Counselor Web Page Training - Merritt College

COUNSELOR WEB PAGE TRAINING

1. Show Splash Page

← Designed this with novice in mind

← Idea is to get where you’re going in 3 to 4 clicks

← Few if any graphics—longer to download

← “Return to Home Page” on every page; “Return to Student Services HP” on splash

← Note link to C Web Page at bottom of Student Services Home Page

← Not for wide publication to students. Can’t assure timeliness or accuracy (at this point) and don’t want to risk bad or outdated information, or (as we all know), students applying the information incorrectly or only using half the info.

2. Go through each door. Start w/Infores and point out each link. Be sure to distinguish between “Gen’l Advising Info” and info you can find on each college page. Point out that black type indicates no link (see Sonoma). Note catalog, ASSIST, CAN (except UC), and Home Page on each college page.

3. More than one way to find info. Find a way that works for you. For example, 3 ways to find UC High School A-F requirements—my link on ucgen page, link on UC Info page, and link on Related Sites on ASSIST).

Questions

Start by putting names in a hat and then drawing for each question. May want to do “Millionaire” format, allowing lifelines (draw 3 add’l names for lifeline) and giving cookie for each correct answer.

EASY

← A student has been at M for 1½ years in the ADN program. She wants to transfer to a BSN program but has no car, lives in Oakland, and needs to stay close to home to care for her elderly parents--would like to finish at local school. Suggestions, and where to look? (Samuel Merritt -- their web page in Independents)

← You need the catalog for CSULB but can’t find it. Where do you go? (CSULB page and ‘catalog” link)

← You click on a link and don’t find what is promised (show Groucho picture). What do you do? (Click my e-mail and let me know ASAP).

← A student wants to know if SPCH 4 that she took in F96 clears the CSUGE A1 requirement. You don’t have the ’96-97 advising sheet. What do you do? (Go to ASSIST—CSUGE for Merritt).

← A student comes in wanting information about Howard University. You know it’s one of the HBCUs and that it’s in DC, but not much more than that

← . Where do you go? (HBCU website in Independents)

MEDIUM

← You get a call from an admissions rep at Claremont McKenna inquiring about a student who’s applied for transfer admission. You misplace the message but remember the school. The message asked for a very prompt reply because classes start next week and the student will miss financial aid if you’re late. (Got to link for websites to all US Colleges & Universities)

← You’re asked some information about articulation with CSULA. Name 2 ways you can find out what we have (bonus--which of the 2 is quickest?) 1. Go to ASSIST directly 2. Go to CSULA page & note black letters for “aa”--that’s a dead link.

← A student wants to major in Physical Therapy but isn’t sure which CSUs have that major. She also is married, with a 3-year old, so needs housing. She’s concerned about being swallowed up in a big school and she’d also like to be close to her family in the Bay Area (no more than 1½ hours away). How can you help her quickly narrow her choices? (CSU Mentor matching assistant)

← A student wants to transfer to Mills and you want to know if they’ll accept our GE requirements. What do you do? (Go to Mills page and look around--can’t get question anwered completely but can get close--look at transfer info link)

← A student comes to you wanting a degree audit for her AA. As you do a check of her GE requirements, you see she’s taken courses at Merritt, Laney, COA, and CCCs outside the district. She’s taken HEC 13, General Nutrition at College of the Desert and she wants to clear her Area One, Natural Science requirement. What do you do? (Go to CAN, find the FCS 2 # for both COD and COA courses and clear the requirement).

← A student is ready to apply for admission to UC Berkeley and wants help with the application. You’ve heard something about errors in the current app but don’t remember what they are? Where do you go? (UC Gen--UC Info--CalNotes)

← Where can you go to find special transfer info about certain schools, i.e. Chico and Berkeley (“Transfer Info” goldenrod button on ASSIST page)

HARD

← A student isn’t sure whether they were eligible for UC as a HS graduate--not sure if they cleared all their subject requirements. They went to Pleasant Valley High School in Chico, graduating in 1997, and they have their transcript with them. How can you find out? (go to UC page, General Advising, and A-F link OR same link on ASSIST related sites)

← A student comes in with their parent. The parent is very concerned about the student’s academic future and has heard that Merritt doesn’t transfer students to 4YS. How can you show them some information to help alleviate their fears? (Go to “Academic Performance Reports” link on CSU Gen’l Advising)

← A student took AP BIOL in high school and got a 4. She now wants to transfer to UC Berkeley and wants to know if the units transfer and if she’s cleared her LD Biology requirement. Where do you go? (UC Gen’l Advising page, go to P. 40 in “Quick Reference for Counselors”)

← A student comes to you with a transcript from Pacific Oaks College, showing she’s taken HD 200, Early childhood Themes & Life Cycle Issues in 1993. She wants to know if this will count toward one of the CHDEV classes she needs to complete her major. You want to give her some indication of the possibility—what do you do? (Go to Advising Info--collegesource--catalog (must have username & password: advisor1 and peer)

← A student comes in with a transcript showing courses taken all over Peralta District, as well as courses at DeAnza. He’d like a quick update on how he’s doing toward fulfilling IGETC. Give at least one example of how you can give it to him (ASSIST for each school OR Californiacolleges.edu).

End notes

← Please help me keep this a viable tool. Can’t possibly know when every link might change or when information has been updated. Have a “contact SP” link on every page—please use it. (Show ‘file list” document)

← Share the wealth. Most of what I’ve learned I’ve either been told or stumbled upon. Let’s cut down each others’ learning curve by sharing info.
