FY 2020 PROJECT PACKET

Basic Information

Refer to the FY 2020 Guidebook to become familiar with the Local Records Grant Program’s performance requirements.

Local Records staff is available for consultation and guidance. A regional Field Archivist, assigned to your grant project, and the Grant Administrator, can guide you in successfully implementing and completing your project. Grant Payments

Grant payments for awarded projects are made on a reimbursement basis as indicated on pages 13 of the FY 2020 Guidebook.

Project Changes

Changes to the grant project must be requested in writing and receive approval prior to implementation.

Budget revisions must be made on the Request to Revise Project form. Significant programmatic changes or budget modifications are only permitted with official Local Records approval. See pages 14 and 15 of the FY 2020 Guidebook.

Project Bids and Expenditures

Services, equipment and other project costs exceeding $3,000 require bids. These bids should be acquired prior to completing the application in order to determine the funds needed. All bid documentation collected before or after project approval should be retained. Documentation of bid solicitation should be submitted prior to, and no later than, the Final Report if documentation was not included with the grant application. See page 14 of FY 2020 Guidebook.

Project Progress Reports

The Local Records Grant Program requires completion of an interim and final report, which provide an outline of your project’s progress.

The Interim Report is due on or before January 15, 2020. A Final Narrative and Financial Report may be submitted in lieu of an Interim Report if the project has been completed by the Interim Report due date. See page 14 of the FY 2020 Guidebook.

The Final Narrative and Financial Reports and payment request are due on or before May 31, 2020. Early submission of the Final Reports is highly encouraged to avoid significant payment delay of any remaining grant monies due the grantee. See page 14 of the FY 2020 Guidebook.
