Dear Couple,

Congratulations on your decision to be married! BridgeWay Church is honored to celebrate this memorable moment with you. Wedding ceremonies are ALWAYS A SERVICE OF WORSHIP in the company of your loved ones and friends, to publicly covenant with each other under the blessing of God. A Christian wedding is much more than a social event; two persons are united by God in holy matrimony. Please read the provided information carefully and fill out the wedding request form for your wedding to be considered. If you have questions, please contact the church office at 303-695-8400.

1. Scheduling

A. Making the Reservation

i. First you will fill out the Wedding Request Form.

ii. The date/time of the wedding and rehearsal should be arranged at least 4-6 months ahead. Upon approval the date/time will be placed on the church calendar. The facility will not be able to be reserved with less than six weeks notice.

iii. It’s your responsibility to request the BridgeWay pastor of your choice and coordinate their availability with them. If you want to request someone outside of BridgeWay pastoral staff, the BridgeWay senior leadership team will need to approve the officiant.

iv. Once the form has been filled out and the dates have been approved you will receive notice of whether or not the facility is officially available for your wedding.

v. Please do not send out save the date cards until you have confirmed reservation for the event. Your Wedding date/time is considered “confirmed” when:

a. Forms have been filled out, deposit paid, and date has been approved

b. BridgeWay or BridgeWay approved pastor has agreed to officiate the wedding.

c. The deposit fees have been paid in full (balance of all fees due 4 weeks prior to your wedding)

B. Scheduling

No weddings may be scheduled on site on the following days:

a. No Sunday Weddings- unless special permission is granted.

b. Good Friday/Easter Weekend

c. Independence Day

d. Thanksgiving Weekend

e. Labor Day Weekend

f. Christmas Eve or Christmas Day

g. New Years Eve or New Years Day

h. No evening weddings may be scheduled to begin later than 4:00 pm if the reception is on site, and no later than 5:00 p.m. if the reception is offsite. Receptions must be finished by 9:00 pm.

Wedding Coordination

1 All couples asking to be married at BridgeWay Church are required to use either the staff Wedding Coordinator or an approved Wedding Coordinator affiliated with BridgeWay Church. The wedding coordinator will assist you with the use of the facilities through the entire wedding planning process, including being present at the rehearsal and the wedding ceremony itself.

Please Note: this person helps facilitate a smooth rehearsal & wedding ceremony working as a liaison between bride, groom and church facilities/pastoral staff. They are not available to plan your wedding, nor help you the day of with getting dressed, decorations, etc.

We also ask that your Wedding Coordinator be present at the rehearsal and the ceremony. This person is preferably not be in the wedding party as they will have these general responsibilities:

Direct caterers, florists, the wedding party and visitors to appropriate areas of the building.

Ensure that the BridgeWay Church wedding policies are adhered to.

III. Rooms Normally Used for Weddings

A. The Sanctuary is available for the wedding ceremony for weddings with over 100 people and now seats approximately 700. Please note that no chairs in the sanctuary can be moved for your wedding.

B. The Nursing Mothers Room located in the back of the Sanctuary is available for wedding guests with babies during the ceremony.

C. The largest Children’s Classroom is normally used by the groom and groomsmen to dress and wait in prior to their entrance.

D. The Youth Room is normally used by the bride and bridesmaids to dress and wait in prior to their entrance.

E. Please note, we do not have any full-length mirrors so you may want to bring one or two with you.

F. There are restrooms available in the gym for the bridal party to use.

G. The great room is available for weddings and receptions and can seat up to 100 people in rows, and probably 60 at round tables.

H. The gym is available for weddings and receptions and can seat up to 200 people in rows and 175-200 at round tables.

IV. Rehearsal/Rehearsal Dinner/Receptions

A. Wedding Rehearsal The purpose of the wedding rehearsal is to familiarize the wedding party with the wedding procedure, so that everyone will be as comfortable as possible and learn their responsibilities.

• The rehearsal time must be confirmed through the wedding coordinator. The rehearsal must begin promptly at the scheduled time.

• Rehearsals should be approximately 1 hour.

B. Rehearsal Dinner and/or receptions

Currently, the BridgeWay Church facility is available for catered rehearsal dinners with some restrictions. We do not have a kitchen facility. Please note the following:

No alcohol

No red drinks

No dyes

V. Janitorial

A. The janitor is responsible only for general set up and clean up such as:

• Setting up the tables, chairs, etc to your specifications

• Vacuuming

• Mopping

• Sweeping

• Discarding Trash

• Putting furniture we have moved back in order

B. You are responsible for cleaning up all decorations in the sanctuary after the ceremony, and in the area the reception is held, after the reception, including clearing all tables of trash and decorations.

C. Please let us know at least one month prior to the wedding, how you would like the reserved rooms set up for your wedding/reception.

VI. Decorations

A. Decorating for the wedding. Please have your Wedding Coordinator make arrangements through the church office for your decorating times.

Please note restrictions:

• No tape, tacks or glue may be placed on furniture or pews

• Only drip less candles are permissible. Plastic protectors must be used on the floor beneath the candelabra or the candles themselves. Use of the votive cup candles is encouraged to protect furniture and carpet.

• No sanctuary chairs can be moved.

• Consult the Wedding Coordinator before moving any church furniture or decorations. If anything is moved, please put everything back where you found it.

• Rice, birdseed, flower petals, bubbles, etc., are not to be thrown/blown in the sanctuary, chapel, or anywhere inside the building.  Bird seed, flower petals, and bubbles are acceptable for outdoor use on the church premises.  Rice is not permitted to be thrown anywhere on church premises, inside or outside. Artificial flower petals only are permissible in the sanctuary.

• Food and drinks outside of water are not allowed in the sanctuary.

Damages-If the utilized area of church facility requires repairs following the ceremony this becomes the financial responsibility of the groom and bride. The bride and groom will be held responsible for any damages which exceed the deposit amount. If there are no damages, the deposit will be fully refunded.

VII. Sound System/Video/Lighting

A. If you wish to use the sound system including microphones, playing a cd over the sound system etc., or any video or lighting, you must use and pay for a sound/and or video technician that BridgeWay secures and the AV request form must be filled out.

B. If you want to use our sound system to play music or use the microphone during the reception, you must use and pay one of the sound technicians that BridgeWay recommends. You are welcome to bring your own boom box/sound system to play music or mic your event. If you are hiring a DJ they must bring their own sound system.

C. Music and Instruments:

• The keyboard is available should you chose to arrange for your own pianist for the ceremony. The hired sound tech will set up and take down the piano.

• No other musical instruments at the front of the church or owned by the church are available.

• We are not providing musicians or vocalists. You may, however, arrange for your own musicians and/or vocalists. Please coordinate with the sound tech to make arrangements for the sound needs for your musician’s instruments or if you have any questions or requests regarding BridgeWay Church’s audio/visual resources.

D. Lighting in the sanctuary cannot be moved. You will need to work with the sound technician or wedding coordinator on the lighting that you want within the lighting scheme as it is set now.

VIII. Catering

A. BridgeWay Church does not have chafing dishes and other kitchen items available for use.

B. Refrigerator space may be made available and will need to be worked out with the wedding coordinator. If there is any usage, the refrigerator must be cleaned out at the end of the night.

All Facility Fees are Required, due 4 weeks before the wedding, and except for the Damage Deposit are Non- Refundable.

All Personnel Fees are Required, due 4 weeks before the wedding, and are refundable up to 48 hours before the wedding.

The fee for the facility includes use of these facilities and everyone must be out of the building within an hour of your approved ending time. If additional time is needed, it will be charged at the rate of $50.00 per hour and will be taken out of your deposit.

There is no set fee for the Pastor. Please remember the time he spends with you in counseling sessions, his message preparation, and the rehearsal as you consider your gift to him. Your gift to the Pastor should be given directly to him/her.
