Keep headings and captions short and concise, but in never make them longer than one line. Longer headings are often split by the readers used by sight impaired people, creating the appearance of two sections instead of one, which in turn makes documents difficult to navigate.In general, using more headings and subheadings helps with ADA compliance as it makes a long document well-defined and easier to navigate. However, too many subheadings can sometimes make a document confusing, so only use the number of subheadings required to make the document well-organized and clear.HeadingUse Heading 3 as needed for organization and clarity of the final report.Insert bullet or numbered lists by using the appropriate icon/dropdown in the “Paragraph” group of the home tab. Tables need a caption above the table and the caption cross-referenced in the text by selecting “Cross-reference” in the References tab (as this example is). Cross-referencing ensures that table numbering is automatically updated if tables are moved or as new tables are inserted. Cross-referencing also helps with ADA compliance as it directly links table references for reading devices used by sight impaired readers.For ADA compliance, make sure you add alternative text and designate a header row for each table. Alternative text should be placed in the “Description” field as this is the field that becomes alternative text in the PDF when converted. For a table, the alternative text should be something that a sighted reader might pick up in a visual skim of the information within the table – a high level summary. For more details on alternative text for tables, see the “CARD Report Content & ADA Guide” available for download on the “Grantee Info” of Tab Department’s Applied R&D webpage.Do not merge columns or rows in tables as this does not meet ADA compliance; instead use additional columns, rows or tables to fully display complicated data in a simplified way. Do not insert tables as a “picture” as those cannot be “read” by the reading devices used by sight impaired readers.
