Social Security Administration (SSA) Records Management Awareness: Contractor Personnel Compliance
Purpose: Contractor personnel must sign this Certification to confirm that you understand and acknowledge specific SSA records management requirements, as detailed below. This Certification documents that you received the required SSA Records Management Training.
Background: Per National Archives and Records Administration Bulletin 2017-01 and Circular A-130 5.h.(8), all Federal employees and contractor personnel are required to complete records management training regarding Federal records management responsibilities on an annual basis.
I hereby certify that:
1. I read the Records Management Training document, Records and Information Management Annual Contractor Compliance Training ().
2. I understand that there are Government-wide and SSA-specific policies and requirements that dictate how long Federal records are to be kept and I will abide by these policies and requirements.
3. I understand that, as a contractor[1] personnel[2] working under the contract listed below, I am responsible for creating/receiving, maintaining, and destroying Federal records in accordance with approved Governmentwide and SSA-specific policies.
4. I will direct questions related to SSA records management to the contracting officer’s representative who will work with the SSA’s Records Management Staff to address the question(s).
5. I understand that, per 36 Code of Federal Regulations 1230.12, the unlawful or accidental removal, defacement, alteration, or destruction of Federal records may lead to fines, imprisonment, or both.

[1] For the purpose of this certification, the term “contractor” means any entity having a relationship with SSA because of this contract. This term includes, but is not limited to, corporations, limited liability partnerships, and sole proprietorships AND shall also include subcontractors.
[2] For the purpose of this certification, the term “contractor personnel” means employees of the contractor, employees of the subcontractor, any consultant retained by the contractor or subcontractor, any volunteer or intern of the contractor or subcontractor, and if the contractor or subcontractor is a sole proprietorship, it refers to the sole proprietorship.
