Instructions for Using the Asset Shutdown Functionality of SAP

This indicator on the Time-dependent tab of the asset master record is checked if you want to shut down the asset for a period of time.

It is normally checked when an asset is not in service for a lengthy period of time.  An example would be the when an asset is no longer useful but prior to its auction or disposal.  No depreciation will be calculated for asset.

To use this functionality, use an AS02 (Change) transaction and go to the Time-dependent tab:

Select the [pic]button, this will take you to the Overview of time intervals screen;

The picture above clearly shows “Shutdown” column.  When this screen comes up, this column is abbreviated.   [pic]and should be extended if needed.

Select the  [pic]  button.  This takes you to the new interval dropdown box:

Selecting the check mark gives you a new interval line:

Check the “Shutdown” box for the new interval but not the old interval:

This will halt depreciation from the start date of the new interval.  If the new interval includes past periods that have been depreciated, SAP recalculates the depreciation to reflect the shutdown interval.

Cautions:  If both intervals are checked, the depreciation is reversed for the entire open fiscal year.

If the asset shutdown box on the time-dependent tab is checked before the Further intervals button is clicked, the interval will already include the shutdown.  If not removed from the original time interval, the depreciation is reversed for the entire open fiscal year.

Note: Depreciation changes resulting from an asset shutdown change only affect the current open fiscal year.  If a shutdown done in an erroneous manner affects closed periods, corrections must be done with journal entries.

Example; Posted depreciation before the shutdown

The shutdown but before depreciation is run example shows the planned depreciation reversal to adjust to the period 5 asset shutdown:
