Parent Handbook

Welcome

Welcome to Charlotte’s Web Preschool and Nursery. Thank you for choosing us to take care of your child(ren)! We are a professional childcare provider. This Parent Handbook covers our childcare philosophies, business policies, and expectations. Please read this handbook carefully, and feel free to ask any questions you may have.

Our Childcare Philosophy

As a family childcare provider, our goal is to provide a safe and happy place for children where they can learn and grow physically, emotionally, intellectually, and socially at their own pace. We believe children learn through play and benefit through a structured schedule. Activities will be offered which will stimulate sensory motor development, language development, and social interaction. The development of self-esteem is also a major goal. Children will be taught to respect each other, adults, and property.

Communication

Communication is very important to us. We publish a monthly newsletter that will explain some planned activities we are doing, our current curriculum themes, events that will be happening during that month, and any other pertinent or fun information that may be of interest to you.

Parents of infants will receive a daily form. Things you will find on this form will be feedings, diaper changes, schedule, temperament, and things to remember.

Parents of toddlers through age two will also receive a daily form. Things you will find on this form will be meals, diaper changes, nap schedule, temperament, and things to remember.

Parents of Preschoolers and older will not receive a daily form unless there is a reminder or a situation you need to be aware of.

Enrollment Policy

There are several forms that we must have completed before having the responsibility of caring for your child(ren). NO EXCEPTIONS. This is to ensure that your child will get the best care from us. The forms are as follows:

Medical Form

Health Record

Emergency Medical Authorization Form

Permission to Administer Medication

Permission to transport in the event of Emergency

Parents are required to keep us informed of any change in address, phone numbers, and any other important information. If you have any questions on the completion of these forms, please feel free to ask.

Payment Procedures

Your specific rates will be outlined in the Contract and Rate Agreement. Payment is payable in advance and is due no later than drop off time on the first care day of each week. If this day falls on a holiday, payment is expected the previous day. If you leave for vacation payment is due BEFORE you leave. Payments will be accepted in check or cash. There will be no late fee for now, but if it becomes a problem, then it will be addressed. Repeated late payments may be grounds for termination. You will be given a two-week’s notice of any increases in your childcare fee.

Taxes

You will be given a year-end summary of all daycare fees paid during the year for tax purposes. This will be given in January each year or when services are terminated. You may request a statement at any time.

Returned Checks

If a check is returned to us for non-sufficient funds, you will be required to pay all fees that we incur as a result of the returned check. In addition, we will only accept cash payment from you at that point.

Hours of Operation

Normal hours of operation are Monday-Friday 6:30 a.m. to 7:30 p.m.

We only offer full-time childcare. You may pay for a full-time slot even if you only need care part-time if you choose to.

Open Door Policy

We maintain an open door policy for parents. This means that you are always welcome to call or drop in to see your child(ren) at any time during regular childcare hours.

Holidays and Vacations

We will be closed for the following holidays: New Years Day, Memorial Day, July 4th, Labor Day, Thanksgiving, and Christmas Day.

You must provide a two-weeks notice to take a vacation. A vacation consists of a full week (M-F); individual days are not considered vacation. During a vacation week you only have to pay 50% of your child’s tuition.

Personal Belongings

No toys should be brought from home. Little ones have a difficult time sharing with others, especially their own toys. Exceptions being a “lovey” or “taggy” for nap time which will be kept up until nap time, and on show and tell day. We are not responsible for loss or breakage of your child’s personal items. All personal items must be clearly marked with child’s name.

Supplies

Parents are responsible for supplying the following items:

Potty Trained Children:

1 complete change of clothes (shirt, pants, socks, and underwear)

Any over the counter medications you want to be kept here (this MUST have the child name on it)

Proper Outerwear for outside play

1 blanket for nap time (these will be washed here every Friday)

Swimsuit, Towel, and Sunscreen to be left here in the summer months for water day.

Not Potty Trained Children:

Diapers or Pull-ups

Baby Wipes

2 Complete changes of clothes (shirt, pants, socks)

Any creams, powders, etc. that you wish to be used at diaper changes.

And any other items that your child may need.

Daily Schedule

Young children, toddlers, and babies enjoy a structured schedule that allows flexibility. A schedule helps the day flow smoothly, allow the children to anticipate upcoming events and aids in achieving a variety of goals.

Meals

Nutritious meals will be served to all children ages 12 months and up. Breakfast and Lunch Menus for the week are posted at the check in area. You are responsible for feeding your child if they arrive after a mealtime. NO EXCEPTIONS. Infants are always fed on demand. Written feeding instructions are required from parents of infants including amount of food, and feeding times.

Cleanliness and Hygiene

We do our best to maintain strict cleanliness and hygiene standards. Children’s hands are washed before and after meals and after toileting. Infants sleep in separate cribs with clean sheets used only by them. Beginning at about age 2, washable nap mats are used. Each child has a separate nap mat, with sheets, and blankets that are washed weekly. (unless soiled, then they are washed immediately)

Toilet Training

Toilet training will be done in a relaxed manner with the cooperation of the family. If potty training is begun when your child is ready, the task is easy and quick.

Naps and Quiet Time

All children are required to lie down for a rest period in the afternoon. All children must nap, rest, read, or play quietly during this period. Without rest time, some children are argumentive in the afternoon, short-tempered with others, and not happy when they go home in the evening. Infants nap at varying times and their schedules will be accommodated. Somewhere between 12 and 18 months, children usually drop down to one nap per day.

Activities and Curriculum

The main goal of this child care center is to learn while having fun, improve social skills, and encourage creative expression. We will utilize a variety of activities to accomplish these goals. Free play, reading, arts, and crafts, music/singing, dancing, dramatic play/pretend, and puzzles are just some of the activities we will be doing. Our preschool program curriculum consists of just a few of the following: arts and crafts, music, math, science, stories, games, as well as letter, shape, color, and number recognition.

Medications

Both non-prescription and prescription medications, ointments, and creams can be given to child if needed. Parents are required to fill out the proper forms and supply all medications in the original containers. These MUST be labeled with the child’s name.

Fire Safety

We have a written fire evacuation plan and practice a fire drill with the children once a month.

Discipline Policy

At Charlotte’s Web Preschool and Nursery we believe that a child in an environment of love, trust, and respect, will gain self-discipline and the desire to learn and succeed in a positive way. In addition, we request that the parents be proactive partners in their child’s experience. All discipline will relate to the child’s action and will be handled without any prolonged delay on the part of the staff, so that the child is aware of the relationship between his or her actions and the consequences. Any unsafe or disruptive behavior exhibited by the children or parents may be subject to immediate dismissal. There will be no refund of tuition if your child is dismissed and any unpaid balance of your child’s tuition must still be paid in full.

If your child chooses to break a rule, the consequences are as follows:

1. Verbal Warning

2. Time Out (1 minute per each year of age)

3. Child sent to Directors office and parents called.

The age of a child will be taken into consideration when dealing with discipline consequences.

Illness Policy

Should your child become ill during the day, you will need to pick them up promptly, or make arrangements for an authorized emergency contact person to pick up upon such notification.

Illness such as (but not limited to):

Fever

Diarrhea

Vomiting

Colored discharge from nose, ears or eyes

(Infants with fevers and/or diarrhea as it pertains to teething, will only be accepted after child has seen a doctor and a note is given stating that these symptoms are due to teething)

Termination Policy

Charlotte’s Web Preschool and Nursery reserves the right to terminate for the following reasons (but not limited to):

Failure to pay

Failure to complete the required forms

Lack of parental cooperation

Physical or verbal abuse to any person or property

Lack of compliance with handbook regulations

False information given by parent either verbally or in writing

Revisions to Handbook and Contract

If and when revisions are made to this handbook a new contract will need to be signed. We reserve the right to make changes in rates and policies. Parents will be notified, in writing, of any changes that may occur.
