School Business Manager Job Description

Main Duties

To support the Headteacher in operating, maintaining and developing the financial procedures and systems of the school,

To give strategic vision and leadership to all aspects of Budget, Finance and Premises.

To support the Headteacher in responsibility for the school site and buildings, their maintenance, development and efficient use.

Be a member of the School Leadership Team

To take delegated responsibility for premises and financial decisions following appropriate discussions with the Headteacher.

Communications

Liaising with the Communications Committee of the Governing Body and acting on decisions made

Implementing the communication and marketing strategies

Identifying publicity opportunities

Establishing relationships with local press and issuing press releases

Managing the school website

Promoting schools to parents, partners and local community

Ensuring effective communications with parents including writing the weekly newsletter etc.

Ensuring effective communications with PTA

Updating the prospectus and parent handbooks

Liaising with new and prospective parents to establish effective entry into school

Updating and managing communications through Fronter with the School ICT leader

Premises

Co-ordination of capital strategic planning and site development initiatives, liaising with external agencies as and where required.

Management of premises work including monitoring progress, quality and budget etc.

Taking a lead role in maximising the income of the school, particularly to fund development, securing bids and grants and income generation initiatives

the management and control of Health and Safety aspects of the site and development projects.

To manage building development bids, contracts and programmes

To communicate with the Site Manager to ensure the site and amenities follow health & safety, cleaning and security requirements and on-site contractors.

To manage the work of caretaking and cleaning staff including their performance management

To lead on compiling and implementing a Premises Development Plan, including energy conservation.

To manage and promote lettings of the school building and ensure that appropriate documentation.

To support the Headteacher in formulating, monitoring, implementing and reviewing the school’s Health & Safety Policy, incl. Risk Assessment procedures and Critical Incident Plan.

Finance

To manage the school budget and to support the Headteacher, SLT and Governing Body in strategic financial planning and monthly budget monitoring, attending meetings with LMS Ltd for planning, monitoring and reconciling budgets and managing day to day finance

To secure funding to which the school is entitled which involves co-ordinating a bid

To look for funding opportunities to create bids to support educational strategic developments and appropriate monitoring procedures.

To ensure compliance with all legal and financial policies

To liaise with Finance and Premises Committee of the Governing Body and act on decisions made

To process orders and ensure best value

Personnel

To liaise with Personnel Committee and act on decisions made

To be a named line manager of a significant number of staff, including induction, PM, training, supervision and CPD.

Extended Schools Activities

To co-ordinate clubs and activities including appointments of providers, checks on staff, arrangements for payment, managing staff etc.

To manage the work of volunteers in the school

ICT

To develop the schools strategy for ICT development in conjunction with LA ICT technicians and school subject leader

To ensure maintenance on ICT equipment is up to date

To manage purchasing and leasing arrangements for ICT equipment

General

To act as minute taker for Governing Body Committee meetings

Undertake networking and communication with a variety of agencies to develop best practice and best value principles

Be aware of, and comply with, policies and procedures relating to child protection, health and safety, security, confidentiality and data protection

Contribute to the overall ethos/work/aims of the school

Participate in training, other learning activities and performance development as required and participate in meetings as required

To build networks with other schools and School Business Managers, particularly in the Chiswick area, and explore joint working on projects where appropriate
