Using the CSMA Worklist Function Pu rpo se Use this work instruction to:View FYI notifications from approvers and CSMATake action on ACT notifications Prereq u i si tes You have been assigned a CSMA responsibility (e.g., HRVD^CSMA^DIV^ALL^Req).You need to review notices on the CoA values you have requested. Hel p ful Hi n t Use the “%” as a Wildcard when searching in a list of values Do not use the commonly used Oracle function keys (e.g., F11 Enter Query, Ctrl+F11). They are not appropriate for CSMA forms. Pro ced u re Select your CSMA responsibility to open the CSMA application.CSMA NavigatorDouble?click Worklist to open the CSMA Worklist function.CSMA WorklistThe CSMA Worklist function opens a printable web page with notifications regarding your CoA requests. Clicking on the column name will sort that column in descending order. Oracle’s default sort is on Sent date.3.1The Subject column is designed to sort in alphabetical order according to the notification subject line naming convention as follows (for both ACT and FYI notifications):Notification Type (initial sort: ACT first, then FYI). Then under ACT and FYI CSMA will sort by:Owning TubSegment TypeValueDescriptionRequest TypeNotification ActionSince the Worklist is on a new web page, you may need to open it from the task bar at the bottom of your screen.CSMA Worklist, continuedReview the following fields: Worklist shows open notifications that have been sent to all the CSMA responsibilities associated with your user ID. If you take action (or Close an FYI notification), the notification will be removed and no longer appear on the Worklist, for you or anyone else who shares the CSMA responsibility to which it was sent.This ColumnShowsSelectA clickable box that lets you to select multiple FYI notifications to close.Clicking the button at the top or bottom of the page will close all FYI notifications selected. Resu l t You have viewed an FYI APPROVED notification for a request you have made.Perform one of the following: You will receive copies of all ACT notifications via e?mail.If the Notification isThenGo ToACT DISABLE FAILED If you do not respond to this ACT within 15 days you will receive an e?mail reminder that the notification is still open.Every 15 days, you will receive another e?mail reminder until the ACT has been open for 65 days.After 65 days, if you have not taken action, Client Serviceswill receive an e?mail message that the ACT is still outstanding and they will contact you to see if they can help to resolve any issues with your request.Click on the notification link and read the message.Note: The notification will inform you about the reasons for the failure. If you need to disable that value, you must correct the conditions that led to the failure and resubmit your request as indicated in Step 16.ACT RETURNED FOR EDIT If you do not respond to this ACT within 7 days you will receive an e?mail reminder that the notification is still open.After 14 days, if you have not responded, you will receive another e?mail reminder.After 21 days, if you have not responded, Client Services will receive an e?mail message that the ACT is still outstanding and they will contact you to see if they can help resolve any issues with your request.Click on the notification link and read the message.Note: The notification will inform you about the reasons why the request was return for edit. If you need the request to be approved, you must correct the request and resubmit your request as indicated in Step 25.CSMA Worklist – ACT Notification, Notification Details Note: Some portions of the Notification Details window are different for ACT notifications. How to use this portion will be explained in the following step.Perform one of the following:If You Want ToThenGo ToCancel your original CoA requestClick .Note: CSMA will reset this request status to “Closed/Cancelled” and return you to the Worklist.Step 4If You Want ToThenGo ToResubmit your original CoA requestInsert a comment, if appropriate.When corrections are completed you may resubmit your request by clicking .CSMA will return you to the Worklist.Note: This action assumes you have made the corrections indicated in the ACT message. If you are resubmitting a request, you can enter comments on this screen and resubmit without reopening your original request.Step 4View details of this requestClick on the icon to the left of Click here to Update/Review Request.CSMA ACT – Update/Review RequestComplete the following optional field, if needed. If you have corrected the issues that made the first request fail, you can also enter comments directly in the COMMENT field on this screen and resubmit without reopening your original request.Step 4You have completed this task. Resu l t You have viewed and acted on an ACT DISABLE FAILED notification for a request you have made that did not require approval.CSMA Worklist – ACT Notification, Notification Details Note: The some portions of the Notification Details window is different for ACT notifications. How to use this portion will be explained in the following stepPerform one of the following:If You Want ToThenGo ToCancel your original CoA requestClick .Note: CSMA will reset this request status to “Closed/Cancelled,” close the notification, and return you to the Worklist.Step 4Make the corrections indicated in the ACT messageClick on the icon to the right of Click link to Update/Review Request.Depending on the action(s) required, make the corrections.View details of this requestClick on the icon to the right of Click link to Update/Review Request.CSMA ACT – Update/Review Request The above screen and following steps illustrate a MODIFY ORG (parent) RETURNED FOR EDIT notification used to illustrate this process. If your ACT notification concerns another segment value, CSMA will provide additional editing and change options and/or screens. Consult the work instruction for the appropriate CoA segment.Make your edits (corrections or adjustments) to the following fields as needed [the R/O/C column will indicate whether the field is required (R), optional (O), or conditionally available (C)]:Field NameR/O/CEnterDescriptionRThe org description. The tub prefix and a carat are provided by the system. Follow any additional naming conventions that may be used by your tub.Note: The org description should be written in mixed case and may not exceed 50 characters. Do not use these characters: !, #, %, _, *, ?, &, \. You must enter the date in the Oracle format: DD?MMM?YYYY. CSMA defaults to today’s date.Note: This is used to identify the fiscal year to which the value or attribute changes apply.
