CENTRAL DAUPHIN SCHOOL DISTRICT POSITION DESCRIPTION

Position: PIMS Administrator

Department: Pupil Services FLSA: Exempt

Reports To: Director of Pupil Services

SUMMARY

Manage, organize, and supervise the operations and staffing within the Child Accounting. Collect, organize and report district data for analysis using multiple data sources and data analysis tools. Responsible for leadership, management, process development, documentation, and data administration for the district’s student information system, and PIMS reporting by serving as the district’s PIMS Administrator.

PRIMARY DUTIES AND RESPONSIBILITIES

• Collect, monitor and report data and documents in accordance with Federal and State guidelines.

• Coordinate all aspects of Pennsylvania Information Management System (PIMS) as it relates to but not limited to students, staff, courses, including verifying and obtaining PA Secure Id’s, extraction of student data for reporting, and all Federal and State data.

• Coordinate training of appropriate personnel on the district student information system and PIMS.

• Read and interpret PIMS manuals and guidelines concerning data requirements and communicate same to district staff.

• Act as a leader, teacher, facilitator, and information source in the areas of the district’s information system and PIMS.

• Meet deadlines for data submission to the Pennsylvania Department of Education.

• Download and upload various files to and from PDE systems.

• Maintain, edit, organize and understand files created and saved in conjunction with the reporting process and schedules.

• Understand and correctly interpret error report related to the data movement process between the district and PIMS.

• Communicate with PDE representatives, the district’s student information system and within the school district concerning PIMS changes.

• Assist in the management of the district’s student information system as it relates to Federal and State requirements.

• Perform other duties as assigned that deal with the areas of the district’s student information system and PIMS.

• Interpret PDE guidelines and district policies and regulations as related to federal and state requirements.

• Develop, maintain, and revise (if needed) a child accounting handbook.

• Coordinate attendance reporting with building attendance personnel and secretaries as needed.

• Attend PDE child accounting meetings and present updates to district staff.

• Meet with auditors and respond to questions as needed with regard to PDE reports.

• Supervise and evaluate child accounting personnel.

• Monitor additions and changes in legislation, regulations and guidelines related to Child Accounting.

• Develop budget recommendations and provide expenditure control of approved budgets for all child accounting.

• Assist in the development of policy and procedures in areas that directly affect child accounting.

• Develop and conduct staff in-service programs in conjunction with other building and district staff in the area of child accounting, Federal and State reporting.

• Performs other duties as assigned.

QUALIFICATIONS

Knowledge and Skills:

• Excellent communication and organizational skills and attention to detail a must.

Abilities: Ability to work independently, perform all the duties of the position efficiently and effectively. Ability to plan organize and prioritize work in order to meet schedules and timelines. Ability to analyze situations accurately and adopt an effective course of action.

Education and Experience: Bachelor’s Degree in Accounting or Business Administration or other related area and prior experience with data base programs and proficient using Excel. Child accounting and student information computer systems experience preferred.
