OFFICIAL TITLE: Payroll & Benefits Clerk

SUPERVISOR: Finance Director

TERMS OF EMPLOYMENT: Twelve (12) Months

SUMMARY DESCRIPTION:

Works with limited supervision while providing accurate and systematic payroll services.

PERFORMANCE RESPONSIBILITIES:

1. Process payroll data for bi-weekly employees and maintains accurate, up-to-date files of payroll information.

2. Assist full time new hires with benefit enrollment and new hire paperwork.

3. Balance payroll and withholding accounts.

4. Compile and prepare payroll data such as pension, insurance, and credit union payments, and makes payroll deductions as specified.

5. Assist Benefits Coordinator with monthly balancing of benefits deductions prior to payroll and bill reconciliations from payment.

6. Figure and distribute payroll deductions and garnishments in compliance with local, state and federal statutes. Completes any paperwork necessary to accompany checks.

7. Process employment verifications.

8. Assist Benefits Coordinator with Open Enrollment for employees as needed.

9. Assist with updating benefits changed throughout the year.

10. Address and adjust errors and complaints.

11. Compile information from the School Teacher Absentee Reports and employee time sheets.

12. Enter the sick leave, vacation and personal days in the payroll system and mark sick leave forms.

13. Keeps active substitute registry and helps HR with substitute employment records.

14. Assist Benefits Coordinator with paperwork and updating records for Family Medical Leave.

15. Assist Benefits Coordinator with TRS and PSERS retirement process for employees.

16. Arrange yearly retirement meetings with TRS, Social Security, and additional Vendors.

17. Assist Benefits Coordinator in preparing RFPs for replacing benefits when needed.

18. Assist employees as it relates to employee benefits.

19. Assist payroll supervisor with monthly payroll as needed.

20. Assist benefit coordinator with balancing of bills, new hire paperwork and other requests.

21. Figure additional pay from time sheets for employees who participate in after hours programs (such as after school programs, field trips, or athletic events).

22. Calculate changes in pay (such as certificate changes, days docked, etc.)

23. Compile number of days and pay rate for each substitute teacher and determines what account number to pay them.

24. Create, update and compile monthly substitute spreadsheets for Superintendent.

25. Performs other tasks and assumes other responsibilities as assigned by superintendent or designee.

26. May be required to attend staff meetings, professional learning, serve on staff committees, and attend training sessions as required.

27. Abides by all Code of Ethics for Educators and Board policies.

28. Maintains a pattern of prompt and regular attendance.

CERTIFICATE/LICENSE REQUIREMENTS, QUALIFICATIONS, EDUCATION, AND EXPERIENCE:

High school diploma or general education degree (GED) and related experience and/or training. Some payroll experience preferred. Intermediate experience with Excel is a requirement.

SUPERVISORY RESPONSIBILITIES: None.
