Montcalm Co. 4-H Community Connection CommitteeMeeting MinutesFebruary 18, 2019OpeningThe regular meeting of the Montcalm Co. 4-H Community Connection Committee (aka 4-H CCC) was called to order at 7:15 pm on February 18, 2019 at the MSUE Office in Stanton, Michigan by Temporary Chairperson Tammi Jahnke. Maddie Hubbert volunteered to document handwritten meeting minutes (Tammi Jahnke to type up). Pledges were performed and attendance taken.PresentTarin Minkel – MSUEKim Pennock, Maddie Hubbert & Tammi Jahnke representing 4-H Future LeadersAshley Davis and Sairah Hansen representing Country KidsHeather Anderson representing Burgess LakeApproval of AgendaThe agenda was approved as presented.Previous Meeting MinutesMinutes from the November 19, 2018 meeting were handed out, reviewed and submitted into committee books. (No formal approval needed until Charter is approved).MSUE ReportTarin updated us on happenings with the Extension Office, fair board and other committees throughout our county. Upcoming 4-H Council Auction scheduled for Friday night, the 12th of April 2019. Buffet 6pm to 7pm with Auction at 7pm. Each club is encouraged to bring a dessert and auction donation.Old BusinessPublication of Fall Bake-Off 2018 Cookbook – Kim would like to continue to put together the cookbook so long as her health will allow her to. She will advised members of the committee if she needs help. She will try to have a draft ready for review by our April 2019 meeting.Status of Cookbook Cover Contest – Tarin will pick up where Kadren left off. Suggestions for contest rules:Must have 4-H logo and say “First Annual Montcalm Co 4-H Bake-off’Designed with a “baking” theme.8 ? x 11 vertical drawing/sketchDeadline to enter contest will be April 15, 2019.Suggested that they submit in .pdf format or contact MSUE for assistance.Tarin to get information out to clubs in upcoming Newsletter.Status of Charter: We have received our EIN from the IRS and also our Charter from the 4-H National Headquarters effective January 11, 2019.Status of Bylaws: Tammi is working on a draft of Bylaws which she will forward to Tarin for her review and to insure we are within MSUE guidelines, then they will be presented to the committee for approval.Status of Treasury: Tarin advise that we still have not received the funds pledge from West Michigan Compounding ($300). Tammi advised that should we receive the funds, we owe $9.80 to the 4-H Advisory Council for covering the balance of our Fall Bake-Off costs, which would then leave us with funds of $290.10. Tarin to follow-up on pledge status.Ideas to Promote 4-H Outside of Fair:Tarin is working on 4-H Events for Spring Break and requested support and ideas from the committee, 4-H members and volunteers. Ideas in the works include: a baking day, water survival class, and craft/activities day. Committee members brainstormed and provided Tarin with other ideas and input.Tarin would like to see a Teen Leader Trip for 2020 Spring Break.Suggested that we try to get clubs more involved with parades in their areas of the county and the float available.Suggestion to consider a Window Decorating Contest during fair week getting the Greenville downtown business involved.Public Speaking Contest.Ideas to Gain Committee Membership/Participation:Set up a Booth at the Fair with information about our Cookbooks for sale and our Committee. Tammi to get with Brad Heft and work out the details as to location. Need to discuss a Banner at next meeting (if funding becomes available). Agreed that booth should not only promote our committee but 4-H involvement in other areas also.Keep sharing information on the County Facebook page. New Business:Valentine’s Challenge Results – At least 6 or more clubs reported participation within Montcalm County & neighboring counties. Great response from the community member receiving the Valentines. One non-4H member made 30 cards and donated them to a club to share upon hearing about our challenge. One 4H member made a Valentine card in braille and Tarin assisted in finding a recipient to deliver the card too. It was agreed that this should be recognized in the 4H Newsletter. Also agreed to continue this challenge from our committee on an annual basis.Spring Clean-Up Challenge – It was suggested that our next committee challenge to Montcalm Co 4Hers be a “Spring Clean-Up Challenge”. After much discussion it was agreed that Tammi will create Flyer for Tarin to publish on FB and Tarin will also add to the March Newsletter challenging all clubs to perform a Spring Clean-Up community service project over Easter weekend.Suggestions to Share with Fair Board and Advisory Council:Valentines’ Challenge ResultsSpring Clean-Up Challenge – Requesting that they “support our voice.”Teens are showing interest in attending Fair Board meetings, however, adults are concerned about the meeting not being “Teen Friendly” at this time.Discussion regarding “How to Handle Conflicts” – Concerns were shared and discussed from past events of 2018 (prior to committee formation). Tammi suggested that we as members of this committee need to set the example of how to be the “bigger person” when conflicts arise and maintain our “Make the Best Better” attitude, concentrating on our goal promoting 4-H in a positive manner, and building stronger more “positive” connections, hoping others will follow.AdjournmentMeeting was adjourned at 8:30 pm. The next regular meeting of the 4-H Community Connection Committee will be held at the MSUE office in Stanton, Michigan on Monday, March 18, 2019 at 7:15 pm.
