Building Procedures

Daily Schedule

Teacher Schedule

In most cases, all teachers are expected to be on duty, in their classrooms, ready to assume supervisory responsibilities, by 7:20 each morning. Teachers may leave for the day at 2:35 p.m. In the case of some special area staff, reporting and leaving times may vary according to the needs of the building.

Student Schedule

The official student instructional day runs from 8:00 a.m. to 2:25 p.m. for grades Pre-K through 5. Homework Room and other after school activities will run from 2:30 p.m. to 3:30 p.m.

Latchkey Program

An afternoon latchkey program operated by the Malone YMCA is available to students in grades K-5. The program operates daily from 2:15 – 5:00 p.m. at each elementary building.

Delayed Start of School

When school is delayed one hour, the instructional staff in all schools may report up to forty-five (45) minutes after the regular reporting time. If it is difficult or dangerous for staff members to report at the forty-five (45) minute delayed time, they are expected to call their building principal and inform him/her of the time when they can be expected. It should be noted that if any teacher is able to report earlier than the forty-five (45) minute delayed time, it would be helpful in supervising those students who arrive early.

Leaving School Before 2:35 p.m.

Any teacher who, due to unavoidable circumstances, needs to leave school before 2:35 is asked to clear it personally with the building principal as far in advance as possible. In the absence of the building principal, notification must be given to the building secretary. If coverage for the classroom is needed, the necessary arrangements are to be made by the classroom teacher and approved by the building principal prior to the teacher leaving.

Contacting Substitute Teachers

Any teacher requiring a substitute for a given day should notify the building principal as far in advance as possible. If his/her building principal cannot be reached, teachers should contact one of the other elementary building principals. Information should be entered into AESOP by the teacher following district protocols.

Provisions for Substitutes

Each teacher is expected to have his/her room ready and plans in place for the next day before leaving at the end of the day. This includes having all manuals and other instructional materials for the day conveniently located should a substitute be needed the next day.

Emergency Early Dismissal

In the case of early dismissal due to weather, loss of power or water, etc., the following procedures will be followed:

Children will be dismissed from classrooms at the designated time for the early dismissal. Bus students should be escorted to the bus loading area. Walkers and students who will be picked up by parents or other designated individuals, should be escorted to the front building entrances to proceed home or wait until their ride has arrived. Although it is not feasible to call all parents to inform them of the early dismissal, children who are unsure of what they should do should be sent to the office where someone will help them. (Note: In many situations the One Call Now phone calling system will be utilized.) Under no circumstances are we to knowingly cause a child to be placed in an unsafe situation, such as going home to an empty house. In all instances, staff members are expected to remain in the building and assist with supervision, until all children have gone and their help is no longer needed. At that point, staff will be given instructions regarding their departure from the building.

In the case of an emergency dismissal due to a bomb threat, please refer to the Emergency Response Plan located in the main office of each building.

Keys

Classroom keys are the responsibility of each staff member to whom they have been issued. Care should be taken to insure the security of these keys. In the event that a key is lost, the staff member should report this to the main office immediately. All keys must be turned in at the end of each school year.

Keys/Swipe Card to the front door of the building may be obtained by teachers who need to get into school over a weekend or vacation. Keys/Swipe Card may be signed out at the close of school the day immediately preceding the weekend/vacation and must be returned the first day that school is again in session. Since the keys/swipe cards open the front door only, teachers will need their room keys, as well, in order to access their classrooms. It should be noted that these keys/swipe cards are for the sole use of the staff members signing them out. They should not be transferred to other individuals.

Mailboxes

Staff members are expected to personally check their mailboxes each morning when they arrive, at lunchtime, and at the end of the day. This is crucial, as there is often important information that needs to be received by the teacher and/or students prior to dismissal. Students should not access mailboxes under any circumstances.

Building Faculty/Staff meetings

These will be regularly scheduled each month. If there is a change in this, teachers will be notified as soon as possible in advance of the rescheduled meeting. All teachers and other appropriate staff are expected to attend. Personal appointments and commitments should, wherever possible, be scheduled around these meetings. Staff members unable to attend should notify the building principal prior to the meeting.

Supervisory Standards

Students must be supervised at all times. Under no circumstances are they to be left unattended without adult supervision. Children passing to and from the cafeteria and special classes (art, music, gym, and library) must be escorted by their classroom teachers. Students are expected to proceed in a safe and orderly manner. At the end of the day, all bus students should be escorted to the bus loading areas where appropriate.

Attendance Procedures

Classroom teachers should take morning attendance and enter it into School Tool by no later than 8:15 each morning. Accuracy in reporting attendance is extremely important as it can be (and has been) used as legal documentation in court. If a student comes in after 8:00 a.m., he/she should report to the main office where the secretary will enter a tardy into the system. Students leaving for the day must be signed out in the main office by their parent/guardian or designated adult.

Lesson Plans

Weekly (or Cycle) lesson plans from all teaching staff (including special areas) are due by the beginning of each week or cycle. They should be entered into the teacher’s “L” drive where they will be available to the building administrator for review. These plans should include specific objectives/topics to be addressed during the week/cycle for each subject to be taught (Reading/Language Arts, Math, Social Studies, Science, Writing, Music, Art, P.E., etc.), and should indicate the CCSS to be taught in the lessons.

Teacher’s Role in Preparing Students for Instruction

At the beginning of the school year, teachers should explain their expectations for student behavior and academic performance to students, as well as parents. Also included should be information pertaining to class participation, homework, projects, and student evaluation. Throughout the year, teachers should teach, and reinforce the use of study skills. As part of this process, teachers should also develop a plan for dealing with students who are unprepared for the day’s academic activity. This plan should have the approval of the building principal and be clearly explained to all parents and students at the beginning of the year.

Record Keeping

Teachers are expected to maintain complete and accurate student records. These documents are the property of the Malone Central School District and are subject to periodic review by the administration. All grade books will be collected from teachers at the end of the school year.

Homework

Homework is a practice that can enhance the development of skills and reinforce knowledge gained within the classroom when it is used effectively and appropriately. It is a natural extension of the curricular program because it is an integral component of instruction. It can also serve as a vital link between the school and family. Based on MCSD policy, homework will be limited to 30 minutes per day in 3rd grade, 40 minutes per day in 4th grade, and 50 minutes per day in 5th grade. Parents are also encouraged to set aside time to read to their child, provide their child opportunities to write, and practice math concepts with their child on a regular basis.

Retention/Promotion

Promotion should be the goal for each and every one of our elementary school age children. Therefore, alternative methods to insure success must be the first consideration when dealing with students not achieving to their expected potential. If a history of alternative techniques proves unsuccessful, retention may be considered. In that case, the following steps must be taken for that process to occur:

• The use of a team concept throughout the year that involves the parent and provides for their input into the decision. The team should include all staff that has had educational contact with the child.

• Early submission to the building principal (mid-March) of all names of students being considered for retention. It is assumed that parents will have already been made aware of this possibility prior to this time.

• Completion of the Retention Consideration Information Sheet to include Light’s Retention Scale (available in the office) for the child being considered.

• Establishment of short and long term objectives that are tied to the reason for the student’s recommended retention and provide resources enabling the child to be successful.

Parent Communication

All staff members are encouraged to maintain frequent contact with families. Although it is typically negative issues that prompt communication with parents, special consideration should be given to reporting items of a positive nature, as well.

Volunteers/Visitors in the Building

Parent/adult classroom volunteers are welcome and should be encouraged wherever possible. All those interested must complete a form at the district office before serving as a volunteer. Visitors should be instructed to report to the office to sign in before going to your classroom on any given day. Staff must receive prior administrative approval for observation of students by any party not permanently employed by the MCSD.

Assembly Procedures

Assembly programs are provided for large group information and/or entertainment and for the advancement of education to all. Each child has the right to gain as much as he/she can from such programs. All teachers (including special area teachers) are expected to attend all assembly programs with the students and to remain with them for the entire program. Please see your building principal if you have questions regarding planning time.

Class Activities

Field Trips - All field trips are subject to the prior approval of the building principal. Permission slips are required for each field trip. These should accompany the class on the trip and then be turned in to the office when they return to the building. NO CHILD MAY GO ON A TRIP WITHOUT A WRITTEN PERMISSION SLIP SIGNED BY A PARENT OR GUARDIAN. Teachers should use the Field Trip Checklist to notify the appropriate staff of an impending field trip so that proper medical, nutritional provisions, or other arrangements can be made. (Refer to Guidelines for Planning a Class Field Trip for further information.)

Class Parties/Special Events need to be planned in advance and cleared with the building principal. Staff members are reminded to follow the guidelines for healthy snacks in the MCSD’s Wellness Policy when planning foods for class parties.

Fund-raising

All anticipated fund-raising activities must be discussed with, and approved by, the building principal before any arrangements with companies, etc., are to be made. Activities involving door to door solicitation are strictly prohibited at the elementary level. Guidelines for fundraisers involving food are outlined in the District’s Wellness Plan.

Phone Calls

Outgoing - Each staff member has been given a code to make out-going phone calls on the District’s system. This code can be used on any phone within the building.

Incoming - Staff members will not be called out of class to take phone calls, except in emergencies. Calls will be forwarded to the staff member’s voicemail account.

Committee Involvement

All staff members are encouraged to serve on district and building level committees. School Improvement Committees are active in each building and are an integral part of the School Improvement Process. Staff participation is vital to the survival and success of these committees.

Supply Requests (incidental)

From time to time you may need additional supplies beyond what you have requisitioned. If so, contact the main office to see if these supplies are available for you. We will be happy to share if the materials are not already earmarked for another purpose.

Maintenance Requests

Requests for routine building maintenance can be submitted by staff through the Que Centre maintenance program located on the District’s Staff Resource page. To access your account, log in using your first initial and last name and use your first name as the password. For example: log in: jsmith password: john

Once your request is submitted, it will be processed, and you will receive notification when it has been completed.

For special maintenance requests, please see your building administrator to discuss your issue.

IT Maintenance Requests

Staff should contact their building IT coordinator for routine IT maintenance requests issues. He/She will try to take care of the issue when time is available. If the issue cannot be resolved by the building IT coordinator, you will be directed to submit a SysAid maintenance request using the website on the District’s Staff Resource page. Log in using your District username and password.

Child Abuse/Maltreatment

As school employees, we are all mandated reporters. The following procedure should be followed if a staff member suspects abuse, neglect, or maltreatment of a child:

• Notify the building principal immediately of your suspicions. If the principal is unavailable, notify the school nurse or the guidance counselor.

• The building principal will discuss the situation with you. If warranted, a mandated reporter (you, principal, nurse, or counselor) with first hand information should make the call to Central Registry.

DASA

Effective July 1, 2012, New York State implemented the Dignity For All Students Act. The goal of the Dignity Act is to create a safe and supportive school climate where students can learn and focus, rather than fear being discriminated against and/or verbally and/or physically harassed. All public elementary and secondary school students have the right to attend school in a safe, welcoming, considerate, and caring environment. The Dignity Act states that NO student shall be subjected to harassment or discrimination by employees or students on school property or at a school function based on their actual or perceived race, color, weight, national origin, ethnic group, religion, religious practice, disability, sexual orientation, gender, or sex. Contact your building administrator if you have any questions or issues. Each building has a designated DASA coordinator to oversee the ongoing implementation of this initiative.

Media Contact

All contacts with the media (radio, TV or newspaper) must be made by or approved through the building principal. All articles, photos, etc. should be submitted to the office for review and approval.
