Linking Photos - NEMRC



Linking photos to your MSOL records is easy. To ensure that the program can open these photo files there are a couple of tips to keep in mind.

• Saving the photo: When saving a photo that is going be linked to your Cama program save them with a 800 x 600 resolution.

o Why do this?

▪ You will be able to fit more photos on your camera before you have to download them as the file size will be smaller.

▪ Many people take pictures with their digital cameras set at the highest resolution possible and that does create a very nice photo. However it does take up more space. This relates to having greater storage when you backup and store your photos. It also affects the speed at which a photo will appear.

▪ When viewing your photos in Cama the program automatically resizes the photo to 800 x 600. This is done so you do not have to wait for the program to load a high resolution file.

▪ If you want to keep a High quality photo of your properties then NEMRC recommends that you store those photos somewhere on your computer but do not link them to the MSOL Cama records.

• Storing photos. NEMRC Recommends storing all photos that you are going to link to a Cama record in the “?:\MSOL\Photos” directory.

o This makes it easier:

▪ to locate the appropriate photo

▪ to backup the photos

▪ to track and update photos

o If your photos are not currently stored in the ?:\MSOL\Photos directory.

▪ Your photos will still appear if they have been linked to a CAMA record.

• However we have seen instances where they did not appear on certain reports due to the complexity of the folder and file names. IE: “C:\my documents\users\desktop\chester\2009 reapp photos\mainst 1 – 101\0001.jpg”

▪ You can move them from their existing location on your own and re link them.

▪ You can ask NEMRC to assist you in moving them from their current location into the ?:\MSOL\Photos directory.

Steps to Linking photos.

1. Take a picture (s) of the property with your digital camera. Remember 800x600 works well. If you take a high resolution photo then we highly recommend that you resize the photo before linking it to a Cama record.

2. Download the images from your camera onto your computer.

a. Find the photos that you have just downloaded and rename them as necessary.

i. Assign a name that identifies the photo. KEEP IT SIMPLE.

1. use parcel id, taxmap numbers, 911 numbers. This will help you identify the photo without actually viewing the photo.

2. DO NOT use complicated names IE: “Smith & Jones land east view.jpg” Though it is very descriptive it can raise problems when the CAMA program goes to open the record with this photo attached.

b. Resize the photo if it is not already 800 x 600.

i. How do I know what the resolution of a photo is? Follow steps (I – V).

c. Resizing your photo. This must be done with Photo editing software.

i. For example… Windows Photo Editor, Software that is installed to use with your Camera. It does not matter to NEMRC what software you use to edit your photos. They are all basically the same. You must be familiar with the software that you have on your computer.

3. Now that the photos are properly named and sized you need to move them from their current directory to the “?:\MSOL\Photos” directory. Simply copy and paste or drag and drop the photos into the MSOL\Photos directory.. Notice the screen on the left is my folder I had on my desktop and the screen on the right is showing that I am looking at the “C:\MSOL\Photos” directory.

4. Now we can link these photos to the appropriate MSOL Cama record.

a. Open MSOL Cama program and select the appropriate database. IE commercial, Residential, or Condo. ( you may be doing a reappraisal so there might be reappraisal databases to choose from as well).

b. Open a record so that it is displayed on the screen and proceed to the “Photos” tab. You may have as many photos linked to a record as you desire. Photo # 1 will print on property record cards and other reports. Click the ‘Change’ button seen below. Then select the appropriate photo on the screen that appears. (If you have your photos all in one place then NEMRC can make the program default to that folder every time you add a photo.

c. Adding additional photos. Below you can see photo 1 has been applied to this parcel. Now to add another photo select the ‘Add’ button as seen in the left screen. This will open the ‘Add Record’ menu. Select ‘Photos’ from this menu and press ‘Ok’. Next you will notice Photo # is now showing ‘2’ now you can select the ‘Change’ button as you did in step 4b on the previous page.

5. Once you have all the appropriate photos linked to the record click the ‘Save’ icon on the ‘Menu bar’ at the top of the screen.

6. Deleting a photo from a MSOL Cama Record. In this example we are removing photo # 2. Note that the ‘Photo #’ is set to number 2.

a. Once you have the correct photo on the screen that you want to delete. Click the ‘Delete’ button and the ‘Delete Record’ menu will appear.

b. Select ‘Photo’ on the ‘Delete Record’ menu and press the ‘Ok’ button. This will remove this photo.

c. Once you have all the appropriate photos deleted click the ‘Save’ icon on the ‘Menu bar’ at the top of the screen.

Open the folder and click on ‘View’ then select ‘Details’. This will allow you to view more information about the photo.

Next: Highlight 1 file and click on ‘Edit’ then select ‘Rename’. This will allow you to rename the photo accordingly.

This is the folder I created to hold all my photos when I download them from my camera.

Scroll down until you find ‘Dimensions’ and place and place a check in the box available. Press ‘Ok’ once you have made your selection. You can select any item you feel would be helpful in identifying your photos.

Viewing the Dimensions or the Photo. Right click on the header Bar circled below. A menu will appear select ‘More’ from that menu.

Now you have a heading labeled ‘Dimension’

and you can see that both my photos I have saved are larger than 800 x 600.
