All current contracts will be renewed, if the operator agrees to minor variations in the terms of the agreement. The Card Office is interested in surveying students to determine what services they would like to see added. Important points;Survey early in January rather than in November or DecemberHave prizes available; gift cards and food work very well.Survey by broadcast e-mail with a link to the survey.Categories that could be explored:MediterraneanSushiPharmacyGroceryTaxis – there was a general consensus that students may be prepared to pay a premium to use a taxi cab, for example having $2 added to the fareHow will services like “Skip the Dishes” unfold in the near and long term. One concern of the University is that a partnership with Skip the Dishes may compromise our relationship with individual restaurants, some of whom we might not have considered for partnership.Existing system will expire in four years and we need to start looking at system upgrade or replacement optionsExplore technologies to move toward mobile devices rather than printed cardsLikely move away from Interac Online as a payment methodGeneral Discussion and Q & A - noneNext meeting – January – A doodle poll will be distributed in early December to determine the best time of day and day of the week for meeting next semester.Foodservice Advisory CommitteeSustainability and Fair Trade Working GroupJanuary 15, 2018Meeting NotesIn Attendance: Mark Murdoch, Foodservices; Caitlyn Henderson, Foodservices TWSP; Caitlin Bragg, Seasoned Spoon; Jessica Brooks, Neil Dolman, Chartwells; Shelley Strain, Sustainability Office; Samantha Leigh, GzowskiReview meeting notes of November 20Any outstanding items - noneProgram updatesLug-a-mug projectThe project has been adjusted slightly to help drive greater participation. All Electric City coffee locations and the Ceilie no offer free coffee/tea all day every day, until Reading Week. Since this elevated program began, Wednesday January 9, 1023 “free” travel mugs fills have been provided. Chartwells will compile info to see if we are actually shifting the use of travel mugs or just giving away lots of free coffee.A sink is still planned for installation in the Student Centre, likely during Reading Week.Dish pick upThe red bins dish pick-up program is on-going. It is widely used by residents and is aligned with the strategy of reducing the use of disposable containers.Waste warriorsThe Waste Warrior program has failed to create any long term movement in the separation/contamination rate of waste in the dining rooms. Other programs, such as the eco-tray, are likely to have a meaningful impact on the total amount of waste. We are not going to run the waste warrior program this year. A link to the entire report is provided Hero awardTrent was recognized with a Local Hero award for local food programs that were undertaken on campus in October 2017. Trent will receive a $500 prize, which we wil be donating to the Brock Mission.Chartwells provided data regarding a number of sustainability initiatives. Info attached below. Most notably, the use of china plates has increased 73% year over year, eco-trays by 103% and events booked using Green Plates up 60%.CompostingTrent will be required to close the current composting facility in anticipation of the construction of the ice pad. Any change is still some time off. We will keep this group informed as more information develops. General Discussion and Q & AGreen Plates. There was concern expressed that the Green Plates program is not available to all groups on campus. The Green Plates program is a program of the TCSA that is coordinated by Foodservices and the work is carried out by Chartwells. TCSA recognized groups order Green Plates through the TCSA. The TCSA covers the cost of the dish rentals. Some levy groups, for example the College Cabinets can arrange rentals directly with Food Services.External groups, for example a local church, cannot access the program.Foodservices does not support University departments using the program to make it more viable for that department to use an external caterer.Other groups will be considered on a case by case basis.Given that rentals are averaging two per week, it may be very difficult for groups other than those recognized by the TCSA and approved levy groups to have an opportunity for access.Higher rental rates for groups/clubs other than those above could be considered.Next meeting – February 12 and March 12, 1:30 – 3:00 Location TBASome comparative data related to sustainability initiatives, ????Green Plates RentalsLast academic year435.4/month?Current academic year378.2/month?Opening-Oct 17/171960% increase??Oct 18/17-Jan 12/1818?????Tim Hortons 10 cent discountLast academic year3,088386/month?Current academic year1,064236/month?Opening-Oct 16/17290??Oct 17/17-Jan 12/18774?????EC coffee club usersLast academic year8410.5/month?Current academic year5412/month?Opening-Oct 16/1729??Oct 17/17-Jan 12/1825?????Electric City Coffee (paid for)Dec 2/16-Jan 13/174,5314,531 coffees last yr during free coffee period?Dec 1/17-Jan 12/185,116?????Free beverage with travel mugDec 1/17-Jan 12/181,4656,581 total coffees during free coffee period????EC coffee cards redeemedLast academic year27734.6/month?Current academic year7917.5/month?Opening-Oct 16/1727??Oct 17/17-Nov 30/1752?????$1 boatsLast academic year3,013376.6/month?Current academic year2,295510/month?Opening-Oct 16/17946??Oct 17/17-Jan 12/181,349?????$1 clamshellsLast academic year12,8361,604.5/month?Current academic year15,8273,517.1/month?Opening-Oct 16/174,882??Oct 17/17-Jan 12/1810,945?????ChinaLast academic year73,3169,164.5/month?Current academic year71,39715,866/month???73% Improvement?Ecotrays (served on)Last academic year22,6022,825.2/month?Current academic year25,7735,727.3/month?Opening-Oct 16/176,348?103% improvement?Oct 17/17-Jan 12/1819,425?????$5 Ecotrays (purchased)Last academic year1,760220/month?Current academic year865192.2/month?Opening-Oct 16/17519??Oct 17/17-Jan 12/18346?????????Pizza PizzaNo Fry Day Dec 1/17$1,441.84 ??Friday before No Fry Day$1,262.19 ?????Thai ExpressNo Fry Day Dec 1/17$2,296.14 ??Friday before No Fry Day $1,804.51 ?????Overall SalesNo Fry Day$24,796.38 ??Friday before No Fry Day$24,236.15 ?????Premium burgersJan 8/18-Jan 12/1897?????Noodle BowlsJan 9/17-Jan 13/17184??Jan 8/18-Jan 12/18220?Trent University FoodservicesFood Services Advisory CommitteeOperations and Marketing Working GroupJanuary 16, 2018Meeting Notes In attendance: Mark Murdoch, Foodservices; Neil Dolman, Jessica Brooks, Chartwells; Aimee Blyth, Seasoned Spoon; Emily Margetson, Otonabee; Emily Cauduro, TSA; Ryan Sova, Gzowski; Shaun McCracken, Housing.Review meeting notes from November 21Report on No Fry DaysNo Fry Days are operating well with little negative push back. Sales across campus are not materially impacted. Future No Fry days January 26 and February 9.Dish pick up program updates – continues to work well with usage at LEC doubling over last year. The dish pick-up program is a complimentary program to the eco-tray, allowing customers alternatives to single use disposable containersFree Coffee and Tea program update since the program was shifted to providing free coffee all day every day at all Electric City Coffee locations at at the Ceilie, the use of travel mugs has climbed dramatically, with over 1000 being used in the first three days. We will have to look at the numbers over a longer period of time to see if we are actually changing behavior, or just giving away lots of free coffee. The real test will be on-going use of travel mugs after the program ends. New menu concepts, where and when?Starbucks – performing to planOtonabee Asian Noodle Bowls. Similar to the Pho station in the same location last year. Menu expanded to include rice bowls and pho style bowls. Last year first week of operation 184, this year 220 portions. About a 20% increase. Bata Library redevelopment is still under consideration. We need to more fully understand how the Library will be used when it reopens and how Starbucks may impact potential sales. Foodservices has to carefully balance the development of new capacity in an environment that is pretty close to saturation. Reading Week Operating Hours - attachedOther businessAt the time of the meeting there was concern that the unionized members of CUPE who work for Chartwells may be in a legal strike position in the near future. After the meeting this was confirmed. At the time this meeting notes were written the exact details were unclear. There may be greater clarity in time for the Food Services Advisory Committee meeting on Thursday January 18.A contingency plan will be developed that ensures all residents continue to have access to nutritious meals during any labour disruption. Many more details to follow as they become more fully developed.Next meeting February 13 and March 13, 1:30 – 3:00 Location TBADining Room Redevelopment GroupMonday January 15, 2018Meeting NotesIn attendance: Mark Murdoch, Shaun McCracken, Wayne Craft, Neil Dolman, Lori Johnston, Stephanie Muehlethaler, Melanie Sedge, Lindy Garneau, Lindsay Morris Michael Eamon, Owen Faulkner-NolanUpdates from Jan 15 meeting Contacts were made with the following departments:FPHL – no response prior to this meeting however Mark has since made contact with FPHL and will have them engage in the processAlumni – at the time of the meeting – no response.
