This policy reflects the agreed upon maintenance window between the National Archives and Records Administration (NARA) and Data Systems Analysts (DSA). The maintenance window is not intended for emergency work or to impact on the timing of response to critical and significant incidents. ScopeWhere possible, work scheduled that requires a disruption to a service should be timed to occur during the maintenance window. DSA requires a 24-hour window for all scheduled maintenance, unless indicated otherwise. The maintenance window for the Description and Authority System (DAS) as well as for the National Archives Catalog (NAC) is usually between the hours of 8pm Friday and 8pm Saturday.The maintenance window for patching for both systems usually occurs from 6am to 6pm the Saturday before production release.Approval may be obtained from National Archives and Records Authority (NARA) to schedule planned outages to a service outside of these parameters.Out of ScopeThis policy is not intended to impact upon or alter the scheduling of urgent maintenance work.Other planned service interruptions may also occur outside of this period due to timing or service critical factors. These outages would require the appropriate approval as deemed suitable by NARA.Policy DetailsThe maintenance window is intended to guide the timing of when scheduled service disruptions occur, it is not intended to significantly affect the frequency or duration of service disruptions.Benefits in having a maintenance windowIncreased consistency in the delivery of services is achieved by using a well-known period for service disruptions;Staff undertaking work leading to planned service interruptions have regular window that they can work towards in their planning;The number and frequency of out of hours’ time where staff are required to contribute to these activities (both technical, service and systems staff) is reduced due to a general concentration of out of hours work into a well-known period during the weekend.Maintenance periods suggested for the following reasonsSystems are used nationally by client during normal business hours. This time frame will have the least impact on the client. If any disruptions do occur, they will not impact on client.NAC is used globally by public users and very few public users are on the system during the weekend.Weekend maintenance should provide enough time to roll back changes if necessary.NotificationThe general maintenance windows are to be initially agreed upon with relevant stakeholders after which all advanced notification, including cancellations, will be documented on the respective DAS and NAC release plans and discussed and documented in the weekly DAS_NAC O&M meeting.Service InterruptionRoutine maintenance may require may require servers to be restarted causing a brief interruption in service which is why maintenance window is arranged for a time when there is minimal impact on the users. When this interruption is expected to be a longer duration, user will be notified in advance of outage and a banner will be placed on the Catalog.ScheduleBelow is the planned maintenance schedule. Typically, security patching occurs the 4th weekend of every month, and application updates normally occur the following weekend. However, DSA reserves the right to alter any of these dates if necessary. That includes pushing a maintenance window back or combining several security patches.As specified in the scope, this schedule does not include emergency maintenance.
