School Business Manager Job Description

JOB TITLE: School Business Manager

Responsible to: Headteacher

Supervises: School Office, Finance Administration.

Job Purpose

1. To actively model and promote the values and ethos of the School.

2. To assist the Headteacher and Governors in the effective and efficient use of the school budget, ensuring they achieve value for money.

3. To be responsible for strategic planning in relation to the business and support services of the School, including all financial implications, and ensuring that the School uses its resources (non-curriculum) effectively and efficiently at all times.

4. To generate and co-ordinate new income streams which are supportive of the ethos of the school.

5. To contribute to the overall organisation, management and direction of the school to meet its educational aims.

KEY RESPONSIBILITIES

1. To work with the Herts Financial Service staff to implement the financial decisions of the Headteacher and Governing Body.

2. To advise the Headteacher on investment and financial policy, preparing appraisals for future projects and for the development of a long term financial strategy for the future development of the school.

3. To maximise income generation within the ethos of the school

4. To promote the school to different audiences, including the press, and raise its profile within the local community.

5. To assist in the preparation of all financial returns for the School for central and local government agencies within statutory deadlines and in line with the financial management systems.

6. To give advice to Head teacher and Governors on salary assessment, sickness, maternity and paternity procedures, redundancy, capability, disciplinary issues and any matters of dismissal.

7. To advise governors on the policies needed to comply with all employment legislation.

8. Maintenance and development of all targets through SFVS.

9. To lead the planning and implementation on site of new capital and refurbishment projects.

10. To work with the contractors to ensure all contracts are maintained to the highest quality and provide the school with value for money.

11. To maximise the use of the accommodation both by school and outside agencies in order to generate income.

12. To claim Nursery funding and admin involved in that.

13. To negotiate, manage and monitor contracts, tenders and agreements for the provision of support services.

14. To manage the letting of the school premises to outside organisations.

15. To update the disaster recovery plan and be aware of its place within the management procedures of the school.

16. To report to Governors, attend governor meetings and present financial and HR reports.

17. Be responsible for the provision of specialist advice and guidance to the leadership team/Governing Body etc. on national and local guidelines/policy/statute etc.

18. To update school policies for ratification by the Governing Body.

19. Interpret matters of policy/procedure/statute to ensure the school’s compliance and initiate any appropriate action necessary.

20. To act as performance appraiser to members of the admin and premises staff as directed by the Headteacher.

21. To act as the Data Protection Officer for the School.

22. To line manage admin staff.

23. Manage communication with parents (reporting sickness/absence etc); to include contacting parents of sick pupils, letters home, regular newsletters and other communications which promote the school.

24. Upkeep of the office diary.

25. To effectively manage and use the programmes within the Herts LA’s chosen MIS (SIMS) System.

26. Responsibility for staff records on leave of absence, salaries/wages, overtime, sickness supply and accident reporting ensuring the appropriate deployment of documentation; to include the completion of time-sheets and supply teachers’ salary claim forms.

27. Assist in the Safeguarding protocols of the school; detailed recruitment records for all staff (including Extended Services); researching applications through the Disclosure and Barring Service.

28. Responsibility for the Single Central Record.

29. Responsibility for School Census, School Workforce and other statutory returns.

30. Management of the administrative elements of staff recruitment.

31. To proactively manage the maintenance, upkeep and stocking of reprographic equipment.

32. To assist teaching staff with the organisation of school trips, including the completion of appropriate Risk Assessment documentation.

33. To liaise closely with the Caretaker.

34. To ensure professional confidentiality.

35. To update the website.

General

To undertake any other duties, as appropriate to the grade of the post, as requested by the Headteacher.
