JOB TITLE: Outreach & Administration Officer – Starbucks Initiative TEAM: Refugees into Jobs GROUP: Policy and Development LOCATION: Stratford, London REPORTS TO: Project Manager GRADE: G3 ?24,486 - ?26,772 FTE (?14,691.60 - ?16,063.20) pro rata at 21 hours HOURS: 21 hours per week (over 3 days – ideally Monday, Thursday and Friday but some flexibility possible) Context and Purpose of the Job The Refugee Council and Starbuck are working in partnership to support the employment of refugees in the UK. Together we will be providing support and assistance to those needing help in accessing work as a first step towards building a new life. Starbucks have pledged to support refugee employment globally and plans to hire 2,500 refugees to work at its coffee shops in Europe. This is part of the chain’s commitment to hiring 10,000 refugees worldwide over the next 5 years. Starbucks is the premier roaster and retailer of specialty coffee in the world with a mission is to inspire and nurture the human spirit – one person, one cup and one neighbourhood at a time. Starbucks has grown dramatically since they opened their first store in 1971 and now do business in 75 countries around the world. The Refugee Council is one of the leading organisations in the UK working with asylum seekers and refugees. We provide advice and assistance across a wide range of issues, including helping asylum seekers through the complexities of the asylum system, addressing issues of destitution and assisting refugees and asylum seekers to access key services including housing, welfare benefits, health, education and employment. This Outreach and Administration Officer role will be focused on the successful delivery of this partnership between Refugee Council and Starbucks. The role is based within our Refugees into Jobs service and will specifically focus on the promotion, recruitment and delivery activities which will effectively support individuals to access roles within Starbucks. Central to this project’s success will be ensuring that we reach and engage clients with the right levels of work readiness and enthusiasm for the available opportunities. Main Duties and Responsibilities 5829554-9502Registered address: British Refugee Council, Gredley House, 1-11 Broadway, London, E15 4BQ Registered charity no. 1014576 Registered company no. 2727514 Act as first point of contact for the Refugees into Jobs Starbucks project by responding to individual refugees or organisations wishing to gain advice and support. To provide accurate and informed advice and information to refugees about the opportunities available within Starbucks. Deal with all enquiries to the project, promptly and effectively, by providing information, advice or signposting them to relevant team members, partners or to appropriate local provision. To manage and co-ordinate the marketing and promotion of the Starbucks initiative though telephone, website, social media and email. To represent the organisation in delivery of outreach activities for the effective promotion and recruitment of high quality candidates on to the programme. To be responsible for updating the Refugees into Jobs client database to capture client information, activities engaged in, referrals made and outcomes achieved. Responsible for the management and support of all new and existing registrations on to the database. Ensure that relevant data is effectively analysed and feeds into the wider policy and development work. Support the development and maintenance of information resources for the project. Helping to setup systems to support the effective monitoring, feedback, tracking of client progress, and overall impact of the project. Helping to managing relationships with clients to ensure they are well supported and receive quality communication and feedback. Manage the promotion of our service to refugee community organisations, refugee support organisations, Job Centre offices, employment programmes and any other stakeholders which might be a source of referrals in London. Develop and maintain a customer relationship management database which holds information relating to partnership organisations. Develop mechanisms for communicating electronically with external stakeholders. Keep accurate records as required by the project manager and carry out administrative work for the project team, assisting in particular with planning activities and producing reports. Support the development of an e-newsletter and other information products in conjunction with the Information Officer Additional Information Health and Safety The post holder will manage health and safety within their own workplace, ensuring the safety of staff, volunteers, clients and others. This includes responsibility for safety systems, facilitating risk assessment, safety audit and the implementation of action plans as appropriate. Personal effectiveness With the support of the Project Co-ordinator and Project Manager, the post-holder will need to effectively manage their workload, assessing their priorities in terms of balance between the reactive workload and the medium and long-term plans. Flexibility In order to deliver services effectively, a degree of flexibility is needed and the post may be required to perform work not specifically referred to above. Such duties, however, will fall within the scope of the job, at the appropriate grade. This job description will, therefore, be subject to periodic review with the post holder, to ensure it accurately reflects the duties of the job. Experience of working within a multi agency environment and supporting joint partnership activities. Experience of arranging small scale events\workshops Experience of producing work to a high standard in Word, Excel, and PowerPoint, and in using email effectively at work Experience of responding to complicated individual enquiries, making judgements on appropriate support, providing information, advice and referrals.
