RTI Data Meeting Sample Agenda’s and NotesPurposeThese agendas were created to guide any school with their schoolwide RTI goals. Please use these as a tool and feel free to edit so they work for your building. The goal was to put essential elements in place, and help schools stay on track for the year. Helpful TipsIf you staff is up for the challenge, front load some of this information in the spring and/or summer.Utilize your faculty meetings to establish purpose of meetings, meeting Norms/Non-Negotiables and review essential documents such as: RTI Intervention and Documentation Forms, RTI Sample Goal Sheets, STAR Testing Calendars, white cardstock RTI folders. The more you are able to accomplish before the first “RTI Meeting” the quicker you will be able to talk about kids. Facilitator Talking Points/Reminders are not for teacher’s eyes. Remove those notes from your meeting agendas. Never allow a teacher to show up without their data. Establish this from the very beginning. Invite/schedule your speech path, school psych and SPED teacher to attend as often as possible. If you are a Title I site, your Reading Specialist must attend these meetings. They are invaluable. They may not feel comfortable leading the meeting, but they must attend. RTI Data Meeting AgendaSeptember (Meeting #2)Data Check – Teachers must bring data to the meetings.Data BindersSTAR Screening Reports and or Test RecordsLexia Reports (optional)Use data to determine who will be served.Work to identify skills if a teacher needs assistance. Continue serving kids from previous years with the same skill if needed. If looking at a SPED placement do not start over with RTI, continue where the previous teacher left off. Prepare for next month: Have RTI Intervention and Documentation forms filled out and have at least 2 data points. Facilitator Talking Points/RemindersIf possible schedule this meeting AFTER the STAR window closes so you are guaranteed to have data. Teachers CAN NOT attend the meeting without their data. If they don’t have their data, they will need to make up the meeting.Remember to ask the teachers about any medical issues the student may have before they start RTI. Also, be aware if the student is possibly ID as the placement process is different for these issues. These are not behavior meetings. Establish that from the beginning to keep teachers on track. If needed, you may have to schedule individual meetings with teachers to help find the right skills. If they have a heavy load of students, they may need more attention and time. RTI Data Meeting AgendaOctober (Meeting #3)Data Check – Teachers must bring data to the meetings.Data BindersSTAR Screening Reports and or Test RecordsLexia Reports (optional)RTI Documentation SheetsShould have at least 2-4 data points at this point in the year. Remind all 2nd – 6th teachers to STAR test this month. K-1st need to STAR EL students less than 40th Percentile. Let’s talk about skills:What skill are you focused on?How did you determine the skill? How will you Progress Monitor (PM) the skill? What activities are you doing to reteach the skill?Do you have any new kids? Test any new student within 5 days of them being added to your class. Begin RTI immediately if needed. Facilitator Talking Points/Reminders:If a teacher can’t figure out where to start, start by asking, “What is the most remedial/basic skill they need?”. Use the Phonics Progression Chart(s) to pinpoint a skill if a you need help. Spot check any RTI documents that you are concerned aren’t filled out correctly or collect everyone’s for a week and check them. Remind teachers RTI is only for SLD not ID or OHI. If teachers have less than 2 data points, find out why. RTI Data Meeting AgendaNovember (Meeting #4)Data Check – Teachers must bring data to the meetings.Data BindersSTAR Screening Reports and or Test RecordsLexia Reports (optional)RTI Documentation SheetsA minimum of 4-6 data pointsReview data from BM #2Look at new students first to make sure they are being servicedLook at students whose performance is flat or has dropped before those who have progressed. Review 4x4 Model – Four Intervention before your progress monitor, four PM’s before you check in. For most students 16 interventions will remediate up any gaps for that skill. However, if after 16 intervention sessions a student is not meeting their RTI goal now, is the time to check in with your data team, SPED teacher, School Psych and see what needs to change. If they are meeting the goal, ask: Do you want to stay on that skill or change to the next most crucial skill?Remind teachers of the upcoming benchmark in December. All students need to be tested during this benchmark window. Make sure any K-3 Students who have dropped below the 40th percentile are put on an RSA Academic Performance Plan. Facilitator Talking Points/RemindersIf a student is flat, figure out why. Often times the intervention is not focused enough or the progress monitoring does not meet the intervention. For example, you can’t write a goal of mastering CVC words, and progress monitor with fluency passages. Utilize the Wonders Tier II progress monitoring tools and/or reach out to Michelle Burks for help. If you have a reading specialist in the building, make sure you are using them. If you feel that a student is going to be moving towards SPED placement, have your school psych sign off on the intervention plan. Make sure teachers understand the 4x4 model. It will take more than 4 data points to place a student, but after 4 they need to check in with someone to make sure they are on the right path. RTI Data Meeting AgendaDecember (Meeting #5)Data Check – Teachers must bring data to the meetings.Data BindersSTAR Screening Reports and or Test RecordsLexia Reports (optional)RTI Documentation SheetsA minimum of 7-9 data pointsData Points – Placement decisions should be happening this month. Check PM data and progressIs progress adequate?New Kids – Make sure they are getting tested and put on RSA Plans if needed. Reminder – Benchmark 2 (STAR EL), Benchmark 3 (STAR Reading, Math) data will be reviewed in January. Facilitator Talking Points/RemindersThe school psych must attend this meeting. At this point in the year you should have enough data points to begin making decisions about moving to Tier III and possible placement. Check teacher’s data points. If they don’t have 7-9 by this point, find out why. RTI Data Meeting AgendaJanuary - March (Meeting #5, #6, #7)Data Check – Teachers must bring data to the meetings.Data BindersSTAR Screening Reports and or Test RecordsLexia Reports (optional)RTI Documentation SheetsA minimum of 7-9 data pointsReview December Benchmark DataDiscuss kids whose performance has dropped or have become flat first.Only remove from RTI if their RTI goals have been met, not only because they have benchmarked on STAR. Once goal is met, move on to the next needed skill in the progression if working on Phonics. Placement DecisionsWho is not progressing and meeting goals?8-10 consistent data points are needed to make decisions.Facilitator Talking Points/RemindersSome kids will be on RTI/Tier II forever. They are always going to need that “reteach” time, and that is ok. Remind teachers they are doing what is best for the student and it’s not about SPED placement. Once Phonics skills are met, older students may need fluency work before comprehension. Their comprehension is low because they aren’t a fluent reader. They aren’t a fluent reader because it took longer than normal to master heir sight words and phonics. Give them time and fluency practice. The spring is the time most students who need to move to Tier III, should progress to Tier III. The school psych may recommend a new plan of intervention. Give them control in Tier III. Remind teachers that attendance, parent consent, vision/hearing screenings, and other factors now come into play for SPED placement. RTI is the first step, but it may not happen due to other factors. RTI Data Meeting AgendaApril - May (EOY Meetings)Data Check – Teachers must bring data to the meetings.Data BindersSTAR Screening Reports and or Test RecordsLexia Reports (optional)RTI Documentation SheetsA minimum of 7-9 data pointsPlacement DecisionsStatus update on any Tier III and with school psychEnd Of Year ProceduresRSA Plans must go in the Cumulative File along with all RTI DocumentationCopies of RTI Documentation may stay in the White RTI Folders if your site uses them, but original MUST go in the students Cumulative File. Make sure White RTI Folders are filled out. Make a list of kids who need RTI to start ASAP in August. Print STAR Test Record for each RTI folderPrint any STAR Growth reports, they will NOT be available after June 30th. Prepare 6th grade RTI folders and send to JH. Facilitator Talking Points/RemindersSome kids will be on RTI/Tier II forever. They are always going to need that “reteach” time, and that is ok. Remind teachers they are doing what is best for the student and it’s not about SPED placement. All original yellow RSA plans must go in the cumulative file with the RTI documentation. Copies can be kept in the RTI folder for next year, but the originals must be stored in the cumulative file. April is a great time to review 3rd graders who don’t meet any exemptions and who may not meet RSA Criteria. ................
