This case is built around the company Global Bike Associates (GBA). The actors are:

The case is designed to show students the document and information flow of a company. It will also highlight the benefit of an electronic information system.
5 minutes = 1 day. Accounting should be able to keep a running total on costs, and should be able to give a good picture of profit/loss.
Assign a role to each student in the sheets. Put the students into groups based on functional areas: all sales people are in one area of the classroom, same with the warehouse, accounting, etc. Don’t let people from one functional area talk to anyone but an IS runner. This simulates the distance in a company, data has to flow somehow, and in this situation it flows through IS.
Once everyone is in their groups, and they have read their papers that tell them what they can do. Let them read and digest about 5-10 minutes.
Information Flow: Everything has to be written down for the IS runners. IS runners can ask where the position is located in the classroom, but cannot relay information verbally.
Start the simulation. Set 1 day as 5 minutes. Set a timer on the computer and call out each time a day passes. The instructor / a dedicated timer can do this job.
Optional: You can suggest flow patterns as follows:
Customer orders a bike. Sales creates a Sales order, sends one copy to Warehouse. Then Sales sends another copy to Accounting.
Warehouse receives the slip, picks the order, and ships using the shipping company IPS. Once shipped, they send the Accounting department a note to send the invoice to the customer.
Accounting sends the invoice, and the customer pays the invoice.
If sales notice that they are low or out of stock, they send a Purchase Requisition to the Purchasing department. MRP controller looks at what is being sold and tries to anticipate the future sales. Once Purchasing has 5 of one brand of bike, they can create a PO and send it to the vendor. The vendor then “makes” the bikes on the PO by writing in the model numbers in the spreadsheet printout. They then cut out a block of bikes, shipping it to the warehouse that way. Once received, the warehouse has to cut out the individual bikes.
What you need to run this:
Print out all of the sheets in the spreadsheet. Warehouse stock goes to the warehouse right away, they can then start cutting them out and getting organized. Warehouse sheet goes to the warehouse also.
The Yeti, Spirit, Bruno, and Roadmaster sheets all go to the Vendor(s).
• 2 pairs of scissors (1 for Warehouse 1 for Vendor(s) )
• Yellow, Pink and green sticky notes for Accounting.
• Flashcards / notes for taking orders , relaying information etc..
• white board pens, regular pens and pencils, and
• extra papers.
• Optional: sales order books (3 or 4 carbon-copied type) for orders.
What typically happens:
Sales gets swamped, and they don’t know what is in the warehouse. Warehouse receives orders that they can’t read or don’t have in stock. Payroll gets paid every 5 minutes, so cash gets depleted rapidly. Very few bikes actually ship. The last run of this I did, 30 bikes were ordered, 3 ended up getting to the customer, only a single invoice made it to the customer, and in 7 days we lost $58,000.
For vendors, one actor can act for all vendors. If there are additional actors, assign each vendor for each actor.
Note: “You are hired. You need to tell HR first that you exist you can get paid!” or “this is an optional role” are the key phrases to signify optional positions.

Your job is to sell, sell, and sell! Your commission is 2% of sales. You have a little wiggle room on the price, but the lower you go on the price the less you make in commission. Position: Sales Manager
You are just hired. You need to tell HR first that you exist so you can get paid! Your job is to keep the sales coming in. You check each sales order from the wholesale and retail teams, and the internet sales. Once you receive the sales order, check for stock by contacting the warehouse manager.
If the goods are in stock, have them ship it, if not, you will have to send a Purchase Requisition to the Purchasing Agent and find out how long it will take to get it in. Make sure you follow up on your orders, and keep your sales people involved. If they get too busy, step in and help out, you can sell too! You just don’t get a commission. And make sure there is plenty of inventory!

Your Material Requirements Planning controller has all of the current information as to stock levels. The CEO does not want to have more than $250,000 in inventory.

Functional Area: MM
Position: Purchasing agent
You are the entire Purchasing department. You deal with four vendors (Yeti, Spirit, Bruno and Road Master). When a purchase requisition comes in, turn it into a purchase order and order from the appropriate vendor. Make sure a copy goes to the receiving department (warehouse) and to Account Payable (A/P).
You may receive purchasing request from different people (positions) within the company. You may get some from the Material Requirements Planning controller, from Sales (don’t trust those guys), even from the warehouse.
Minimum order is 5 units. Expedite the order if a shipment is waiting. Write “Expedite” on the PO (Purchase order) that you send to the vendor. Write it big so they see it! Expediting costs $100 per unit. If the only 2 bikes need to be expedited, you will still have to pay for all of the bikes to be expedited.

Functional Area: MM
Position: Material Requirements Planning Controller
Your job is to determine the amount of product to order based on demand. You will get information from sales to keep current on sold stock. We don’t hold safety stock and we do not have scheduled agreements with our vendors.
Once you determine the minimum amount, give your Purchase Requisition to the Purchasing Agent. You do not want to have more than 5 units of any bike in stock at a given time. For example, if there are currently 4 bikes in inventory, and you have received sales orders for 6, you would want to order at most 7, 2 for the sales order that you have in place, and 5 for inventory.
However, the CEO wants to keep inventory value down, currently the company is $100,000 over the desired inventory level.
Here is the current stock in the warehouse. You should track sales and see what will be short.

Position: Receiving /Assembler
Responsibilities:
Goods will be received from the vendors through Quality Control Receiver. If there is no Quality Control Receiver, you receive the goods directly. Check the packing slip against the Purchase order (PO). If everything is OK, send a copy of the packing slip with the PO on it to Account Payable (A/P).

You are just hired. You need to tell HR first that you exist so you can get paid! You check each unit as it is received from the shipping company IPS. Take pride in your work and don’t let people rush you. Each unit takes 5 to 10 seconds to check, do not release them prior to that. You are checking to make sure you can tell what type of bike it is. If the bike does not match what you should receive, send it back to the Vendor. If you receive a “group” of bikes, it is your job to cut them apart carefully. You will then deliver them to inventory control.

Each unit takes 5 to 10 seconds to check each bike, do not release them prior to that. Check the Sales Order to make sure you are shipping the right unit. Don’t make assumptions, if there isn’t a match, go to the Warehouse manager and let them know. Pack the bikes and shipping invoice into the shipping containers, and then pass that onto the Warehouse Manager.

Your position is to keep track of the inventory. You want a good looking warehouse with easy to find materials. Create a storage layout that you can work with. When new shipments of bikes come in, the Quality Control Receiver will pass them to you after inspection (if the company GBA hires a Quality Control Receiver). It is your job to put them away. They must be put away completely before being shipped out, and you want to ship old stock first.
Data Flow: You will receive bikes from Quality Control Receiving and Sales Orders from the Warehouse Manager. You will mark the sales order with the number of bikes picked. You ask the Picker to pick them (if GBA hires a picker) and the Quality Control Shipper to verify the order (if GBA a Quality Control Shipper).

You are just hired. You need to tell HR first that you exist so you can get paid! You are in charge of picking the sales order. The Warehouse Manager or Inventory Manager will pass the sales order to you; you will then pick the order (select the correct bike to fill the order). Take the bikes and the sales order to the Quality Control Shipper for packaging and inspection (if GBA a Quality Control Shipper).

You have a busy job! You have to make sure that receiving and shipping run smoothly, and keep track of stock. All Sales Orders come to you. Once you verify for accuracy, pass it onto the Inventory Manager to pick the order. If you are out of stock, send a purchase requisition to the Purchasing Agent.
Keep track of your staff! You will also be in charge of shipping the final products out. Your Quality Control Shipper will give you the order packaged and ready to go (if you employ one). You can check it or ship it without checking it, but if something is wrong, it is your head that will roll!
Once you ship an order, send the confirmation to Accounts Receivable. By the way, the CEO is screaming that we have too much inventory, current value at $385,722. Your job is to lower it to $250,000. Sales will help, just don’t order too much product.
Data Flow: Track all sales orders that come in, and all shipments that go out. They should balance. You cannot ship partials, so if you do not have inventory on hand, you must wait for it. Notify Purchasing agent of how many units you need if you are short on an order. When an order ships, send a notification to Accounts Receivable with the Sales order number on it and indicate that the order has been shipped.

If there are more than one retail sales persons, toggle back and forth between them for each order.
You want a Yeti 99 kit with 29” frame. That will be your first order. In the beginning of the first day, order another Yeti 99 kit. Don’t specify a size unless the sales person asks. If they do, order the 32” model. If they don’t, and you get a delivery for the second bike, reject it as the wrong size, even if they send a 32”. Once you receive your bike, wait for an invoice before you pay, but pay immediately upon receiving the invoice.
In the beginning of the next day, a Road Master Sport. Wait for the sales person to ask you what model you want (you want the Model V), otherwise see what they send you.
In the beginning of the next day, order a Spirit Tandem. Again, wait until they ask you the size, you want a 24”. If you receive a 26”, send it back. Don’t pay the invoice.
In the beginning of the next day, order a Yeti A95. Get with the other Retail customer and order them at the same time from the same retail salesperson.

Position: Accounts Payable Invoice Clerk
You are to pay the invoices as they come in. When a vendor sends an invoice, use a pink sticky note to document the amount due. Before paying it, check first to make sure that the order arrived, and that the packing list matches the Purchase Order. This will come from the Warehouse. Make sure that matches your invoice that was received by the vendor. Write the check and have Information Systems runners deliver the check. Document who the check was paid to, and pass the information along to the Accounts Manager. They will keep a ledger of all payments.
You will also be in charge of payroll (the HR manager will tell you how much payroll was for each day. Write a “check” on a Green sticky note, post that on the board.)
Additionally, overhead is running $15,000 per day for rent and utilities. Write a check for that too each day. You can write that and post it at the start of the day. Make sure that the Accounts manager keeps track of this.
IPS Shipping will bring you invoices for their shipping services. Pay those immediately, the driver is waiting! All payments should have a corresponding green sticky note. The driver just gets a note saying Paid and the amount. Each sticky note should have the amount and what it covered.
Data Flow: Invoices in from vendors, Purchase order – PO - verified in from Warehouse Manager. Copy of check goes to Account Manager.

Position: Accounts Receivable Invoice Clerk
You are in charge of billing the customer and collecting the money from the customers. Sales will give you a copy of the sales order when they create it. Write down the amount that the invoice will be on a yellow sticky note. You have to wait until the product ships before you can invoice it. The warehouse will let you know when they have shipped the order. At that point, you can send out the invoice.
When you invoice the customer, send them a note on how much is due and mark the yellow sticky note as “Sent”. The customer will send a check back. Write Paid on the sticky note and move it to the Paid column. Track how much is due, and when you receive the payment.
Keep the Accounts Manager informed at all times as to how much money is coming in, and how much is due to come in. Double check the sales order, sometimes the sales people add up the column wrong, just to pad their commission!
Data Flow: Sales orders come in from the Sales Department. Shipping verification comes in from Warehouse. Use the Information Systems runners to send the invoices and receive payments.

You keep track of all of money coming in and going out. You should know at all times how much money is due by us and to us. You will get this information from the Account Receivable (A/R) and Account Payable (A/P) Clerks. Keep a journal, the CEO is known to ask for balances in the middle of the day. If you are not up to date, your head will roll! We currently have a balance of $5,000 in the bank.
At the end of each day, let the Board Writer know how much money was spent that day, and how much money was made. Keep the Board Poster fully informed, if they fall behind it is your job that will be in jeopardy!
