments included in the payroll records.

o Monitors tax deductions, benefits, and other deductions for unusual or changed payroll data.

o Generates payroll checks and distributes or mails paychecks.

o Assists employees understand payroll calculations and deductions, investigates problems, and makes appropriate corrections.

o Processes tax deferred annuity, pension, jury duty, wage assignments, and wage levies.

o Assists with year-end wage reconciliation

o Compiles, prints, and submits W2 wages to federal and state agencies.

o Prepares payroll reports and analyzes payroll trends.

o Assists with bank reconciliations and processes bank direct deposits.

o Conducts manager training of the Kronos timekeeping system.

o Participates in professional development activities.

o Maintains strict confidentiality of employee payroll information.

o Participates in appropriate Hospital committees and task forces

o Maintains comprehensive understanding of all union contracts and appropriate implementation thereof as it relates to scheduling and payroll.

o Perform assigned organizations general ledgers, including recording transactions, reconciling accounts to ensure accurate reporting, and reporting from the financial and statistical ledgers.

o Prepare and submit biweekly 941 and monthly State Payroll tax.
