Grade: 8

Hours: 17.5 hours per week

Reports to: Finance and Administration Manager

Office: Cardiff

OVERALL SUMMARY

Working within the Cymru Wales Corporate Services Team, the post holder will be required to undertake a range of processing tasks and functions including data entry to online banking, QuickBooks, invoicing and financial administration. The post holder will be required to work using their own initiative and under the guidance of the Regional Finance and Administration Manager.

KEY TASKS AND RESPONSIBILITIES

Financial

• Processing of authorised payments

• Submission of payments to online banking

• Processing and issue of cheques using QuickBooks

• Undertaking reconciliations and identifying discrepancies

• Preparing income and expenditure statements

• Assisting in the preparation of financial reports

• Assisting in the preparation of draft budgets

• Advising regional staff and lay budget holders about their budgets

• Assisting in the administration of the office petty cash and the preparation of required Disbursements.

• Day to day checking and coding of all invoices and maintain records for the monitoring of expenditure to maintain budget control

Administration

• Ensuring that efficient and effective administrative systems are in place to support duties/responsibilities of the post

Communications (Internal and External)

• Assisting in the provision of advice and guidance to managers, staff, branches and external contractors regarding financial policies and procedures

• Liaising with external companies in relation to the payment of invoices

• Dealing with account queries and respond to queries from suppliers

• Assisting in the provision of budgetary information to the RMT and regional committees

• Assisting in the provision of financial support to staff/senior lay activists to ensure the delivery of UNISON’s key objectives

Specialist/Technical

• Assisting in the preparation of financial reports as required using a range of Information Technology, including financial information systems

General

• To be able to travel throughout the region and to national office on an occasional basis, as required

• Any other duties relevant to the post
