Job Descriptions for 2015-2016 NHS Officers

All Officers

Senior class (2016) officers will be elected in the 2015 Spring Semester and installed as officers during the April 2015 Induction Ceremony. Sophomore (2018) and junior class (2017) officers will be elected in the 2015 Fall Semester and installed as officers during the September 2015 Induction Ceremony.

Every officer position holds distinct, individual responsibilities. No matter what position you hold, however, you must:

• Attend officer meetings every Tuesday afternoon from 3:00 to 3:30 p.m.

• Attend general meetings according the schedule listed on the acceptance letter and be prepared to stay on certain occasions if necessary to take care of paperwork, count money, etc.

• Make announcements, conduct activities, check attendance, collect dues and service sheets, and keep track of all paperwork for your pod members.

• Evaluate individual community service projects, and organize NHS files for members

• Head special committees set up for each major event (fundraiser, induction, service projects, etc.).

• Develop, plan, organize, and execute on to two service projects per semester; complete associated paperwork.

• Share miscellaneous duties that arise.

• Display the NHS pillars: Leadership, Scholarship, Character, and Service.

• Be responsible and organized, and make sure you can commit the time it takes to fulfill all your responsibilities.

• Research community service opportunities in the Brentwood area and bring to officer meetings.

• Participate in and prepare a presentation for the NHS Induction Ceremony in September.

• Maintain the NHS data files.

President/Service Project Coordinator:

• Keep track of everything that is going on with the club.

• Make sure all the officers know what do, oversee them, and keep them on track for various projects and duties.

• Stay in constant contact with the sponsors, so you may relay any new information to all the other officers.

• Whenever possible, meet with the sponsor prior to the officer meetings to come up with an agenda; when that’s not possible, at least have a general agenda based on the previous meeting’s notes of what needs to be covered. Take your own notes at the officer meetings, and use them to supplement the minutes that the secretary will supply.

• Write down what needs to be gone over at the general meeting, just in case anything is missed in the newsletter.

• Run the officer and general meetings (you need to have a loud voice and a lot of courage when addressing lots of students in meetings).

• Research community service opportunities in the Brentwood area and bring to officer meetings.

• Organize and oversee group community service projects.

Vice President and Webmaster:

• Update the NHS Website and online NHS calendar with new information.

• Assist president in whatever is needed (read duties listed for President).

• Head officer and general meetings in president’s absence.

• Assist sponsor in creating forms, updating student information, etc.

• Research community service opportunities in the Brentwood area and bring to officer meetings.

Secretary:

• Record and distribute all meeting minutes.

• Maintain the NHS binder and master calendar.

• Take notes/minutes during officer meetings.

• Create newsletter for all general meetings, including necessary information from officer meetings. Create informational material for NHS (fliers, handouts, invitations)

• Relay all information to Webmaster (who will maintain the NHS website), NHS members, and other officers through e-mail, newsletters.

• Prepare and distribute letters of honor, acceptance, probation, and dismissal.

• Research community service opportunities in the Brentwood area and bring to officer meetings.

Treasurer:

• Understand and adhere to the policies of the school in regard to finances

• Maintain an accounting of all NHS transactions (all receipts, po’s, bills, etc.) Review and maintain the club’s financial records on a monthly basis.

• Oversee the annual budget construction and all transactions approved in the budget, modifying as needed when unforeseen activities or obligations occur.

• Approve purchase orders and check requests, count and document all cash and checks turned in (dues, fundraisers, etc.).

• Ensure that any member working with NHS finances understands the responsibilities and expectations for monetary handling according to HHS financial policies.

Historian/File Maintenance:

• Organize and update NHS member records.

• Always bring a camera and take pictures frequently at general meetings and at all major NHS events/service projects.

• Compile and create a unique scrapbook at the end of the year.

• Inform local and school newspapers with announcements of upcoming or past events.
